Setting Up and Assigning Supervisors to an Override/Approval Group

The Override/Approval Group - New/Copy/Update window lets you assign supervisors to an override/approval group. The supervisors assigned to an override/approval group have the authority to override or approve a transaction for the staff members assigned to the group on the User Assignment - Update window. To open the Override/Approval Group - New/Copy/Update window, under Administration on the Portico Explorer Bar, click Security. On the Security top menu bar, click User Maintenance, then click Override Groups. The Override/Approval Groups - List window appears.

  • To create a new override/approval group, click New. The Override/Approval Group - New window appears for you to set up the new override/approval group.
  • To add a new override/approval group by copying an existing override/approval group, select the group, then click the Copy icon button. The Override/Approval Group - Copy window appears.
  • To assign a user to an override/approval group, click the name of the group to open the Override/Approval Group - Update window.

To add or maintain an override/approval group, complete the following steps:

  1. In the Override/Approval Group field, enter the name of the override/approval group up to 40 alphanumeric characters long.
  2. The Users Not Assigned grid lists the supervisors not assigned to the override/approval group. To assign a supervisor to an override/approval group, select the check box next to the supervisor in the Users Not Assigned box and click the down arrow.
  3. The user will be moved to Users Assigned grid. In the Priority column, enter the sequence (10, 20, 30, etc.) in which the supervisors should appear in the drop-down list on the Approval dialog box.

To remove a supervisor from a specific override/approval group, select the check box next to the supervisor in the Users Assigned box and click the up arrow.

Click Apply to apply the override/approval group assignments.

Click Save to save the override/approval group assignments and close the window. Users must log off and log back into Portico for the changes to take effect.

Click Cancel to close the window without saving the override/approval group assignments.

To allow supervisors to override themselves, users must be assigned to the pre-defined Override - User security group or you can add the Override - User Can Override Self permission to a credit union-defined security group using the Security Group Permissions – Update window. If a user is assigned to a security group with the Override - User Can Override Self permission, you do not have to add the user to an override group and assign the override group to the user.

To allow supervisors to approve themselves, users must be assigned to the pre-defined Approvals - User security group or you can add the Approvals - User Can approve self permission to a credit union-defined security group using the Security Group Permissions – Update window. If a user is assigned to a security group with the Approvals - User can approve self permission, you do not have to add the user to an override/approval group and assign the override/approval group to the user.

The O/R AUTH field on the Teller Override Financial Activity Report 324 and Teller Critical Activity Report 326 reports the override user who authorized the override in Portico.

The Approval Report will display the teller, the approval type, approver, member number, member name and date and time.
