The ACH/Payroll tab determines the ACH processing options for your credit union. Use the following links to learn more about the options in each section of the ACH/Payroll tab:

To access the Credit Union Profile - ACH/Payroll tab, under Administration on the Portico Explorer Bar, select Profiles. On the Profiles top menu bar, select System, and then select Credit Union. The Credit Union Profile window appears. Select the ACH/Payroll tab.

Credit Union Profile - ACH

How do I? and Field Help

The following fields and checkboxes appear in the ACH section on the ACH/Payroll tab.
Field/Check Box Description
Display ACH Pending/ Number of Days

Select the checkbox to display pending ACH items on the Overview tab. These items post against the share/share draft accounts in the back-office processing cycle before the effective date. You must select the Accumulate Pending checkbox on the ACH Processing Rules window. (Available for an additional charge.)

In the Number of Days field, enter the number of days after the system date that Portico should display ACH credits and debits as pending on the Overview tab, Audio Response, and Virtual Branch Online Banking. The valid values are:

03 - The net of all ACH credits and debits received three days from the system date will be used as uncollected funds and will be displayed on the Overview tab, Audio Response, and Virtual Branch Online Banking.

04-14 - The net of all ACH credits and debits received the number of days indicated in this field will be used as uncollected funds and will be displayed as ACH pending on the Overview tab, Audio Response, and Virtual Branch Online Banking.

Example: If an ACH credit is received on the eighth of the month with an effective date of the 13th and the credit union’s Number of Days field is 5, Portico will display the ACH credits and debits as pending beginning the eighth of the month.

Post by Company Name

If selected, the system posts ACH items through the post by company name only table first. On the ACH Processing Options window, the Match On field must be Company Name and the Originating Financial Institution and Company ID fields must be equal to all zeroes in order to use this option. If there is no match, ACH will attempt to post through the regular ACH posting sequence.

If this checkbox is not selected, you can still use the company name with the OFI and COID to post ACH or for information only.

To post by company name only, enter the company name on the ACH table on the C010 transaction and the Match On field must be Company Name. Portico Customer Service will set up the ACH table on the C010 transaction. You can view the options set on the C010 transaction on the ACH Processing Options window.

(Portico Host: 907 Transaction - POST NAME field)

Post by Batch Description

If selected, the system posts ACH items through the post by batch description table first. On the ACH Processing Options window, the Match On field must be Batch Description and the Originating Financial Institution and Company ID fields must be equal to all zeroes in order to use this option. If there is no match, ACH will attempt to post through the regular ACH posting sequence.

To post by batch description, enter the batch on the ACH table on the C010 transaction and set the Match On field to Batch Description. Portico Customer Service will set up the ACH table on the C010 transaction. You can view the options set on the C010 transaction on the ACH Processing Options window.

Post by ACH ID

If selected, the system posts ACH transactions directly to a member share or share draft type using a unique alphanumeric ACH ID. The ACH ID is specified on the Shares - General tab and can be up 17 alphanumeric characters and contain spaces and special characters. Depending on your ACH table, the ACH ID must match the ID located within the individual ID or bank account number position on an incoming ACH file in order to post to the correct share type. System edits prevent an ACH ID from matching an existing ACH ID, member number, or draft ID. However, an ACH ID can match the member number associated with share or share draft account containing the ACH ID. Portico ignores the Right Justify checkbox on the ACH Processing Rules window during the matching process for ACH IDs. Portico ignores leading spaces and zeroes when matching to an ACH ID. For incoming nonpayroll ACH files, if an exact match is not made to an ACH ID, the system continues to find a match based on the posting items on the ACH table. If no match is found, the item appears on the ACH Posting/Exception Report 170 with exception code R03-Unable to locate account. For incoming ACH payroll items, if an exact match is not made to an ACH ID, the system will continue to find a match using existing default posting logic.

If the Match 'S' Format checkbox is also selected, ACH processing will search first for an alpha S format match within the Bank Account Number Individual ID position (based on the Member Match option located on the ACH Processing Rules window. If a match is not found for the alpha S format, ACH processing will look for an ACH ID match for the member. If a match is not made for either posting options, ACH processing will continue to search by the Member Match options represented on the ACH Processing Rules window and current posting logic will process the item.

Note: The Post by ACH ID option will not work with ACH items that have SEC code ARC, BOC, POP, RCK, TRC, or XCK. You must use the Post by Draft ID option with these SEC codes.

Match 'S' Format

If selected, the system will recognize incoming ACH transactions that contain a member number followed by an alphabetic character “S” followed by the share type. The Match “S” Format option allows ACH transactions to post to the correct share or share draft type without performing additional Portico maintenance to the member’s accounts. If you elect to have this option available, your members must notify merchants to send incoming ACH in the proper format –Member Number+S+Share Type. For example, 79843001S03 where the member number is 79843001, S and 03 represents share type 03. If both the Match “S” and ACH ID posting options are implemented, incoming ACH transactions are checked for a correct Match S format first. If the Match “S” format is not correct or not found, then the system checks if an ACH ID exists for the member. If no ACH ID match is found against the member, the system will search for matches using the ACH table.

Multiple Member Match

If selected, ACH items that could potentially post to two different member numbers will not post in the back-office cycle. The items will reject and be reported on the ACH Multiple Member Match Report 177 and ACH Exception Items window with exception code EMM - MEMBER POSTING ID OPTIONS MATCHED MULTIPLE ACCOUNT NUMBERS.

Uncollected Funds

If selected, Portico will post ACH debit items using uncollected funds, such as ACH pending items, check holds, and debit holds. Portico posts ACH debit items using available funds first, then overdraft funds, and then uncollected funds.

Portico will post ACH debit items to a share draft account against uncollected funds based on the Supported checkbox specified in the Uncollected Funds section on the Shares tab. The Use Uncollected Funds checkbox on the applicable ACH table (ACH Processing Options window) must also be selected to post ACH debits against uncollected funds.

(Portico Host: 907 Transaction - ACH UNCOLL field)

Default Lowest Share Account

If selected, Portico uses the member’s lowest share account as the default for ACH share draft transactions. Selected is the system default.

If not selected and the credit union receives ACH transactions that are trancoded for a share draft account that does not exist, these transactions will be written as exceptions to the ACH Exception Items window and to the ACH Posting/Exception Report 170.

Post by Draft ID

If selected, the system posts ACH items using the share type associated with the draft ID on the Shares - Draft Info tab instead of the share type specified in the Draft Account field on the member’s ACH tab.

ACH draft transactions that post by other IDs (ATM ID, Member number, etc.) will be unaffected.

Note: You must use the Post by Draft ID option with ACH items that have SEC code ARC, BOC, POP, RCK, TRC, or XCK.

Post Loan Payments

If selected, the system posts ACH loan payments, transaction code 52, to the member's loan. The ACH file format does not support a designated field for the loan note number. Portico uses the loan draft ID (Loans – Loan Drafts tab) on the ACH file to identify the loan to apply the payment to.

If not selected, the loan payments are processed as exceptions and credit ACH suspense.

Purge Days

The number of days used to calculate the purge date for ACH Cross Reference records. Valid values are 32-999 day. System default is 32 days.

Portico uses the last used date or the last change date to calculate the purge date for a cross reference record. If the last used date contains a valid date, Portico uses the last used date. If the last used date is blank, Portico uses the last change date to calculate the purge date. To calculate the purge date, Portico adds the number of purge days defined by your credit union to the last used date or the last change date. If the expiration date is before the calculated purge date, Portico purges the cross reference record in the back-office cycle on the expiration date. If the expiration date is after the calculated purge date, Portico purges the cross reference record in the back-office cycle on the calculated purge date.

Reporting Analytics: ACH Xref Purge Days (Credit Union Rules > Header Processing Rules)

Post ACH Credits On-line/Teller ID

Indicates that the credit union can use ACH Online Posting. If the ACH item is a credit item and the effective date of the item is the current date, the item posts online. Otherwise, the ACH item posts in the back-office cycle.

With ACH Online Posting, Portico posts incoming ACH credits online daily at 5:30 AM, 8:30 AM, 9:30 AM, 10:30 AM, 11:30 AM, 12:30 PM, 1:30 PM, 2:30 PM, 3:30 PM, 4:30 PM, 5:30 PM, 6:30 PM, 7:30 PM, and 8:30 PM Central.

The $teller specified is used for ACH online posting. The teller ID must be open on the system to post the ACH online credits.

This field displays the following :

N - Not Supported

Y - Supported Without Online ACH Initiated Transfers

T - Supported With Online ACH Initiated Transfers: Online processing accumulates ACH credits posted during the day and performs ACH scheduled transfers eligible for processing.

F - Supported, First Day of Online ACH Initiated Transfers Begins Tomorrow: The first day of online ACH initiated transfers begins tomorrow.  Online does not accumulate ACH credits posted or process any ACH scheduled transfers the day you set the flag to F.  At the end of the Back-Office cycle, back-office processing changes the flag value from F to T in all branches.

L - Supported, Last Day of Online ACH Initiated Transfers: The system supports online ACH initiated transfers today and turns these transfers off after today.  Online processing continues to accumulate ACH credits posted and process any ACH initiated transfers the day you set the flag to L.  At the end of the Back-Office cycle, back-office processing changes the flag value from L to Y in all branches.

 

Note: ACH Online posting takes effect one day after the date displayed in this field. This is a branch-level field.

(Portico Host: 907 Transaction - ACH ONP/ACH TLR field)

Courtesy Pay

Indicates if Portico will draw a share draft account negative up to a credit union-defined negative available balance limit when posting ACH debit items to a share draft account. You must have Share Draft Courtesy Pay to post ACH debit items using Courtesy Pay. The Processing Option field in the Courtesy Pay section on the Shares tab must be Y or X. The valid values are:

Y - Use Courtesy Pay to post ACH debit items. Post ACH debit items by drawing the share draft account negative up to the credit union-defined negative available balance limit on the Share Profiles window and the Shares - Draft Info tab.

X - Use Courtesy Pay to post ACH debit items for all member accounts except new member accounts. Courtesy Pay will automatically be set up for new share draft accounts, but will not be available until the new account period has expired. The exception period for the new account is specified in the New Account Open and New Account Period fields on the Credit Union Profile – Shares tab. The Processing Option field must be X in the Courtesy Pay section on the Credit Union Profile – Shares tab. The negative available balance limit is defined on the Share Profiles window and the Shares - Draft Info tab.

N - Do not use Courtesy Pay to post ACH debit items. System default.

(Portico Host: 907 Transaction - ACH CP field)

Fee Collection Method

Indicates whether the system should bring the member's account balance below the minimum or available amount, to zero, or to a negative amount when assessing an ACH fee, including stop payment fees, overdraft protection fees or ACH Origination fees. Valid values are:

M - The system attempts to assess the ACH fee. However, if the fee draws the account below the minimum or available balance, the system will not assess the fee. System default.

N - The system assesses the ACH fee and draw the account negative if necessary to assess the full fee amount.

Z - The system attempts to assess the ACH fee, taking the account balance to zero if necessary. However, if the full fee amount is not available, the system will not assess the fee.

R/T Number

The routing and transit number assigned to the credit union by the Federal Reserve bank that will appear on the Single Return Item window and Notification of Change window.

Grace Indicator

The grace period allowed before reporting a delinquent loan is based on grace days or on a percentage of the scheduled loan payment amount. Valid values are:

D - Grace period based on days. Can be used for delinquency method B or D loans. Use the 450 Report Rules to specify the number of delinquent days for ACH overdrafting. For ACH loan advances, specify the number of days in the Online Grace field in the in the Delinquency Options section on the Credit Union Profile - Loans tab. System default.

B - Grace period based on percentage of scheduled payment for loans using delinquency method B. Specify the percentage in the Grace Percent Delinquent field. Grace period will be based on days for delinquency method D loans. Uses percentage specified in the Grace Percent Delinquent field.

(Portico Host: 907 Transaction - GRACE INDICATOR field)

Grace Percent Delinquent

The percentage of the scheduled payment that must be delinquent before the loan will appear on any reports or, in the case of the 450 Report or ACH processing, before the system will stop overdrafting. The valid percentages are 0 through 100 percent. Example: 005.00 equals 5 percent. The Grace Indicator field must be B.

Credit Union Profile - ACH/Payroll
The following fields and checkboxes appear in the ACH Origination section on the ACH/Payroll tab:
Field/Check Box Description
Origination

Indicates if the credit union originates items other than auto returns and NOC. Valid values are:

N - The credit union only receives ACH items. System default.

Y - The credit union originate transactions through the Federal Reserve via the credit union's ACH network.

E - The credit union originates standard entry class codes of ENR, ACK and ATX. The 174 Report lists the items in the ENR, Automated Enrollment section or the ACK, Acknowledgments section.

Secure Funds in AM

If selected, Portico secures funds for outgoing ACH credits in an early morning ACH posting that occurs immediately after the back-office cycle. Portico verifies that funds are available before creating an ACH outgoing credit to another financial institution, if the member enters the request after the financial institution's cut off or they enter the request for a future date. If the member requests Same Day ACH Origination, the system does not validate the member's funds.

For all unsuccessful outgoing credits, the system ignores the offsetting credit debit for the 5:00 PM CST extract and the ACH Outbound Return Items/Notification of Change Report 174 reports the unsuccessful outgoing credits with the appropriate exception reason for the credit union to review and correct if applicable. If corrected the same day before the final extract at 5:00 PM CST, the system reconsiders the exception items at that time. This option does not apply to incoming debits posted to the credit union. Offsetting credits to the member’s account for outgoing debits continue to post in the back-office cycle on the effective date of the transaction.

The following conditions continue to prevent the system from including an outgoing credit in the transmission file and posting the offsetting debit entry to the member.

  • Loan paid off
  • Open end zero balance loan
  • Loan on hold
  • Vendor loan paid off
  • Member is dormant
  • Member is deceased
  • Insufficient funds
  • Invalid amount
  • Batch header missing
  • Closed share account

If unchecked (system default), the system extracts outgoing credit items at 5:00 PM CST for outgoing transactions. Debits post in the back-office cycle on the effective date - normally, 2 days after the system sends the outgoing credit item to the other institution. If the funds are not available in the member's account, the credit union runs the risk of the loss.

Authorization Limit

The credit union-level authorized origination limit up to 99,999,999.99. Your branch tellers can create ACH origination items up to the specified dollar amount. Any dollar amount equal to over the designated limit can be approved using your credit union’s override process. If a user does not have an authorization limit specified on their User Profile – Security tab, Portico will compare the origination item amount to the credit union authorization limit specified on the Credit Union Profile – ACH/Payroll tab. If the item amount exceeds the limit, then a teller override will be required. The credit union-level authorization limit will also control ACH origination items within online banking.

Exception User Queue

The credit union-defined queue where online banking items that exceed the ACH origination limit will be reported for approval. The queue will appear in the Owner/Department drop-down list on the My Queue window.

Origination Items Allowed

Indicates the type of Same Day ACH Origination items supported by your credit union. The valid values are:

  • N - Same Day not allowed. System default.
  • C - Outgoing Credits only
  • D - Outgoing Debits only. Reserved for future use.
  • B - Both Debits and Credits are allowed to be originated same day.

Outgoing Credit Limit

Indicates the dollar limit for same-day ACH outgoing credit items. Items greater than this amount cannot be originated using the same-day frequency. The system default is $0. NACHA rules limit same-day ACH items to a maximum amount of $1,000,000.

Outgoing Debit Limit

Indicates the dollar limit for same-day ACH outgoing debit items. Items greater than this amount cannot be originated using the same-day frequency. The system default is $0. NACHA rules limit same-day ACH items to a maximum amount of $1,000,000.

Loan Payment Fee

The fee amount to be assessed on ACH origination loan payments. The Post Loan Payments check box must be selected when entering a loan payment fee amount greater than 0.

If your credit union currently charges an ACH origination fee for ACH loan payments (the Loan Payment Fee field is greater than zero), and you manually enter a fee amount in the Fee Amount field on the Member/GL Item - New window, the member will be charged two fees:

  • The fee specified in the Loan Payment Fee field is charged to the member's account at the sending financial institution (credit union).
  • The fee specified in the Fee Amount field on the Member/GL Item - New window is added to the outgoing ACH debit transaction and charged to the member's account at the receiving financial institution.

Debit to Member

The fee amount collected on ACH origination debit items. Fee activity appears on the 169 Report. This field must be 0.00 if the Origination field is E.

If your credit union currently charges an ACH origination fee for ACH debits items (the Debit Fee Amount field is greater than zero), and you manually enter a fee amount in the Fee Amount field on the Member/GL Item - New window, the member is charged two fees:

  • The fee specified in the Debit Fee Amount field is charged to the member's account at the sending financial institution (credit union).
  • The fee specified in the Fee Amount field on the Member/GL Item - New window is added to the outgoing ACH debit transaction and charged to the member's account at the receiving financial institution.

Same Day Debit to Member

Indicates the fee amount that will be charged to the member for same-day ACH outgoing credit items.

For same-day credits or debits, the same-day fee will be charged to the share account that originated the transaction (i.e. the share type affected by the deposit or withdrawal). For same-day loan payments, the same-day fee is charged to the member's 01 share account, or the next available non-HSA share account if the member does not have a share 01. If a same-day ACH origination fee is not specified on the Credit Union Profile - ACH/Payroll tab, Portico uses the corresponding standard ACH Origination fee amount specified on the Credit Union Profile - ACH/Payroll tab.

Same Day Credit to Member

Indicates the fee amount that is charged to the member for same-day ACH outgoing debit items.

For same-day loan payments, the same-day fee will be charged to the member's 01 share account, or the next available non-HSA share account if the member does not have a share 01. Same Day Loan Fee

Indicates the fee amount that is charged to the member for a same-day ACH outgoing debit to make a loan payment.

For same-day credits or debits, the same-day fee is charged to the share account that originated the transaction (i.e. the share type affected by the deposit or withdrawal). For same-day loan payments, the same-day fee is charged to the member's 01 share account, or the next available non-HSA share account if the member does not have a share 01. If a same-day ACH origination fee is not specified on the Credit Union Profile - ACH/Payroll tab, Portico uses the corresponding standard ACH Origination fee amount specified on the Credit Union Profile - ACH/Payroll tab.

GL Account

The GL account credited for ACH origination debit and credit items. If you enter a fee amount in the Fee Amount field on the Member/GL Item - New window for an outgoing ACH debit item, the fee amount will be credited to the GL account specified in this field. The ACH Indicator field on the GL Account - New/Maintenance window must be C or Y to credit fees entered on the Member/GL Item - New window to the GL account specified in this field.

The number specified must be a valid general ledger account. This field must be 000000 if the Origination field is E.

Credit Union Profile - ACH

The following fields and checkboxes appear in the ACH Overdraft section on the ACH/Payroll tab:

Fee Amount

The fee amount to be assessed for ACH overdrafts. ACH overdraft fee activity appears on the 169 Report.

An overdraft fee may only be charged to the share account with the overdraft amount. Fees on a loan overdraft must be charged manually.

Charge Per Item

If selected, the credit union charges a per item fee for ACH items paid using overdraft protection transfer.

If not selected, Portico provides an aggregated fee option in which a single fee is charged for all items paid using overdraft funds in the back-office cycle. For example, the member has a share draft account balance of $10. Portico receives four items for payment, totaling $55. To pay the four items, Portico transfers $45 from the member's overdraft share account. The aggregated fee charges the member one fee of $5. The per item fee option lets the credit union charge the member for each item paid for a total of $20 ($5 fee x 4 items = $20).

Note: If the Fee Collection Method field is M or Z in the ACH section, a fee is NOT assessed if there are not enough funds to cover the full fee amount.

Adjust ACH GL Account

If selected, the credit union can adjust the GL account specified on the ACH Processing Options window for items returned using the ACH Exception Items window. The system will post a debit or credit entry to the ACH suspense general ledger account. The offset entry is made to the ACH general ledger account(s) specified on the ACH Processing Options window.

If you use the ACH Exception Items window to post items to a member's account, the system automatically adjusts the ACH general ledger accounts regardless of the option specified in this field.

If you use the ACH Exception Items window to return a posted ACH item with a return code of E1C, E1D, or E1E, the system automatically adjusts the member's account and the ACH general ledger suspense account. The adjustment occurs regardless of the option specified in this field.

Not used with ACH Payroll. (Eliminates the journal voucher entry from the suspense GL to the settlement GL.)

Notification of Change

If selected, the credit union can automatically process NOCs (Notification of Change Items window) through the Dallas Federal Reserve Board.

XRoads as Source This checkbox is normally not selected. Some Hawaii credit unions select this checkbox to be able to return an item with a source of File Exchange (XRoads). The item will be returned to the FRB, not File Exchange (XRoads). Note: File Exchange (XRoads), debit card, ATM, and SSI cannot return items. Display History Counters

If selected, Portico displays the number of PAID NEG, UNC, and MIS and returned ACH items and GL reject history. The History - ACH NSF/Return History tab displays the ACH returned items and/or PAID NEG, UNC, and MISC items. The number of PAID NEG, UNC, and MIS and returned ACH items appears in the Activity Counters section on the Account Information – ACH tab. The GL History window displays GL reject history.

Online Fees

If selected, the credit union can post fees online, real-time as soon as you finish working the exceptions. Tellers and members can see the fees and the actual available account balance on the same day the return is processed, instead of having to wait until the next morning after the nightly back-office cycle.

Print Notices

Indicates if you want the system to print nonsufficient fund notices online for the members appearing on the ACH Exception Items window. You can print a notice for an individual member or for all the members on the ACH Exception Items window. The notice can be printed online by the credit union or during the nightly back-office cycle by Portico, but not both. The valid values are:

N - Do not print ACH notices. System default.

O - Print both return and paid notices online.

B - Print both return and paid notices in back office using the 167 Report.

L - Print both return and paid laser notices.

Fee Effective Date

Indicates which date should appear on member history and member statements as the effective date of return ACH fee transactions. The valid values are:

E - The date the system rejected the ACH item should appear as the effective date.

C - The date the system returned the ACH item should appear as the effective date. System default.

Credit Union Profile - ACH

Allow Represented Fee

If the checkbox is selected, the system will print the description specified in the Statement Message field on the Payroll Posting Summary window on the member's statement.

Multiple Member Maintenance

If the checkbox is selected, the credit union uses the Payroll Deduction Maintenance window for exception payrolls. This window allows the user to enter a list of deductions for an exception payroll as opposed to changing existing amounts on the Payroll Group Details window.

Loan Priority Post

If the checkbox is selected, the credit union has access to the New Loan Payroll Priority checkbox on the Loan Profiles – Account Information tab. Using the New Loan Payroll Priority checkbox specific loan types may be forced to the bottom of the distribution list on the Member Payroll Maintenance dialog box when a new payroll-paid loan is added. If the New Loan Payroll Priority checkbox is selected, new payroll-paid loans with the same frequency as the payroll will be prioritized last on the Member Payroll Maintenance dialog box, unless the priority is changed on the New Loan – Payroll Information window. If the New Loan Payroll Priority checkbox is not selected, new payroll-paid loans are prioritized before all other types of distributions and may be manually changed. System default.

Credit Union Profile - ACH ID (Auto Assign)

If selected, the credit union can use the ACH ID workflow.

The ACH ID (Auto Assign) drop-down list is maintainable only in branch 000, but the value selected can be viewed in other branches.

ACH ID Based on

From the drop-down list, select what the ACH ID will be based upon:

  • Share draft ID - The system retrieves the account’s draft ID 1 for the selected share type. If no draft ID 1 exists for the selected share type, the error “E-AUTO ASSIGN ERROR: SHARE HAS NO DRAFT ID 1” is displayed. The system then automatically generates an ACH ID, for example, “822366392.”

  • Member number and share type - The system populates the base ID, concatenating the member number and the share type. For example, for Member 197119920, ShareType 75, the base ID is “1971199203019775.”

  • Member number, share open date, and share type - The system populates the base ID, concatenating the member number, the six-digit open date for the share type, and the share type. For example, for Member 197119920, ShareType 75, this base ID is “1971199203019775.”

If the base ID is unique, the system saves the values as the ACH ID and the process is complete. If the base ID is not unique, “00” is added to the end of the base ID (in the above examples, these values would be “82236639200”, “197119927500”, “97119920301977500” ). If this value is not unique, the system increments the number by 1. The system can increment the number up to 98 times to create a unique ID.
