ACH Processing Options
Contact Portico prior to setting up or making changes to the ACH Processing Options window.
The ACH table on the ACH Processing Options window determines how the system posts the ACH activity that occurs during the back-office cycle. The ACH table ensures the correct posting of ACH items and reduces the number of rejected batches. To access the ACH Processing Options window, in the Operations menu on the Portico Explorer Bar, click ACH. On the ACH top menu bar, click Administration, then click ACH Processing Options.
How do I? and Field Help
You can use the Selection Criteria group box to display an existing ACH table. Click the ACH Type down arrow to indicate the type of ACH entry. The valid options are: Standard ACH or Origination. (Keyword: AT)
In the Display Order group box, click the order in which the system will display the ACH tables. (Keyword: DS) The valid options are:
- Click the Credit Union R/T option to display by routing and transit number. Then, enter the beginning routing and transit number in the Credit Union R/T field (Length: 8 numeric/Keyword: RT).
- Click the Company ID option to display by company ID. Then, enter the beginning company ID in the Company ID field (Length: 10 alphanumeric/Keyword: CI).
- Click the Company Name option to display by company name. Then, enter the beginning company name in the Company Name field (Length: 16 alphanumeric/Keyword: CN).
Click Search. Click the left and right arrows to scroll through the ACH tables. Click Reset to clear the fields in the Selection Criteria group box.
The Last Activity group box displays the date the ACH table was last changed, or the date ACH items were last posted using the ACH table.
Complete the following information to maintain an ACH table.

Credit Union R/T |
The credit union's routing and transit number. If you do not specify a routing and transit number, the system will default to the routing and transit number specified in the R/T Number field in the ACH section on the Credit Union Profile - ACH/Payroll tab. If your credit union has more than one routing and transit number, the system will display the lowest R/T regardless of the routing and transit number specified in the R/T Number field in the ACH section on the Credit Union Profile - ACH/Payroll tab. The routing and transit number of the originating financial institution for an ACH transaction. You can leave this field blank if posting by company name and/or company ID. If left blank, Portico will populate the field with zeroes. Length: 8 numeric Keyword: OR |

Company ID |
The unique company ID of the originator of the ACH transaction. The originator can be the credit union or the company sending the ACH item. For ACH scheduled transfers, you can leave this field blank if posting by company name and/or OFI. On the ACH Processing Options window, enter zeroes in this field if posting by company name or batch description. Length: 10 alphanumeric Keyword: CI |
Company Name |
The name of the originating financial institution as it should appear at the receiving institution. The company name, OFI, and/or company ID can be used as the criteria for posting ACH. The company name can be used in addition to the OFI and/or company ID to post ACH or in place of the OFI and/or company ID. You can leave this field blank if posting by company ID and/or OFI. To post by company name only on the Member Transfer File Information dialog box, specify the company name in this field. The company name must be an exact match to the company name appearing on the ACH file. Leave the Originating Financial Institution and Company ID fields blank. On the ACH Processing Options window:

The description of the ACH table. For straight ACH, Portico recommends entering Default Table as the description. For ACH Origination, Portico recommends entering ACH Origination. In the Post Credits On group box…
- Click the Transmission Date option to process the ACH debits and credits on the date specified on the ACH transmission.
- Click the Effective Date option to force post ACH credits only during the p.m. pass including month end. The system will post the ACH credit based on the effective date specified on the ACH transmission. The actual posting activity will occur in the p.m. pass prior to the effective date. If force post occurs for items dated month end, the effective date will be changed to the month end date.
- Click the Effective Date Except Monthend option to force post ACH credits only during the p.m. pass except at month end. At month end the system will post the ACH credits during the p.m. pass or a.m. pass based on the effective date of the item. The items posted in the a.m. pass will be based on the true effective date so that items crossing over month end will keep the new month's effective date. The system will always post the ACH debits during the p.m. pass. System default.

Select the Update ACH Debit Counter check box to count the number of ACH debits. The system will update the ACH Debit Count field on the Shares - Activity tab each time an ACH debit occurs for the member. If the Update ACH Debit Counter check box is selected on each of your ACH tables, the system will update the ACH Debit Count field for each transaction. This will create a charge for each of the member's ACH debits. A member can also be charged for insurance debits and/or ATM withdrawal debits. Only select the Update ACH Debit Counter check box for the type of debits you truly want the member to be charged a fee for. Keyword: CD |

In the Posting Options group box....

Select this check box to use uncollected funds when posting ACH debit items processed through this table to a share draft account. The Uncollected Funds check box must be selected in the ACH section on the Credit Union Profile - ACH/Payroll tab to select the Use Uncollected Funds check box on the ACH Processing Options window. The system will use the options defined in the Uncollected Funds section on the Credit Union Profile - Shares tab to post ACH debit items using uncollected funds. If the Share Balance field is Post to negative (N) or Post to zero (Z) and the Use Uncollected Funds check box is not selected, the ACH items will post based on the share option selected. Select this check box to allow overdraft protection for ACH items processed through this table. The member's overdrafting options must be set up on the Shares - Draft Info tab. The system will assess ACH overdraft fees if an amount appears in the Fee Amount field and a general ledger account number appears in the Fee GL Account field in the ACH Overdraft section on the Credit Union Profile - ACH/Payroll tab. Click the Share Balance down arrow to indicate whether the system should take the member's share balance down to the minimum/available balance, to a zero balance, or to a negative balance when processing ACH debits. The share type affected will be determined by the ACH transaction code on the incoming ACH file. The valid options are:

In the GL Information group box...

The general ledger account to be debited or credited by the amount of the incoming ACH batch. The offsetting entries will be to the members' accounts or to suspense. The ACH Exception Items window will automatically update this account for returned items if the Adjust ACH GL Account check box is selected in the ACH Returns NOC section on the Credit Union Profile - ACH/Payroll tab. Otherwise, you will need to manually update this account using the Basic Journal Voucher window. The system will display general ledger account number 805200 in this field automatically. You can change the field to a different general ledger account if desired, but the account must already exist on the system branch 000. Changing this field will take effect for the next night's processing and will not effect any items currently rejected or processed with the table prior to the change. The ACH general ledger suspense account. The offsetting entries for the suspense amounts will be made to the member's accounts. The ACH Exception Items window will automatically update this account for returned items if the Adjust ACH GL Account check box is selected in the ACH Returns NOC section on the Credit Union Profile - ACH/Payroll tab. Otherwise, you will need to manually update this account using the Basic Journal Voucher window. The system will display the general ledger account number 874400 in this field automatically. The general ledger account to be used for ACH returned items instead of the credit union's ACH clearing account. The system considers this to be a holding account for returned items only. The ACH Exception Items window will automatically update this account for returned items if the Adjust ACH GL Account check box is selected in the ACH Returns NOC section on the Credit Union Profile - ACH/Payroll tab. Otherwise, you will need to manually update this account using the Basic Journal Voucher window. Offsets to the suspense account will be made through this account. Once the credit union's bank statement or FedACH Advice notifies you that the returns have been processed, you can use the Basic Journal Voucher window to post the offsetting entries. In the Deposit Options group box...

The ACH Waive Holds and Fees group box on the ACH tab lets you waive holds and fees for specific credit union members.
Deposit Hold Processing
If the deposit is eligible for a hold, then Portico will determine the type of hold and if the member is new to the credit union:
- When the Type of Hold field is Standard ACH, Portico will use the value in the Number of Days to Hold field for the ACH table only. The new member period will not be considered.
- When the Type of Hold field is Remote, Portico will...
- Review the New Member Period field on the Credit Union Profile - Teller tab and the Date Joined field on the member's Contact Information tab to determine if the member is new.
- If the member is new...
- Review the New Member Local Hold Days field on the Credit Union Profile - Teller tab to determine the number of business days for a new member hold.
- Review the Release Amount Available option on the Credit Union Profile - Teller tab to determine the Reg CC available funds that should be available the same day or next day.
- Review the Check Hold Release Amount field on the Credit Union Profile - Teller tab to determine the deposit funds that should be made available the same day or next day.
- Place a hold on the deposit funds minus the Reg CC amount that should be made available the same day or next day for the number of business days specified in the New Member Local Hold Days field .
- If the member is not new...
- Portico will place a hold on the deposit funds minus the Reg CC amount that should be made available the same day or next day for the number of business days specified in the Number of Days to Hold field for the ACH table.
- If the Fee options are defined in the Deposit Options group box, Portico will review the member's ACH tab to determine if fees should be waived. If fees should not be waived, Portico will assess the Remote Deposit Capture hold fee and report it on the ACH Fees Report 169. If the share account specified for the Remote Deposit Capture hold fee is an HSA, Portico will not assess the fee and exception code XH will appear on the 169 Report.
If the ACH deposit is rejected through ACH online posting, the deposit will be attempted again through back-office ACH posting using the same process to verify the deposit and member's eligibility for the hold. If the item is still unsuccessful in the back-office process, the item will be rejected and appear on the ACH Exception Items window.
To reduce the risk of loss on originated ACH debits that may be returned to the credit union for insufficient funds or another reason, you can use the Deposit Options group box to place a hold on the credits (share (32) and share draft (22) transactions) posted to the members' accounts until the time frame for returns has expired. If the ACH table type is Origination and the Type of Hold field is Origination, Portico will review the member's ACH tab to determine if the member is exempt from holds and/or fees. If the member is not exempt, then Portico will determine if the member is new to the credit union:
- Portico will review the New Member Period field on the Credit Union Profile - Teller tab and the Date Joined field on the member's Contact Information tab to determine if the member is new.
- If the member is new, review the New Member Local Hold Days field on the Credit Union Profile - Teller tab to determine the number of business days for a new member hold.
- If the member is not new, Portico will use the hold days specified in the Number of Days to Hold field to place a hold on the full deposit amount.
Loan payment (52) transactions will continue to be applied on the effective date. If the offsetting debit is returned from the other institution as NSF, the credit union will need to manually reverse the loan payment.
The Deposit hold and fee options are not available for ACH tables associated to payrolls. The Type of Hold field must be No Hold.
If desired, select the Apply Changes To All ACH Tables check box to make the specified changes on all of the credit union's ACH tables for the ACH Processing Options window. Not recommended.
To copy an existing ACH table and create a new one, click Copy.
Click Delete to delete an ACH table.
Click Save to save the ACH table.
