Tracking Miscellaneous Forms

You can track miscellaneous forms, such as member receipts, member statements, and loan origination documents using master code **** (four asterisks). You can send and receive these forms; however, your inventory will not be automatically reduced. You must manually update the forms inventory using the Forms Register Maintenance – Teller Locations Only tab or send the forms from drawer to mutilate or supplier using the Send Forms tab.

Deleting a Form Number or Revision Number

You can delete a form number or revision number from Forms Management if no inventory for the specific form exists at any location for your entire credit union. For example, if your credit union decides to stop offering traveler's checks, use the Send Forms tab to send the traveler's checks to the supplier. When there is no longer any inventory for the specified form number or revision number, use the Form Information window to remove the form number or revision number.

Voiding a Form

When you reverse a transaction, you can void the form or return the form to inventory using the Return Checks to Inventory check box on the Transactions – Teller Sales/General Ledger tab, Transactions – Miscellaneous Teller Disbursals tab, and Withdrawal by Check window. Select the Return Checks to Inventory check box to return the form to the teller’s location. Do not select the Return Checks to Inventory check box to void the form.

The Forms Action field on the Reversals – Same Day Reversals tab lets you to indicate if the serial-numbered forms produced by the original transaction should be voided, returned to inventory, or left alone.

If the Always Void Original Serial Number on Reversal check box is selected on the Form Information window, Portico will always void the original serial number for this form type when a transaction is reversed regardless of the forms action selected on the Reversals – Same Day Reversals tab. If not selected, Portico will honor the forms action selected on the Reversals – Same Day Reversals tab.
