101 Account Maintenance

101 Account Maintenance is the only system-generated code that can be set up as a recurring charge by an officer. Setting the Auto Build field to All on the Account Analysis Pricing Plan Information window will instruct back office to create a tracking record every month for every member in the plan for all the members’ share draft accounts with a Quantity field of 1. (The Quantity field will only include share draft types included for services on the Account Analysis dialog box plus the master share draft type, which is included by default). Setting the Auto Build field to Draft will instruct back office to create a tracking record every month for every member in the plan for the members’ master share draft account only with a Quantity field of 1.

Share draft accounts added for the member during the month will not have a 101 tracking record built until the first month end. The officer or teller can add the tracking record specifically for this account on the Account Analysis Member Posting window for the member’s share draft account for the current month or on the Shares – Account Analysis tab for the previous month.

In general, if the member is on Account Analysis, their master share draft account has a charge type of soft dollar or flat fee, and the 101 pricing code is included on the member’s Account Analysis plan, then normal Portico maintenance fees will no longer be assessed through Flexible Fee processing. Members new to Account Analysis for the month will continue to be assessed the Flexible Fee maintenance charges until the next month.

In general, if the member is on Account Analysis, their master share draft account has a charge type of soft dollar or flat fee, then the system will exclude all of the member’s share draft accounts from Flexible Fees depending upon the fee logic (i.e. regardless of whether the share draft account is specified on the Account Analysis dialog box for service inclusion).

It is the credit union’s responsibility to request an edit or change to their Flexible Fee programs to cater for members on Account Analysis.

102 Deposits

The 102 Deposits pricing code covers all deposits to a share draft account, including any customer-initiated deposits that require teller intervention. Specifically, the following transaction codes will result in a tracking record being created or updated for this pricing code:

Also included in the 102 Deposits pricing code are:

  • POS Credits - True merchandise credits due to a return, not POS reversals. A reversal of the POS credit will be subtracted from the 102 pricing code. POS credits are recognized programmatically by a process code of 45 and response code of 00. POS credit reversals have a process code of 44 with a response code > 00.
  • ACH items returned by default and via the ACH Exception Items window, where the item was originally paid against uncollected, negative, or courtesy pay funds.
  • Deposits performed by back office under the following transaction sub-codes: AC, AD, PD, CP, CN, or CD, transaction type DP, and teller ID BO.

The tracking records for the deposits will not be viewable on the Account Analysis Current Month Tracking dialog box until the next day, with the exception of some POS credits, which are counted when the transaction occurs.

103 Deposited On-Us Items

Tracking records for pricing code 103 Deposited On-Us Items will be created for members on Account Analysis when on-us checks are cleared or deposited via the On Us Check Information dialog box. The total count for all the drafts entered via the On Us Check Information dialog box will be passed to the subsequent transaction. The On Us counter will be protected on these transactions. The tracking record will be created for the member’s master share draft account with a Quantity equal to the total count of the number of drafts entered on the On Us Check Information dialog box, and cleared or deposited on the subsequent transaction. The tracking record will be viewable online on the Account Analysis Current Month Tracking dialog box after the checks have been successfully cleared or deposited.

The 103 tracking record will not be created until the teller successfully completes the subsequent transaction. Should the teller ‘zero out’ the checks for deposit amount on the subsequent transaction, a 103 tracking record will not be created.

Reversing the on us check for a member using the Reversals - Same-Day Reversals tab will adjust the quantity on the 103 tracking record accordingly.

If the member is on Account Analysis and their master share draft account has a charge type of soft dollar or flat fee, any fees on the Teller Administration transactions are waived. The fees are waived based on the process ID associated with the product code. The process IDs for which fees will be waived are:

  • AA - Generally indicates that the system should assess a fee. Valid only for secondary product codes that are linked to a primary product code to assess a fee.
  • AG - Generally indicates that the system should assess a fee. Valid only for secondary product codes that are linked to a primary product code. The fee associated with this process ID is not waived when the override flag is O

A 102 tracking record will be created for the share draft account when the amount of on-us checks is deposited to a share draft account. If the amount is transferred into multiple share draft accounts, separate tracking records will be created for each deposit for each affected share draft account. The 102 tracking record will be viewable online on the Account Analysis Current Month Tracking dialog box the day after the transaction has occurred.

104 Deposited Local Items

The system will count the number of immediate and local checks and pass this information back to the Teller Administration transactions (Portico Host: ALD, ALM, ALT, ALA, ALR, ALS Transactions). The teller can edit the count prior to completing the transaction.

For members on Account Analysis, a 104 tracking record will be created for the member’s master share draft account with this quantity. The tracking record will be viewable online on the Account Analysis Current Month Tracking dialog box after the Teller Administration transaction has occurred. Reversing the Teller Administration transactions using the Reversals - Same-Day Reversals tab will adjust the quantity on the 104 tracking record accordingly.

106 Composite On-Us, Local Non-Local Pricing Code

The 106 pricing code is the composite code for pricing codes 103, 104 and 105. If this composite code is defined in the member’s Account Analysis plan, the individual tracking records appear on the Account Analysis Current Month Tracking dialog box with 106 in the Comp Code field during the month. At month end the counters for all three tracking records are accumulated and reported under pricing code 106 on the Shares – Account Analysis tab and the preliminary report. The cost of all three pricing codes is determined based upon the fee defined for pricing code 106 on the member’s Account Analysis plan.

107 Checks Paid

Tracking records for pricing code 107 Drafts Paid are created/updated for a member on Account Analysis every time the member has a draft paid. Specifically the following activity will create a tracking record for the 107 pricing code:

  • Share drafts paid via the Portico share draft process.
  • ACH share drafts paid via ACH processing (identified by a serial number).
  • Share drafts that are rejected or marked for return and paid by the teller on the Share Draft Exception Items window will generate a 107 tracking record the night the teller processed the item. If the teller changes the member number when paying the item, the system will create a 107 tracking record for the new member. If the teller changes the share draft type when paying the item, the system will create a 107 tracking record for the new share draft. The system will also create a tracking record for pricing code 129 Share Draft Non-Return Miscellaneous.
  • If the teller returns an item that was paid against uncollected funds (exception code: A2 or A5), courtesy pay (exception code CP, CO, CU or CA) or negative funds (exception code A3 or A4), the 107 tracking record counter will be reduced. The system will also create a tracking record for pricing code 120 S/D Return/Rejects. These tracking records can be viewed on the Account Analysis Current Month Tracking dialog box the day after the item was processed.
  • A tracking record will not be created when the teller uses the Single Return Item window to return an ACH draft item that was paid against negative, uncollected or courtesy pay funds. The teller must manually decrease the counters for the 121, 122, or 123 pricing codes (depending upon the non-return code on the ACH Exception Items window). The teller must also reduce the tracking record counter for pricing code 107. The tracking record counter for the 119 ACH Return/Rejects pricing code must be manually increased.
  • For credit unions that do not use the share draft returns feature on the Share Draft Exception Items window, a tracking record will be created for each paid item the night the item was paid. These tracking records can be viewed on the Account Analysis Current Month Tracking dialog box the day after the item was processed.
  • ACH share drafts that are rejected or marked for return (with a serial number) and paid by the teller on the ACH Exception Items window will generate a 107 tracking record the night the teller processed the item. An 107 tracking record is created for ACH debits with an SEC code of POP, TRC, RCK, ARC, and XCK and a bad or blank serial number that are rejected/marked for return and subsequently paid by the teller using the ACH Exception Items window. If the ACH debit item has a SEC code of POP, TRC, RCK, ARC or XCK with an exception code of E1C, E1D, E1E, EA2, EA5, ECP, ECO, ECU, or ECA and has been marked for return by the teller, the 107 tracking record counter will be reduced.
  • If the teller changes the member number when paying the item, the system will create a 107 tracking record for the new member. If the teller changes the share type when paying the item, the system will create a 107 tracking record for the new share type.
  • For credit unions that do not use the returns feature on the ACH Exception Items window a 107 tracking record will be created for each item paid with a serial number the night the item was paid. These tracking records can be viewed on the Account Analysis Current Month Tracking dialog box the day after the item was processed.
  • Share drafts paid via the On Us Check Information dialog box (for each check withdrawal). No 107 tracking records will be created when the On Us Check Information dialog box is reversed using the Reversals - Same-Day Reversals tab.

108 Withdrawals

Tracking records for pricing code 108 Withdrawals will be created for all online withdrawals performed by the teller, from share draft accounts for members on Account Analysis. The Transactions – Single Deposit, Withdrawal, Payment or Loan Advance tab and Adjustments – Share Withdrawal to General Ledger tab (Portico Host: 271, 272, 274, 275, and 279) will create 108 tracking records with a blank and a teller ID not equal to BO or a $teller. The tracking records can be viewed on the Account Analysis Current Month Tracking dialog box the day after the withdrawal occurred.

By default all Teller Administration transactions are counted using above criteria, as these transactions call the native transactions mentioned above when processing. The Transactions – Close Share Account tab is purposely excluded because it is only used to close an account; therefore, tracking activity on a closed account would add no value.

Transactions excluded from pricing code 108 Withdrawals:

  • Withdrawals performed using $teller IDs. They are counted in pricing codes 145, 148 and 153 (for ATM and POS withdrawals).
  • Withdrawals with a draft number. They are counted in pricing code 107.
  • ACH rejected items that are paid using the ACH Exception Items window. They are counted in other pricing codes based on the SEC code.

If the transaction has been reversed the same day, then the withdrawal will not be counted.

109 ACH Debits

Tracking records for pricing code 109 ACH Debits will be created for members on Account Analysis every time the member has an ACH debit. The following activities will increment the 109 tracking record counter:

  • ACH debit items (without a serial number and are not SEC code MTE or POS), including ACH Origination, that are paid via ACH.
  • ACH debit rejects or items marked for return (without a serial number and are not SEC code MTE or POS), including ACH Origination, that are paid via the ACH Exception Items window. If the item is an ACH Origination item, the system will also create a tracking record for pricing code 135 ACH Origination Debit. If the teller changes the member number when paying the item, the system will create the 109 tracking record for the new member. If the teller changes the share type when paying the item, the system will create the 109 tracking record for the new share type. Any ACH debits that were paid against negative, uncollected, or courtesy pay funds (or combinations of these) and are subsequently returned by the teller on the ACH Exception Items window will reduce the 109 tracking record counter. If the item is an ACH Origination item, the system will also reduce the tracking record counter for pricing code 135 ACH Origination Debit. All tracking records for this pricing code can be viewed on the Account Analysis Current Month Tracking dialog box the day after the item was processed.

The teller will also need to reduce the 109 tracking record counter if the item is not one of the following:

  • A paid item with a draft number on the History - Financial Transaction History tab that the teller is returning. These are tracked as pricing code 107 Drafts Paid.
  • A paid item with a SEC code of MTE on the ACH History Inquiry dialog box that the teller is returning. These are tracked as pricing code 141 ATM Withdrawal.
  • A paid item with a SEC code of POS on the ACH History Inquiry dialog box that the teller is returning. These are tracked as pricing code 153 Point of Sale.

Transactions excluded from pricing code 109 ACH Debits:

  • ACH debit transactions that have a serial number. These are tracked as pricing code 107 Drafts Paid.
  • ACH debit transactions that have a serial number, which have been rejected/marked for return, but are subsequently paid by the teller on the ACH Exception Items window. These are tracked as pricing code 107 Drafts Paid.
  • ACH debits with an SEC code of POP, TRC, RCK, ARC, and XCK and a bad or blank serial number that are rejected/marked for return and subsequently paid by the teller using the ACH Exception Items window. These are tracked as pricing code 107 Drafts Paid.
  • ACH debit transactions that have a SEC code of MTE. These are tracked as pricing code 141 ATM Withdrawal.
  • ACH debit transactions that have a SEC code of MTE which have been rejected or marked for return and are subsequently paid by the teller using the ACH Exception Items window. These are tracked as pricing code 141 ATM Withdrawal.
  • ACH Debit Transactions with a SEC code of POS. These are tracked as Pricing code 153 Point of Sale Pricing Code.
  • ACH debit transactions that have a SEC code of POS which have been rejected or marked for return and are subsequently paid by the teller using the ACH Exception Items window. These are tracked as pricing code 153 Point of Sale.
  • ACH credit items
  • ACH pre-note transactions where the amount is 0.00.

110 Total Items

The 110 pricing code is the composite code for pricing codes 102, 106, 107, 108 and 109. If this composite code is defined in the member’s Account Analysis plan, the individual tracking records appear on the Account Analysis Current Month Tracking dialog box with 110 in the Comp Code field during the month. At month end the counters for all tracking records are accumulated and reported under pricing code 110 on the Shares – Account Analysis tab and the preliminary report. The cost of all pricing codes is determined based upon the fee defined for pricing code 110 on the member’s Account Analysis plan.

111 Automatic Drafts

Tracking records for pricing code 111 Automatic Drafts will be created for the members on Account Analysis every time the member has an automatic or system-generated transfer from a share draft account. Specifically, the following activity will increment the 111 tracking record counter:

  • Automatic loan payments from a share draft account via the Loans – Payment tab.
  • Automatic loan payments from a share draft account via Transfer File
  • Automatic share transfers from a share draft account via Transfer File
  • Automatic certificate transfers from a share draft account via Transfer File
  • Automatic GL transfers from a share draft account via Transfer File
  • Foreign loan transfers from a share draft account (payments of credit cards or FICS loans via Transfer File)
  • Payroll transfers from a share draft account, including negative distribution payrolls and excess distribution payrolls
  • Share dividend transfers from the share draft account
  • Club Account transfers from the share draft account

All tracking records for this pricing code can be viewed on the Account Analysis Current Month Tracking dialog box the day after the activity occurred.

Note: These transfers only track the ‘from’ side of the transfer.

112 NCUSIF Charge

An amount pricing record will be created for members on Account Analysis at month end if the 112 pricing code is included in the member’s Account Analysis Plan only. The amount is calculated as follows:

(AVG LEDGER BALANCE / 1000)*FEE

This is the average ledger balance of all the member’s share drafts marked for service inclusion on the member’s Account Analysis dialog box at month end. No tracking record will be created if the overall average ledger balance for the member is negative. A 112 tracking record will not be created if the FEE1 amount for this pricing code is 0.00. The Fee 1 amount is used to calculate the 112 pricing code’s cost; tiered pricing does not apply to this pricing code. The previous month’s Fee 1 amount cannot be modified within the adjustment window after the month end cycle. Changes to the current month’s Fee 1 amount for the 112 pricing code are permitted.

Tracking records for the 112 pricing code can be viewed on the Shares – Account Analysis tab after the month end analysis runs. You can adjust the cost of services at the member level via the Shares – Account Analysis tab during the adjustment window. Tracking records will be created for all service included and non-service included share drafts if applicable. These can be viewed on the breakout version of the 898 Report. Only the tracking records for those share drafts marked for service inclusion will be accumulated to the cumulative tracking record on the member’s Shares – Account Analysis tab.

For share drafts opened during the month, the balance of the account for those days the share account did not exist will be considered as 0.00.

The system uses the actual NCUSIF amount calculated to determine the balance required. The unit price will always be 0.00 on the reports and transactions for the 112 pricing code.

113 Dividend Paid

Tracking records for pricing code 113 Dividend Paid will be created for the members on Account Analysis whenever a dividend is paid to the member, for the dividend amount paid into the member’s share draft account. Dividends are carried as debits to ensure the account does not receive credit for the same balances twice. Dividend decreases will reduce the amount on the tracking record accordingly. Dividends paid via the following processes will be included in the amount of the 113 tracking record:

  • Monthly dividends calculated (History - Financial Transaction History tab Code DV)
  • Dividend increases via Adjustments – Dividend Adjustment tab (History - Financial Transaction History tab Code DV)
  • Dividend Fixes (withdrawals and deposits) (History - Financial Transaction History tab Code DC)
  • Production support bonus dividend increases (History - Financial Transaction History tab Code DV)
  • Dividends paid via Transactions – Close Share Account tab (History - Financial Transaction History tab Code DV)

The 113 tracking records are created whenever a dividend transaction occurs and can be viewed on the Account Analysis Current Month Tracking dialog box the next day. If dividends have not been paid to the member, a tracking record will not be created. The balance required and unit price for dividends will always be 0.00.

Tracking records are only created for the 113 pricing code for dividends paid to a share draft account. Accrued dividends will not create a tracking record until the dividend is actually paid to the account.

114 Daily Overdraft Fees

Tracking records for pricing code 114 Daily Overdraft Fees will be created at month end for members on Account Analysis with a tracking record counter equal to the number of times the member has a negative daily balance. The system will keep a record each day of the end of day balances on all of the member’s share draft accounts. If none of the member’s service included accounts go negative during the month, a cumulative tracking record will not be created.

Tracking records for the 114 pricing code can be viewed on the Shares – Account Analysis tab after the month end analysis runs. Tracking records will be created for all service included and non-service included share drafts. The tracking records can be viewed on the breakout version of the 898 Report. Only the tracking records for those share drafts marked for service inclusion on the Account Analysis dialog box will be accumulated to the cumulative tracking record on the member’s Shares – Account Analysis tab. Adjustments to the Quantity during the adjustment window will recalculate the Cost Amount and Balance Required values.

115 Overdraft Interest Adjustment/ Negative Balance Accrual

Tracking records for pricing code 115 Overdraft Interest Adjustment/Negative Balance Accrual are created at month end whenever a member has had negative ledger balances on its service included share draft accounts during the month. The system will keep a record each day of the end of day balances on all of the member’s share draft accounts. At month end, the system will accumulate all of the negative balance amounts incurred for the share draft account, multiply this amount by the Negative Balance Rate on the Account Analysis Rates window , then divide the amount by 100 to determine the Cost Amount. A cumulative tracking record will not be created if none of the member’s service included accounts go negative during the month, or if the Negative Balance Rate on the Account Analysis Rates window is 0.00.

Tracking records for the 115 pricing code can be viewed on the Shares – Account Analysis tab after the month end analysis runs. Tracking records will be created for all service included and non-service included share drafts if applicable. The tracking records can be viewed on the breakout version of the 898 Report. Only the tracking records for those share drafts marked for service inclusion on the Account Analysis dialog box will be accumulated to the cumulative tracking record on the member’s Shares – Account Analysis tab.

To determine the balance required, the system uses the actual negative balance amount divided by the cost calculated. Adjustments to the Cost Amount via the Shares – Account Analysis tab during the adjustment window will recalculate the Balance Required value.

116 ACH Stop Pay

The AA Shr field on the ACH stop pay records the share account that corresponds to the stop pay. If the member is on Account Analysis, the teller must enter the analysis share draft type in the AA Shr field when setting up the stop pay. A tracking record for pricing code 116 ACH Stop Pay will be created for members on Account Analysis for the share draft type entered in the AA Shr field.

All tracking records for the 116 pricing code can be viewed on the Account Analysis Current Month Tracking dialog box the same day that the activity occurred. Removal of the stop pay the same day it was added will adjust the 116 tracking record counter.

Entry of an analysis share draft type in the AA Shr field will NOT affect the criteria for stopping the incoming ACH record. The stop pay may apply to a share account or a share draft account different than what is entered in the AA Shr field.

The share type entered in the AA Shr field will be the share type that back office will consider when determining whether to apply the stop pay fee. If the member is on Account Analysis, the charge type is S-soft dollar or F-flat fee, and the AA Shr field specifies a share type that included on the Account Analysis dialog box, then the Fee Amount field in the ACH Stop Payments section on the Credit Union Profile – ACH/Payroll tab will not be applied at this time, but will be considered part of the overall analysis charge at month end (based on the Fee amount set up for the 116 pricing code on the member’s Account Analysis plan). Otherwise, the stop pay fee will be applied to the share type specified in the Fee Shr field.

The 169 Report will indicate that the stop pay fee has or has not been applied at this time. An Account Analysis Indicator of S and an exception code of AA indicate that the stop pay fee has not been applied at this time.

117 Share Draft Stop Pay

A tracking record for pricing code 117 Share Draft Stop Pay will be created for a member on Account Analysis when setting up the stop pay record, for the share draft type corresponding to the stop pay. All tracking records for the 117 pricing code can be viewed on the Account Analysis Current Month Tracking dialog box the same day that the activity occurred. Removal of the stop pay the same day it was added will adjust the 117 tracking record counter.

If the member is on Account Analysis, the charge type is S-soft dollar or F-flat fee, and the stop pay share type is a share draft type that is included on the Account Analysis dialog box, then the stop pay fee amount on the 450 Report will not be applied at this time, but will be considered part of the overall analysis charge at month end (based on the Fee amount set up for the 117 pricing code on the member’s Account Analysis plan). Otherwise, the stop pay fee will be applied as normal.

The 457 Report will indicate if the stop pay fee has or has not been applied at this time. An Account Analysis Indicator of S and an exception code of AA will indicate that the stop pay fee has not been applied at this time.

118 Total Stop Pay

The 118 Total Stop Pay pricing code is the composite code for pricing codes 116 and 117. If the 118 composite code is defined on the member’s Account Analysis plan, the individual tracking records for pricing codes 116 and 117 are viewable on the Account Analysis Current Month Tracking dialog box during the month with a Comp Code field of 118. The counters for both tracking records are accumulated to pricing code 118 and reported on the Shares – Account Analysis tab and 898 Report at month end. The cost of pricing codes 116 and 117 are based upon the fee defined for pricing code 118 on the member’s Account Analysis plan.

135 ACH Debit Origination

Tracking records for pricing code 135 ACH Debit Origination are created by back office for ACH debit origination items processed by the system. These tracking records can be viewed on the Account Analysis Current Month Tracking dialog box the day after the activity occurred.

The system will adjust the 135 tracking record counter for any ACH origination debit items that are paid negative (E1C), paid against uncollected funds (E1D, E1E, EA2, or EA5), or paid against Courtesy Pay funds (ECP, ECO, ECU, or ECA) that are subsequently returned by the teller using the ACH Exception Items window. The system will also adjust the 109 tracking record counter at this time.

ACH origination debit items that were originally paid against negative, uncollected or Courtesy Pay funds and later returned using the Single Return Item window, will not decrease the 135 counter. ACH origination of same-day debit items are not included in the 135 counter.

A 135 tracking record will be created for any ACH origination debit items that were rejected by the system (exception code is not E1C, E1D, E1E, EA2, EA5, ECP, ECO, ECU, or ECA) and subsequently paid by the teller on the ACH Exception Items window. If the teller changes the member number on the ACH Exception Items window prior to paying the item, then the tracking record is created for the new member on Account Analysis. If the teller changes the share draft account on the ACH Exception Items window prior to paying the item, then the tracking record is created for the new share draft on Account Analysis.

The system will also increase the tracking record counter for pricing code 109 ACH Debits at this time.

If the member is on Account Analysis, the Debit Fee Amount will be applied as normal.

Both online and back office notices will be produced as standard for all ACH origination debit items.

136 ACH Credit Origination

Tracking records for pricing code 136 ACH Credit Origination are created for ACH credit origination items processed by the system. These tracking records can be viewed on the Account Analysis Current Month Tracking dialog box the day after the activity occurred.

ACH origination credit items that are rejected by system (due to share not found, etc.) and subsequently returned by the teller on the ACH Exception Items window will not affect the 135 pricing code. ACH origination of same-day credit items are not included in the 136 counter.

A 136 tracking record will be created for any ACH origination credit items that have been rejected (due to share not found, etc.) and are posted on the ACH Exception Items window. If the teller changes the member number on the ACH Exception Items window prior to processing the item, then the tracking record is created for the new member on Account Analysis. If the teller changes the share draft account on the ACH Exception Items window prior to processing the item, then the tracking record is created for the new share draft on Account Analysis. These items will also create a tracking record for pricing code 102 Deposits.

If the Post Online check box is selected in the ACH/Payroll section on the Credit Union Profile – ACH/Payroll tab , all ACH credits will be posted real-time online using the 46A transaction code. For members on Account Analysis, any ACH origination credit items will create tracking records for pricing code 136. All ACH credits processed via the 46A transaction code will increase the 102 tracking record counter. These tracking records can be viewed on the Account Analysis Current Month Tracking dialog box the day after the activity occurred.

If the member is on Account Analysis, the charge type is S-soft dollar or F- flat fee, and the share draft type that corresponds to the item is an included share type on the Account Analysis dialog box, then the Credit Fee Amount in the ACH Origination section on the Credit Union Profile - ACH/Payroll tab will not be assessed at this time, but the item will be considered in the overall Account Analysis charge at month end (based on the Fee amount set up for this pricing code on the member’s Account Analysis plan). Otherwise, the Credit Fee Amount will be applied as normal.

137 Total ACH Origination

The 137 Total ACH Origination pricing code is the composite code for pricing codes 135 and 136. If composite code 137 is defined on the member’s Account Analysis plan, then the individual tracking records for pricing codes 135 and 136 are viewable on the Account Analysis Current Month Tracking dialog box during the month. At month end, the counters for both tracking records are accumulated to 137 and reported on the Shares – Account Analysis tab and 898 Report. The cost of the 135 and 136 pricing codes is based on the fee defined for pricing code 137 on the member’s Account Analysis plan.

138 Official Checks

Tracking records for pricing code 138 Official Checks are created for members on Account Analysis for the master share draft account when checks are disbursed from the member using the Check Writer dialog box. The following transactions and events will result in a tracking record being created or updated for pricing code 138:

  • Transactions – Single Deposit, Withdrawal, Payment or Loan Advance tab
    • If share deposit by cash or check, refund code must be 2 and the payee name option must be OS to transfer to the Check Writer dialog box.
    • If share withdrawal by check, check amount must be greater than .00 and the payee name option must be OS to transfer to the Check Writer dialog box.
  • Transactions – Close Share Account tab
  • Checks disbursed from the Transactions - Deposits, Withdrawals, Payments, Transfers tab

The tracking records can be viewed on the Account Analysis Current Month Tracking dialog box real time after completing the Check Writer dialog box.

If you override the physical disbursal on the Open tab and change the amount to 0.00, a tracking record will not be created. If you override the check amount on the Check Writer dialog box and change the amount to 0.00, a tracking record will not be created.

Reversing the transaction using the Reversals - Same Day Reversals tab will not decrease the 138 tracking record counter; you must manually adjust the counter if you reverse the Check Writer dialog box.

If the member is on Account Analysis and the charge type is S-soft dollar or F- flat fee, any check fees on the Teller Administration transaction will not be assessed at this time.

139 Money Orders

Tracking records for pricing code 139 Money Orders are created for each money order purchased ( i.e. serial numbers entered) using the Transactions – Money Orders tab for the member’s master share draft account. The 139 tracking records can be viewed on the Account Analysis Current Month Tracking dialog box the day after the transaction has occurred.

If you reverse the Transactions – Money Orders tab using the Reversals - Same Day Reversals tab, a tracking record will not be created.

If the member is on Account Analysis and the charge type is S-soft dollar or F- flat fee, the money order fee will not be assessed at this time, but the item will be considered in the overall Account Analysis charge at month end (based on the Fee amount set up for this pricing code on the member’s Account Analysis plan).

For members on Account Analysis, the decision to defer money order fee will override any Relationship Pricing offers available.

140 Travelers Cheques

Tracking records for pricing code 140 Travelers Cheques are created for each travelers cheque purchased ( i.e. serial numbers entered) using the Transactions – Travelers Checks tab for the member’s master share draft account. The 140 tracking records can be viewed on the Account Analysis Current Month Tracking dialog box the day after the transaction has occurred.

If you reverse the Transactions – Travelers Checks tab using the Reversals - Same Day Reversals tab, a tracking record will not be created.

If the member is on Account Analysis and the charge type is S-soft dollar or F- flat fee, the travelers cheque fee will not be assessed at this time, but the item will be considered in the overall Account Analysis charge at month end (based on the Fee amount set up for this pricing code on the member’s Account Analysis plan).

For members on Account Analysis, the decision to defer money order fee will override any Relationship Pricing offers available.

141 Offline ATM Withdrawal

Tracking records for pricing code 141 Offline ATM Withdrawal will be created for all offline ATM withdrawals that have a SEC code of MTE. The 141 tracking record can be viewed on the Account Analysis Current Month Tracking dialog box the next day.

ACH Transactions that have a SEC code of MTE which have been rejected or marked for return (exception code is not E1C, E1D, E1E, EA2, EA5, ECP, ECO, ECU, or ECA) and are subsequently paid by the teller on the ACH Exception Items window will create a 141 tracking record.

If the teller changes the member number on the ACH Exception Items window prior to processing the item, then the tracking record is created for the new member on Account Analysis. If the teller changes the share draft account on the ACH Exception Items window prior to processing the item, then the tracking record is created for the new share draft on Account Analysis.

The system will reduce the 141 tracking record counter for any ATM items (SEC code is MTE) that are marked paid negative (E1C), uncollected (E1D, E1E, EA2, or EA5) or Courtesy Pay (ECP, ECO, ECU, or ECA) and are subsequently returned by the teller on the ACH Exception Items window. A corresponding tracking record will be created for pricing codes 119 ACH Returns/Rejects.

For credit unions that do not use the returns feature on the ACH Exception Items window, a 141 tracking record will be created for each paid ATM item (SEC code MTE) the night the item was paid by the system. These tracking records can be viewed on the Account Analysis Current Month Tracking dialog box the day after the activity occurred.

The withdrawal fee for the ATM offline transaction is part of the transaction’s amount in the incoming transmission.

142 Network ATM Deposits

Tracking records for pricing code 142 Network ATM Deposits will be created for all Network ATM Deposits with the following exceptions:

  • Where the ATM device is exempt from fees on the Portico Host 9S5 Transaction
  • Where the member’s ATM ID is exempt from fees on the ATM Card Maintenance dialog box. If the member’s ATM ID is not exempt from fees on the ATM Card Maintenance dialog box, Account Analysis will track all activity regardless of whether the member ATM ID is set up for a number of free fees on the ATM Card Maintenance dialog box.

The 142 tracking record will be displayed on the Account Analysis Current Month Tracking dialog box real time.

If the member is on Account Analysis and the charge type is S-soft dollar or F- flat fee, the Deposit Fee specified on the ATM/Debit Processing Rules tab will not be assessed at this time, but the item will be considered in the overall Account Analysis charge at month end (based on the Fee amount set up for this pricing code on the member’s Account Analysis plan).

Account Analysis will override any Relationship Pricing offers available.

143 Network ATM Inquiries

Tracking records for pricing code 143 Network ATM Inquiries will be created for all Network ATM Inquiries with the following exceptions:

  • Where the ATM device is exempt from fees on the Portico Host 9S5 Transaction
  • Where the member’s ATM ID is exempt from fees on the ATM Card Maintenance dialog box. If the member’s ATM ID is not exempt from fees on the ATM Card Maintenance dialog box, Account Analysis will track all activity regardless of whether the member ATM ID is set up for a number of free fees on the ATM Card Maintenance dialog box.

The 143 tracking record will be displayed on the Account Analysis Current Month Tracking dialog box real time.

If the member is on Account Analysis and the charge type is S-soft dollar or F- flat fee, the Inquiry Fee specified on the ATM/Debit Processing Rules tab will not be assessed at this time, but the item will be considered in the overall Account Analysis charge at month end (based on the Fee amount set up for this pricing code on the member’s Account Analysis plan).

Account Analysis will override any Relationship Pricing offers available.

144 Network ATM Transfer

Tracking records for pricing code 144 Network ATM Transfers will be created for all Network ATM Transfers with the following exceptions:

  • Where the ATM device is exempt from fees on the Portico Host 9S5 Transaction
  • Where the member’s ATM ID is exempt from fees on the ATM Card Maintenance dialog box. Account Analysis will override any Relationship Pricing offers available.

145 Network ATM Withdrawal

This pricing code will track all Network ATM Withdrawals with the following exceptions:

  • Where the ATM device is exempt from fees on the Portico Host 9S5 Transaction
  • Where the member’s ATM ID is exempt from fees on the ATM Card Maintenance dialog box. If the member’s ATM ID is not exempt from fees on the ATM Card Maintenance dialog box, Account Analysis will track all activity regardless of whether the member ATM ID is set up for a number of free fees on the ATM Card Maintenance dialog box.
  • Where a withdrawal using the Transactions – Single Deposit, Withdrawal, Payment or Loan Advance tab posted to the member account is a single transaction and includes the network fee.

The 145 tracking record will be displayed on the Account Analysis Current Month Tracking dialog box real time.

If the member is on Account Analysis and the charge type is S-soft dollar or F- flat fee, the W/D Fee specified on the ATM/Debit Processing Rules tab will not be assessed at this time, but the item will be considered in the overall Account Analysis charge at month end (based on the Fee amount set up for this pricing code on the member’s Account Analysis plan).

Account Analysis will override any Relationship Pricing offers available.

153 Point Of Sale

Tracking records for pricing code 153 Point Of Sale will be created for the following:

  • All offline POS debits to share draft accounts via ACH with an SEC code of POS. The tracking record can be viewed on the Account Analysis Current Month Tracking dialog box the next day.
  • All POS withdrawals from share draft transactions posted online. The tracking record can be viewed on the Account Analysis Current Month Tracking dialog box real time after the transaction has occurred.

Tracking records will not be created if the member’s Debit ID is exempt from fees on the Debit Card Maintenance dialog box. If the member’s Debit ID is not exempt from fees on the Debit Card Maintenance dialog box, Account Analysis will track all activity regardless of whether the member Debit ID is set up for a number of free fees on the Debit Card Maintenance dialog box.

Any POS credits to share draft transactions via ACH or deposits posted online will reduce the tracking record counter.

ACH credit items with a SEC code of POS will reduce the 153 tracking record counter. ACH credit items with a SEC code of POS that have been rejected or marked for return by the system and are subsequently deposited by the teller on the ACH Exception Items window will reduce the 153 tracking record counter. Any online POS items processed through the Transactions – Single Deposit, Withdrawal, Payment or Loan Advance tab will also reduce the 153 tracking record counter.

All items for a specific run date will remain on the ACH Exception Items window for 5 days before purging if the teller does not process the items. If the teller works only some of the items on the ACH Exception Items window, all non-processed items and processed items will purge from the ACH Exception Items window when Portico sends the returned items to the Federal Reserve Bank during the nightly batch cycle. Tracking records will be created for items marked paid against miscellaneous funds (non-return code MIS) on the night that the items are purged from the system.

The POS fee for an ACH POS offline transaction is part of the transaction’s amount in the incoming transmission.

For POS transactions posted online, If the member is on Account Analysis and the charge type is S-soft dollar or F- flat fee, the POS Fee specified on the ATM/Debit Processing Rules tab will not be assessed at this time, but the item will be considered in the overall Account Analysis charge at month end (based on the Fee amount set up for this pricing code on the member’s Account Analysis plan).

155 Same-Day ACH Origination Debits

Tracking records for pricing code 155 Same-Day ACH Debit Origination are created by back office for same-day ACH outgoing debit items processed by the system. These tracking records can be viewed on the Account Analysis Current Month Tracking dialog box the day after the activity occurred.

The system will adjust the 155 tracking record counter for any same-day ACH origination debit items that are paid negative (E1C), paid against uncollected funds (E1D, E1E, EA2, or EA5), or paid against Courtesy Pay funds (ECP, ECO, ECU, or ECA) that are subsequently returned by the teller using the ACH Exception Items window.

Same-day ACH origination debit items that were originally paid against negative, uncollected or Courtesy Pay funds and later returned using the Single Return Item window, will not decrease the 155 counter.

A 155 tracking record will be created for any ACH origination debit items that were rejected by the system (exception code is not E1C, E1D, E1E, EA2, EA5, ECP, ECO, ECU, or ECA) and subsequently paid by the teller on the ACH Exception Items window. The 157 Total Same-Day ACH Origination pricing code is the composite code for pricing codes 155 and 156. If composite code 157 is defined on the member’s Account Analysis plan, then the individual tracking records for pricing codes 155 and 156 are viewable on the Account Analysis Current Month Tracking dialog box during the month. At month end, the counters for both tracking records are accumulated to 157 and reported on the Shares – Account Analysis tab and 898 Report. The cost of the 155 and 156 pricing codes is based on the fee defined for pricing code 157 on the member’s Account Analysis plan.

158 All Originated Items (composite code of 137 & 157)

The 157 All Originated Items pricing code is the composite code for pricing codes 137 and 157. If composite code 158 is defined on the member’s Account Analysis plan, then the individual tracking records for pricing codes 137 and 157 are viewable on the Account Analysis Current Month Tracking dialog box during the month. At month end, the counters for both tracking records are accumulated to 158 and reported on the Shares – Account Analysis tab and 898 Report. The cost of the 137 and 157 pricing codes is based on the fee defined for pricing code 158 on the member’s Account Analysis plan.

501 – 515 User-Defined Pricing Codes

Tracking records for user-defined pricing codes 501-515 can be added by tellers and officers for each member as needed. Any entries posted using the Account Analysis Member Posting window will be accumulated at month end and will appear on the member’s Shares – Account Analysis tab. The officer may adjust the counts or delete the record as they so wish. Only user-defined pricing codes set up on the member’s Account Analysis plan may be posted for the member.

A user-defined pricing code can be set up as a recurring, automatically built entry on the Account Analysis Pricing Plan Information window by setting the Auto Build field to All or Draft. The record will be built on a monthly basis by back office for all members in the plan with a Quantity field of 1 (for all share drafts the member has if the value is All, or for the master share draft only if the value is Draft).
