To distinguish your payrolls from one another, you must assign a unique three-digit number to each payroll. Portico will process the payrolls based on this payroll number. The format of the payroll number is FXX, where F represents how often the payroll will be posted (frequency), and XX is a sequential number assigned by the credit union. The following frequencies are available:

The Portico Team suggests that payroll numbers 050 through 059 be reserved for share withdrawal list bill payrolls and payroll numbers 075 through 079 for loan advance list bill payrolls.

Portico supports a maximum of 999 payrolls per credit union. However, credit unions that require additional exception payrolls may use an additional 800 payrolls. The criteria for these additional payrolls is:

  • The payroll must be an exception payroll.
  • The first digit of the payroll number must be equal to or greater than the number 1.
  • The last digit of the payroll number must be an alpha character J through R as the last digit of the payroll.

The New Loan - Setup tab and New Members & Services will not allow you to set up payroll information for the member on a payroll with an alpha character in the payroll number. You must use the Member Payroll Maintenance dialog box to add the member’s payroll information.

When an ACH payroll arrives at Portico, the system matches the payroll information to the information in your ACH table. Then the system posts the payroll according to the ACH transaction codes and the member’s payroll record (Member Payroll Maintenance dialog box).

The ACH table tells the system how your credit union processes ACH items. You can set up a table for each routing and transit number or specific tables for different types of transmission including payrolls, and semi-default tables.

If your credit union offers ACH payroll processing to your members, set up a Payroll Posting Summary window for payroll 000 in addition to the transactions set up for ACH payrolls with an assigned payroll number. Payroll number 000 is the default table the system uses when a payroll number is on a credit union's ACH table but a Payroll Posting Summary window does not exist for the payroll.

If a default table of 000 does not exist and a match for the payroll number is not found on a Payroll Posting Summary window, the system will process the payroll as a regular ACH posting on the effective date. Only debit and credit items will be posted; distributions will not be made.

If default table of 000 does exist, but a Payroll Posting Summary window does not exist for the ACH payroll number, the system will search for payroll 000 on the Payroll Posting Summary window. If found, the system will create a Payroll Posting Summary window for the payroll number using the values from the 000 default table and will process the payroll on the effective date.
