The Teller tab contains the credit union’s Teller Administration options. Use the following links to learn more about the options in each section of the Teller tab:

To access the Credit Union Profile - Teller tab, under Administration on the Portico Explorer Bar, select Profiles. On the Profiles top menu bar, select System, then select Credit Union. The Credit Union Profile window appears. Select the Teller tab.

How do I? and Field Help

The following fields and checkboxes appear in the Teller Administration section on the Teller tab:

Field/Check Box Description
Level

Indicates if the credit union uses Teller Administration, and if so, which level. The valid options are:

0 - Does not use Teller Administration. System default.

1 - Uses Teller Administration-Basic. Supports the following transactions: ADG, ADH, ADJ, ADK, ADP, ALB, ALC, ALD, ALG, ALM, ALP, ALT, and ALX. The credit union can sell money orders and traveler's checks, redeem U.S. Savings Bonds, use product codes instead of general ledger account numbers, clear on-us checks, and customize some Teller Administration transactions.

3 - Uses Teller Administration-Expanded. Supports the following transactions: ADC, ADD, ADG, ADH, ADJ, ADK, ADL, ADP, ADV, ALA, ALB, ALC, ALD, ALG, ALL, ALM, ALP, ALR, ALS, ALT, ALX, ATB, ATC, ATJ, ATK, ATO, ATR, ATS, ATT, and ATX. The credit union can perform all the Teller Administration-Basic transactions plus balance batches of transactions and customize additional screens.

This is a branch-level field.

Transaction Category The category for a Teller Administration transaction. Transaction categories are credit union-defined and identify credit union employees or transactions that are grouped together based on job functions. You can design Teller Administration transactions based on transaction categories. The category specified in this field is the default category for that branch. If a transaction category does not appear in this field on the teller's Teller Information window, the system allows the teller access to any transaction assigned to the default category. This option is valid for both Teller Administration - Basic and Expanded. This is a branch-level field. (Portico Host: 904 Transaction - TXN CAT field)
Transactions per Batch

Indicates the number of transactions that make up a batch. Once the teller has completed this number of transactions, the system automatically closes the batch and opens a new batch. The teller runs an adding machine tape of the member source documents that make up a batch and balances the tape total to the system-calculated total to determine if the teller entered the transactions correctly. You can specify the number of transactions per batch at the branch level. The valid options are: 10-99 - Transactions. The Level field must specify 3. This field must be 0 if the Level field specifies 1. This field is only valid for Teller Administration - Expanded. This is a branch-level field.

Purchase Limit

Indicates the maximum amount of cash a teller can use to purchase monetary instruments such as money orders, traveler's checks, cashier's checks, credit union checks, operating checks, gift cards, and gift checks. If the cash amount meets or exceeds this amount, the system includes the transactions on the 841 Report in compliance with the Bank Secrecy Act. While the Purchase Limit field is a branch-level field, Portico uses the field value in branch 000 to determine if the cash purchase appears on the 841 Report. The valid options are 0 – 99999 for Teller Administration - Basic and Teller Administration - Expanded. This is a branch-level field.

Maximum Adjustment Amount

Indicates the maximum opening or closing over and short adjustment allowed without requiring a teller override. The maximum adjustable amount can vary depending on the branch. This field is only valid with Teller Administration - Expanded. The valid options are 0 – 9999999. The Level field must specify 3. This field must be 0 if the Level field specifies 1. This is a branch-level field.

Verify Cash

If selected, the credit union's tellers must count the cash in their drawers each morning and enter the cash and currency amounts on the Open tab. System default. This field is valid only for Teller Administration - Expanded.

Print Batch Information

If selected, the system should print a summary of the batch totals on the receipt. System default. The Receipts field in the Options section on the Credit Union Profiles - Print tab must specify C or D. This field is only valid with Teller Administration Expanded.

Retain Denominations

If selected, the system retains the cash and currency amounts entered on the Balancing and Close tab, Open tab, and Vault Balancing tab and displays them on the Open tab when the teller who previously closed the drawer reopens it. This field is only valid with Teller Administration - Expanded. This is a branch-level field.

Auto Teller Close

If selected, Portico automatically closes tellers left open at the end of the day. Leaving a teller open at night can result in a few inconveniences and issues. General ledger entries do not occur on the correct date, member transactions can be effective dated with a previous date, and if a teller is left open at month end, it can throw financial reports out of balance. The auto teller close option automatically closes tellers left open at the end of the day, eliminating these concerns. This field is only valid with Teller Administration - Expanded. This is a branch-level field.

Auto teller close does not transfer any funds between the teller drawer and the over and short location during the close process. It forces balancing the teller by placing any system-calculated adjustment amount in the Non-Denominational Amount field on the Balancing and Close tab. If there is no adjustment amount, the teller closes with no entry to the Non-Denominational Amount field. The next morning when the teller opens, the system balance from the end of the previous day will be the opening balance for the current day. Depending on whether the Verify Cash and Retain Denominations checkboxes are selected on the Credit Union Profile – Teller tab, the teller can verify the teller drawer balance during the open process or after the completion of the open process.

Reporting Analytics: Auto Close Teller Flag (All Header Processing Rules subject in the Credit Union Rules\All Credit Union Rules folder)

Auto Branch Close

If selected, Portico will automatically generate a branch close report eliminating the need for an employee to manually complete this task. The branch summary report combines all the teller activity into one report and gives the credit union grand totals for check deposits and other such categories. The system-generated branch summary report will be generated each day automatically and available for your credit union in Nautilus Essentials the next day. This field is only valid with Teller Administration - Expanded. This is a branch-level field. The 992 Report Rules must be setup to use the auto branch close report option.

Report Transaction Activity Cutoff Time

Teller journal transactions occurring after this time will be reported in back-office. The valid options are:

0000 - No time selected. No Transactions will be reported. System default.

0001 thru 2400 where 0001 is 1:00 a.m. and 2400 is midnight in Central Standard Time. Any transactions that occur after the time indicated will be reported on the Teller and Branch Close Report 992 and the Cumulative Teller Transactions After Branch Close Report 993.

This is a branch-level field.

Automated Check Holds

Indicates if the credit union uses automated check holds. The valid values are:

N - Does not use the automated check hold feature. System default.

D - Hold is placed at the deposit location.

Check Hold Release Amount

The credit union-defined immediately available funds. When a user posts a deposit with a check hold online, Portico looks at the Check Hold Release Amount field to determine the hold amount. Effective July 1, 2020, an update to Regulation CC increased the funds immediately available for check holds from $200 to $225.

The Check Hold Release Amount field applies to automated holds placed on check deposits received at the teller line. It does not apply to check deposits received via Remote Deposit Capture or ATM. EFT Processing Rules - ATM/Debit Processing Rules tab specifies the hold amounts and hold days for ATM deposits.

Release Amount Available

Indicates if the amount specified in the Check Hold Release Amount field is available for local and exception check holds on the same day or the next day.

Release Amount Includes

When performing a deposit with an exception check, Portico reviews the option selected to determine if the release amount is released or held for the number of days specified.

When selecting the Exception & Local Checks option, the Reg CC requirement is enforced on each transaction as follows:

  • The Transactions - Deposits, Withdrawals, Payments, Transfers tab processes exception holds first so Portico takes the immediate release amount of $225 from the exception check amount, and then from the local check amount if the total Reg CC release amount has not been satisfied. The system places a local check hold on the remaining local check amount and the difference, if any, is held against the exception check amount.
  • The Transactions - Single Deposit, Withdrawal, Payment, or Loan Advance tab processes local holds first so the Reg CC release amount will be taken first from the local check total, and then the exception check total. The system places an exception check hold on the exception check amount and the difference, if any, is held against the local check amount.

When selecting the Local Checks Only option, both transactions take the $225 release of funds and subtract it from the local check hold.

Check Hold Options

Default Local Hold Days

The system sets the default number of business days that funds are held in the member's share account when the member makes a local check deposit. This field allows for meeting Regulation CC requirements and can have a range of 0 through 99 days. This is a branch-level field. You can override the default number of hold days on the Transactions tab.

Default Exception Hold Days

The system sets a default number of business days for holding funds in the member's account when the member makes an external check deposit. This field allows for meeting Regulation CC requirements and can have a range of 0 through 99 days. This is a branch-level field. You can override the default number of hold days on the Transactions tab.

New Member Period

The number of calendar days from the date in the Date Joined field on the member's Contact Information tab that Portico considers as the new account period. A new account period refers to a new member relationship with the credit union. The Funds Availability Act (Regulation CC) allows longer check holds on new accounts. It considers an account as new during the first 30 calendar days after establishing the account. A check deposit to any of the new member's share accounts are subjected to longer check holds listed in the New Member Holds group box on the Credit Union Profile - Teller tab. Valid values are 01 - 99 calendar days. The day specified is a 'through day', not a 'to day'. For example, if this field is 30 and a user adds a new member to the system on April 1, then this member is subjected to the longer check holds through April 30.

New Member Local Hold Days

The number of business days a local check presented for deposit is held on a particular share account for those members identified as having a new member relationship with the credit union. This field is valid only if the New Member Period field is greater than zero. During deposit transaction processing, when a member's Date Joined field on the member's Contact Information tab falls within the new account period, local checks presented for deposit to any of the member's share accounts default to this number of hold days instead of the Default Local Hold Days field used for existing credit union membership. This is a branch-level field.

New Member Exception Hold Days

The number of business days an exception check presented for deposit is held on a particular share account for those members identified as having a new member relationship with the credit union. This field is valid only if the New Member Period field is greater than zero. During deposit transaction processing, when a member's Date Joined field on the member's Contact Information tab falls within the new account period, exception checks presented for deposit to any of the member's share accounts default to this number of hold days instead of the Hold Days field on the EFT Processing Rules window used for existing credit union membership. This is a branch-level field.

New Member ATM Hold Days

The number of business days an ATM deposit held on a particular share account for those members identified as having a new member relationship with the credit union. This field is valid only if the New Member Period field is greater than zero. During deposit transaction processing, when a member's Date Joined field on the member's Contact Information tab is blank or a date within the new account period, deposits presented at an ATM to any of the member's share accounts default to this number of hold days instead of the Default Local Hold Days field used for existing credit union membership. This is a branch-level field.

Deposited Items Count

If selected, Portico captures on-us, local and exception item counts that may be used to charge a fee at month-end using Flexible Fees without having to set up a member on Account Analysis.

Include Share Draft Types

The share draft types in which deposited items should be tracked using Flexible Fees. If the member only has one of the share draft accounts listed, the deposited check is recorded automatically in the Local, On-us and Exception counters on the Shares – Activity tab. If the member has more than one of the share draft accounts listed, you can select the Check Count down arrow on the Check Log dialog box to select the share draft type used to track deposited item counts.

You can create a Flexible Fee program to consolidate the counters for Local, Exceptions and On-Us deposited items and charge a fee in excess of credit union-defined parameters. This is a common practice for small business accounts and does not require the credit union to use Account Analysis to automate the count of the deposited items. The Deposited Check Counters grid will not appear on the Shares – Activity tab if the member has Account Analysis.

Check Hold Options

You can choose to apply the Reg CC release amount requirement to all types of checks or to limit the release to local checks only. The Reg CC requirement makes the first $225 of a check deposit to a draft account available to the member. Deposits to nontransaction accounts, such as share accounts, are normally not subject to this $225 requirement. However, if the member has more than six withdrawals from the nontransaction (share) account in one month, Reg D treats the account as a transaction account and enforces the Reg CC requirement of making the first $225 of a check deposit available to the member.

Portico enforces the Reg CC requirement differently depending on the transaction used:

  • The Transactions - Deposits, Withdrawals, Payments, Transfers tab processes exception holds first so Portico takes the immediate release amount of $225 from the exception check amount, and then from the local check amount if not satisfying the total Reg CC release amount. The system places a local check hold on the remaining local check amount and the difference, if any, is held against the exception check amount.
  • The Transactions - Single Deposit, Withdrawal, Payment, or Loan Advance tab processes local holds first so the Reg CC release amount is taken first from the local check total, and then the exception check total. The system places an exception check hold on the exception check amount and the difference, if any, is held against the local check amount.

When selecting the Exception & Local Checks option, the Reg CC requirement is enforced on each transaction. For example:

If the New Member Period field is 00 on the Credit Union Profile – Teller tab, Portico will not place a check hold based on the hold days specified in the New Member Holds group box, but based on the default hold days and the same day or next day release of funds ($225) will apply. If the New Member Period field is greater than 00 and the member’s Date Joined field on the Contact Information tab is less than the value in the New Member Period field, then the Reg CC release amount requirement will not apply and all check amounts will be held based on the hold days specified in the New Member Holds group box.
