Purge
The Purge tab displays the purge options for member accounts, New Members and Services, and Contact Manager. Use the following links to learn more about the options in each section of the Purge tab:
How do I?
Navigate to Administration on the Portico Explorer Bar, select Profiles. On the Profiles top menu bar, select System, then select Credit Union. The Credit Union Profile window appears. Select the Purge tab.
Field Help
The following fields and check boxes appear in the Transaction Activity section on the Purge tab:

Open-end Loan |
If selected, the system purges zero balance open-end loans on the next purge date, when it is 365 days or greater than the last transaction date. Any loan types specified on the report rules for the Purge by Loan Type Report 930 do not purge. Both open and closed-end records are needed for interest refund processing. Note: The system purges zero balance open-end loans with year-to-date interest. The interest amount is added to the Purged Loan field on the Dividends, Interest, Late Charges and Fees Maintenance dialog box. Payroll-Paid Loans: The system does not zero out member distributions on payroll-paid loans when the loan balance becomes zero, but instead purges the distributions when the loan purges. Closed-end Loan |
If selected, zero balance closed-end loans purge on the next purge date, when it is 365 days or greater than the last transaction date. If you select this check box, these loans purge regardless of YTD interest. Any loan types specified on the 930 Report do not purge. Both open and closed-end records are needed for interest refund processing. Payroll-Paid Loans: The system zeroes out distribution amounts on payroll-paid loans if a payroll posting has not occurred since the loan was paid off. Member Close Date Required |
If selected, the system purges only the member on the next purge date, when it is 365 days or greater than the Member Close date. If you select this check box, the Member Close Date is a required field. If your credit union has enabled consolidated financial statements, you can back-date the member close date, but the member close date would have to be after the last financial transaction date at the member level. If your credit union has not enabled consolidated financial statements, then the member close date can use only the current processing date. Zero Transaction Date |
If selected, Portico retains zero-balance share accounts until the purge date is 365 days or greater than the last transaction date for the account. If the last transaction date is zero, Portico purges the account when the purge date is 365 days or greater than the Date Joined field on the Contact Information tab. If not selected, share accounts with a last transaction date of zero never purges. This is the system default. (Portico Host: 906 Transaction - ZERO TXN DT field) |
Primary Share |
If selected, primary share accounts type 01 purges on the next purge date, when it is 365 days or greater than the last transaction date. Regardless of the option selected, if a member does not have an 01 share type, the lowest share type found does not purge until it meets member purge criteria. The system ignores this field if the member record meets the criteria for a member purge. Accounts with YTD dividends greater than $10.00 will not purge because of IRS reporting. Purge Loans |
If selected, the system purges a loan record on the next purge date after the member meets all purge criteria, regardless of any other loan purge options selected. This is a branch-level field. (Portico Host: 906 Transaction - PURGE LOANS field) |
Retain Share/Certificates |
If selected, Portico retains all share and certificate accounts with current YTD dividend/interest greater than zero. For the January purge only (or any purge before April 15), the system retains all share and certificate accounts with prior YTD dividend/interest greater than zero. An account does not purge if these requirements are met regardless of any other purge options. If this check box is not selected, Portico does not retain all share and certificate accounts with current YTD dividend/interest greater than zero. If the account meets all other purge criteria, it is purged and the dividend/interest amount is added to the lowest share type on the member record. This is the system default. Create Member Purge Closed Account Cross-Reference |
If selected, a closed account record is created when an account is charged off online or purged during the back-office cycle. A closed account record can also be added manually, as needed. The Closed Account File dialog box lets you enter a taxpayer ID number, member number or draft ID to determine if anyone with the same information has a closed account record at the credit union. You can also use the Closed Account File dialog box to manually add a member to the closed account file. (Portico Host: 906 Transaction - CLSD ACCT XREF field) |
