Defining the Approval Parameters
The Approvals window lets you define the default credit union-level check cashing limits and approval parameters for the group. To access the Approvals window, click Security on the Administration menu on the Portico Explorer Bar. On the Security menu bar, click User Maintenance, then click Approvals.

Select a row in the Approvals grid to display the corresponding options in the Approval Options group box.

The Approval Options group box displays the specific options for the selected approval. If the check box is selected, your credit union is using the approval and Portico will evaluate check cashing transactions for this approval.
Check Cashing Limit: Select the Check Cashing - Limit check box to have Portico evaluate check cashing transactions for the limit specified. In the Limit field, enter the maximum check cashing amount that a user in this override/approval group can approve. A value of 0.00 indicates all check cashing transactions require an approval. A value of 999,999,999.99 indicates no check cashing transaction will require an approval. For example, a limit of 499.99 indicates that the user can cash checks through $499.99. A check cashing transaction of $500.00 will require an approval.

Negative Share Balance: Select the Check Cashing - Negative Share Balance check box to have Portico evaluate check cashing transactions for the negative balance specified. In the Balance field, enter the maximum negative balance amount that a user in this override/approval group can approve. Transactions with a larger negative balance will require an approval. To include all negative balances, enter 0.00 in the Balance field. A value of -999,999,999.99 indicates the user can process and approve check cashing transactions for members with any negative balance. Select the Accumulate negative share balances check box to have Portico accumulate the negative balances in determining if the transaction needs an approval. If not selected, Portico will examine each negative balance individually. Select the Always Require Approval check box to always require approvals for check cashing transactions when the member has a negative share balance.

Zero Balance Accounts: Select the Check Cashing - Zero Balance Accounts check box to have Portico evaluate check cashing transactions for members with zero balance accounts. Select the User Can Approve check box to allow the users in this override/approval group to approve check cashing transactions for members with zero balance accounts. If the check box is not selected, the user cannot approve check cashing transactions for members with zero balance accounts. Select the Always Require Approval check box to always require approvals for check cashing transactions when the member has zero balance accounts. If the user has the authority to approve the transaction, the user can acknowledge the message and complete the transaction. Portico will collect the user credentials and transaction information for the Approval report.

Delinquent Portico Loan: Select the Check Cashing - Delinquent Loan check box to have Portico evaluate check cashing transactions for members with delinquent loans. In the Days field, enter the number of grace days allowed before a check cashing transaction for a member with a delinquent loan will require an approval. When the number of delinquent days is greater than the number of grace days specified, the check cashing transaction will require an approval. If the Days field is 0, an approval is needed anytime a delinquent loan is encountered. A value of 999 indicates that the user can process and approve any check cashing transaction regardless of how delinquent a member’s loan may be. Select the Always Require Approval check box to always require approvals for check cashing transactions when member has a delinquent loan. If the user has the authority to approve the transaction, the user can acknowledge the message and complete the transaction. Portico will collect the user credentials and transaction information for the Approval report.

Delinquent Method B Loan: Select the Check Cashing – Delinquent Method B Loan check box to have Portico evaluate check cashing transactions for members with delinquent method B loans, including mortgage loans, education loans and credit cards. Select the User Can Approve check box to allow the users in this override/approval group to approve check cashing transactions for members with delinquent method B loans. If the check box is not selected, the user cannot approve check cashing transactions for members with delinquent method B loans. Select the Always Require Approval check box to always require approvals for check cashing transactions when the member has a delinquent method B loan. If the user has the authority to approve the transaction, the user can acknowledge the message and complete the transaction. Portico will collect the user credentials and transaction information for the Approval report.

The User Setup grid displays the users and their associated parameters corresponding to the row selected in the Approvals grid.

Parameter | If the user is setup with the default parameter, the word Default will appear in the Parameter column. An actual value indicates that the user has a user-level parameter. You can enter a user-level parameter by typing a new value in the Parameter column. |
The Show All button will display all credit union users and their parameter. The Filter button will display only those credit union users that have a parameter defined at the user level.

Users can be assigned the default parameter from the Approvals grid, or the parameters can customized at the user level. If the user is setup with the default parameter, the word Default will appear in the Parameter column. An actual value indicates that the user has a user-level parameter.
You can enter a user-level parameter by typing a new value in the Parameter column. To change the parameter back to the default value, select the check box next to the user and click Invoke Default Value.
