Customizing Transactions

The Transaction Definition window lets you create customized transaction based on teller and job functions (transaction categories). The transaction categories may be defined at the credit union, branch, or teller level. To access the Transaction Definition window, click Administration under Teller Management. On the Administration menu bar, click Transactions, then click Transaction Definition. This window can also be accessed from the Administration – Products and Services – Products menu.

Transaction Definition

Before you begin creating your customized transactions, consider the following:

Transactions - Deposits, Withdrawals, Payments, Transfers tab (ALD)

The Transactions - Deposits, Withdrawals, Payments, Transfers tab lets you process share deposits, loan payments (including vendor credit card and vendor mortgage loans), transfers to general ledger accounts, withdrawals, loan advances and disburse the funds by cash or check, or transfer the funds to other accounts for the same member or cross account members, credit a member's share or loan account and debit a specific general ledger account, and credit a specific product code using funds from a member's account, a general ledger, cash, or check.

If you use the Transactions - Deposits, Withdrawals, Payments, Transfers tab to disburse checks cleared and checks for deposit from the On Us Check Information dialog box. The product codes associated with the master code GDA (cleared checks) and the master code CKDP (checks for deposit) must appear on the From side of the Transactions - Deposits, Withdrawals, Payments, Transfers tab.

The product code(s) for the general ledger account(s) can appear on both the From side and the To side of the Transactions - Deposits, Withdrawals, Payments, Transfers tab.

The product codes for the fees, teller sales items, and miscellaneous items must appear on the To side of the Transactions - Deposits, Withdrawals, Payments, Transfers tab. Product codes for the fees, teller sales items, and miscellaneous items can appear on the From side as a way for the user to reverse a transaction or a fee; however, Fiserv recommends using the Adjustments tab or the Reversals tab for these reversals.

To perform loan advances on the Transactions - Deposits, Withdrawals, Payments, Transfers tab, a loan product code associated with master code ML or MLLN must appear on the From side of the Transactions - Deposits, Withdrawals, Payments, Transfers tab. The ID column on the From side must specify AC to indicate that the note number is required. You can enter a default note number in the Ext column or you can leave the Ext column blank.

To display the loan advance fee automatically in the Member Loans dialog box, on the Product Code Information window, set up the loan fee product code (e.g. FL) using master code GII. (Only one product code can be set up using master code GII.) The Amounts group box on the Product Code Information window determines the loan advance fee. On the Transaction Definition window, add the loan fee product code (e.g. FL) to the To side of the ALD – Deposits, Withdrawals Payments, Transfers transaction and use AZ as the process ID. (The AZ process ID ensures correct fee reporting for open-end loans, and all loans with loan billing statements.)

To display sales tax information on the Member Loans dialog box, on the Product Code Information window, set up the sales tax product code (IA) using master code GTAX. On the Product Code Information window for the loan fee product code (e.g. FA), select the Calculate Sales Tax check box. For the teller performing the loan advance, specify the sales tax group code in the Sales Tax Group Code field on the Teller Information window.

To use the monetary instrument counters, on the Product Code Information window, verify that the monetary instrument product codes have the correct master code assigned so they can be counted. The monetary instrument and their associated master codes are:

  • Cashier’s Checks: GKCC
  • Credit Union Checks: GKCU
  • Gift Cards: GOGK
  • Gift Checks: GOGC
  • Money Orders: GOMO, GKOP
  • Traveler’s Checks: GOTC, GOT2

On the Transaction Definition window, review the ALD - Deposits, Withdrawals, Payments, Transfers, ALM - Money Orders, and ALT - Traveler's Checks and Miscellaneous Tracked Forms transactions. Verify that the monetary instrument product codes are added to the To Information side with a process ID of AH so the per-item calculations are accurate.

Transactions – Bond Redemption Detail tab (ALB)

The Transactions – Bond Redemption Detail tab lets you redeem U.S. savings bonds. The product code you associated with the master code CBBC (U.S. savings bond) must appear on the From side of the Transactions – Bond Redemption Detail tab. The To side should have the product code(s) for any method(s) of disbursing the funds you allow such as cash or deposit into shares.

Transactions – Money Orders tab (ALM)

The Transactions – Money Orders tab lets you process money order purchases from cash, checks, shares, loans, or any combination of these. The product code associated with the master code GOMO (money orders) is required on the To side of the Transactions – Money Orders tab. The From side should have the product code(s) for any method(s) of receiving the funds such as cash and check received, loan advance, or share withdrawal.

To use the monetary instrument counters, on the Product Code Information window, verify that the monetary instrument product codes have the correct master code assigned so they can be counted. The monetary instrument and their associated master codes are:

  • Cashier’s Checks: GKCC
  • Credit Union Checks: GKCU
  • Gift Cards: GOGK

Transactions – Travelers Checks tab (ALT)

The Transactions – Travelers Checks tab lets you process traveler's check and other miscellaneous form purchases from cash, checks, shares, loans or any combination of these. At least one of the product codes associated with the master codes GOTC (traveler's checks), GOT2 (traveler’s checks with 2 signatures), GOGC (Gift Checks), GOGK (Gift Cards),and GOMI (miscellaneous forms issue) are required on the To side of the Transactions – Travelers Checks tab. The From side should have the product code(s) for any method(s) of receiving the funds such as cash and check received, loan advance, or share withdrawal.

To use the monetary instrument counters, on the Product Code Information window, verify that the monetary instrument product codes have the correct master code assigned so they can be counted. The monetary instrument and their associated master codes are:

  • Cashier’s Checks: GKCC
  • Credit Union Checks: GKCU

Shared Service Center (SSC)

The Transactions tab within Shared Service Center lets you complete a deposit, withdrawal, payment and/or transfer for a guest member.

Within the Shared Service Center Environment, there is a standard transaction set. Once your credit union determines which transactions will be allowed, a product code is assigned to perform these transactions. To ensure efficient teller balancing, certain product codes are always used regardless if it is a member or a guest member. These product codes are associated with Cash Received, Cash Disbursed, Checks Received, Checks Disbursed, Traveler’s Checks, and Money Orders.

To ensure proper accounting and reporting of guest member activity, unique guest member master product codes are needed to represent guest member share and loan activity. These master product codes are:

  • GS - Guest Member Shares
  • GL - Guest Member Loans
  • GX - Guest Member Transfers
  • GLD - Guest Member Loan Disbursements

A separate suspense general ledger account should be used when setting up guest member product codes associated with master product codes GS, GL, GX, and GLD.

The product codes created for Shared Service Center should be added to the From and To sides of the SSC - Shared Service Center transaction on the Transaction Definition window.

Understanding Primary/Secondary Links

The following links can be made between primary and secondary (fee) products (based on the Relationship Link group box on the Product Code Information window)

Transaction Categories

Transaction categories allow you to design different versions of the transactions with just the product codes that apply to an individual employee's job, a credit union department, or to all credit union employees. The following steps will help you create transaction categories:

  1. Evaluate your employees and their job responsibilities.
  2. Determine the product codes that apply to each job.
  3. Group the product codes into transaction categories. A product code can be associated with more than one transaction category.
  4. Assign a two-character code to each transaction category.

Wildcard Transaction Categories

You can use wildcard categories to add access to additional products when you have “run out of room” on a transaction. Wildcard categories are defined using an asterisk and can be “**” and “*0” through “*9”. You can create wildcard categories for each transaction such as for the ALD, ALM, etc. To use a wildcard category, you must add it to the transaction. Wildcard categories cannot include “linked” products. Other than this limitation, any or all of the process IDs are valid. There is no benefit to adding multiple entries of the same wildcard category to the From or To side as Portico allows multiple uses of a single wildcard on the From/To side. (If the wildcard category is added to the From side only, multiple uses are only on the From side and vice versa.)

Understanding Process IDs:

Share Process IDs

AB - Used on the To side to set up a new share account. The product code must be associated with master code MS (member shares). When a share type with this process ID has been selected by the user on the Transactions tab, and the member does not have this share type, the New Account Confirmation message appears. The user can click Yes to add this share type to the member’s list of accounts and deposit the funds into the new account. If the user clicks No, the deposit for the share type will change to $0.00. On the Transactions tab, the user can also type Y or N in the Functions column to specify whether or not the share with the deposit should be opened as a new share account.

AF - Used on the To side to place a hold on the funds being deposited, or set up a new share account for the member. Valid only for master code MS (member shares). After the user selects a product code associated with this process ID on the Transactions tab, he/she can click the ellipsis button to display the Check Hold dialog box. The user can specify what type of check hold, the number of check hold days, and the amount of the check hold.

Check Hold

For example, a user selects one of the member's current share accounts. On the Check Hold dialog box, a 7 day exception hold is placed on the member's deposit of $1259.00 (the amount is represented in whole dollars only). When the user clicks OK on the Check Hold dialog box, 7N1259 will appear in the Functions column.

If the member does not currently have the share account selected, Portico will create a new share account for the member and Y will appear in the first position in the Functions column.

AN - Used on the To side to override automatic hold processing when depositing checks received to a share account for the member. Valid only for master code MS (member shares). This process ID is used when the Automatic Check Holds field is D-Hold is placed where the deposit is being made on the Credit Union Profile - Teller tab. The Functions column on the Transactions tab is used to override the automatic check holds. The AN process ID works in conjunction with the Check Log and/or Check Information group box in the top right corner of the Transactions tab. After the user selects a share product code associated with this process ID on the Transactions tab, he/she can click the ellipsis button to display the Check Hold Options dialog box. The user may specify that the entire Local check hold amount in the Check Information group box should be held against the share, that the entire Exception check hold amount be held against the share account, or that both the entire Local and entire Exception check hold amounts should be held against the specified share. If the user selects L – Hold all local checks on this account from the Check Hold Options drop-down list, the Functions column will display L. If the user selects LN – Hold all check funds on this account, the Functions column will display LN.

If the member does not currently have the share account selected, Portico will create a new share account for the member and Y will appear in the first position in the Functions column.

AR - Used on the From side to allow a withdrawal or transfer from this share type to be flagged as a Reg D transaction and increment the Reg D activity counter. The AR process ID is valid only on share products with the share master code MS. The AR process ID must be added to the From Information side for share type product codes that are designated as Reg D accounts on the Share Profile - Account Information tab. Although IRA share products can be designated as Reg D accounts, they are set up with share master code MI. The MI master code requires the AD process ID for entry of the IRA withdrawal code. Since the AD process ID is already in use, the new AR process ID cannot be added.

Reg D Indicator

IRA/HSA Share Process IDs:

AD - Used on the From side to require an IRA withdrawal code. Required for all IRA share types (master code MI). You must enter an IRA withdrawal code if the product code is on the From side of the transaction. When defining the product code for the transaction, the credit union administrator user may place a common IRA distribution code in the Ext column that will display in the Functions column on the Transactions tab. When the user selects a product code associated with this process ID, the IRA Withdrawal Codes dialog box appears to let the user select an IRA distribution code. The user can click the ellipsis button to display the IRA Withdrawal Codes dialog box.

AE - Used on the To side to require an IRA deposit code. Required for all IRA share types (master code MI). An IRA deposit code is required if the product code is on the To side of the transaction. There is no need for the credit union administrator to place a common deposit code in the Ext column as deposit code C (current year) is the system default. After the user selects a product code associated with this process ID on the Transactions tab, he/she can click the ellipsis button to display the IRA Deposit Codes dialog box and select an IRA deposit code. If no code is selected, Portico will use the system default C (current year).

IRA Deposit Codes

Loan Process IDs:

AC - Used on the From side to require a note number on the financial transaction. All loan product codes (product codes associated with master code ML or MLLN) must be associated to this process ID. When defining the product code for the transaction, the credit union administrator may place a common note number in the Ext column that will display in the Functions column on the Transactions tab. When the user selects the loan product code to make an advance on a loan, the Member Loans dialog box appears to let the user pick from the member’s list of loans. This list does not include loan types K (vendor credit card), M (vendor mortgage loans), or E (vendor student loans). If the Functions column already displays a note number and the member has that note number, the Member Loans dialog box will not appear. The user must click the ellipsis button to display the Member Loans dialog box. The default fee amount for the loan advance fee product code (master code GII) must be greater than 0.00 in order for the Member Loans dialog box to automatically appear when the member only has one loan.

AC - Used on the To side to require a note number on the financial transaction. All loan product codes (product codes associated with master code ML or MLLN) must be associated to this process ID. When defining the product code for the transaction, the credit union administrator may place a common note number in the Ext column that will display in the Functions column on the Transactions tab. When the user selects the loan product code to make a payment, the Member Loans dialog box appears to let the user select the member’s note number to apply the payment and indicate if the payment is a principal only payment. This list does not include loan types K (vendor credit card), M (vendor mortgage loans), or E (vendor student loans). If the Functions column already displays a note number and the member has that note number, the Member Loans dialog box will not appear. The user must click the ellipsis button to display the Member Loans dialog box. You can set up a principal-only loan payment product code by including an asterisk in the first position of the Ext field on the To side of the Transaction Definition window. The principal-only indicator can be added to the loan payment product code on both the Transactions - Deposits, Withdrawals, Payments, Transfers tab (ALD) and the Transactions – Bond Redemption Detail tab (ALB).

Member Loans

AJ - Used on the To side with those product codes which update or process vendor mortgage loan payments for a member. Only valid for product codes defined with master code FICS. When the user selects a product code associated with this process ID, the Member Loans dialog box appears allowing the user to select the vendor mortgage loan note number to apply the payment to. If the member only has one vendor mortgage loan (most common), the note number automatically appears in the Functions column and the dialog box does not automatically appear.

AO - Used on the To side for credit card payments (K). When user selects a product code associated with this process ID, the Member Loans dialog box appears allowing the user to select the credit card to apply the payment to. If the member only has one credit card, the credit card automatically appears in the Functions column and the dialog box does not automatically appear.

AP - Used on the To side for third-party educational loan payments (E). When user selects a product code associated with this process ID, the Member Loans dialog box appears allowing the user to select the loan note number to apply the payment to. If the member only has one loan note number, the note number automatically appears in the Functions column and the dialog box does not automatically appear.

Fees linked to another product code:

AA - Used on the From side to reverse a fee. Used on the To side to assess a fee. Valid only for secondary product codes that are linked to a primary product code to assess a fee, such as money orders, traveler’s checks, and cashier’s checks. When a product code has been selected that has a link relationship with a product code set up with this process ID, the Transaction Fee dialog box will appear to allow the user to specify whether or not the fee will be assessed. If there is a default fee associated with this product code, a check box will appear on the Transaction Fee dialog box to let the user indicate that the default amount should be used. If the check box has been selected, the default fee amount should appear in a preview row underneath the associated primary product code. The user cannot change the fee amount and can only determine that they want to assess the fee. The Transaction Fee dialog box will not appear if a member's Account Analysis is set up with a soft dollar or flat fee charge type. The member will not be charged any standard automated fees at the time the activity occurred for any included share draft accounts listed on the Account Analysis dialog box. If a member is setup for both Relationship Pricing and Account Analysis and the member’s Account Analysis is set up with a soft dollar or flat fee charge type, the Transaction Fee dialog box will not appear and the member will not be charged any Relationship Pricing discounted fees or free items. Whether standard fee or Relationship Pricing, the standard fees will be tracked to provide an Account Analysis benefit. If a member’s Account Analysis is set up with a hard dollar charge type, the Transaction Fee dialog box will appear and Portico will charge the standard fee or Relationship Pricing discounted fee and free items, and sales tax, if applicable.

Transaction Fee

AG - Used on the From side to reverse a fee. Used on the To side to assess a fee. Valid only for secondary product codes that are linked to a primary product code to assess a fee, such as money orders, traveler’s checks, and cashier’s checks. When a product code has been selected that has a link relationship with a product code set up with this process ID, the Transaction Fee dialog box will appear to allow the user to specify whether or not the fee will be assessed. If there is a default fee associated with this product code, a check box will appear on the Transaction Fee dialog box to let the user indicate that the default amount should be used. If the check box has been selected, the default fee amount should appear in a preview row underneath the associated primary product code. This option is the same as AA, but AG gives the user 3 options: 1) Assess the fee, 2) Do not assess the fee, and 3) override the fee and assess a new fee amount. The Transaction Fee dialog box will not appear if a member's Account Analysis is set up with a soft dollar or flat fee charge type. The member will not be charged any standard automated fees at the time the activity occurred for any included share draft accounts listed on the Account Analysis dialog box. If a member is setup for both Relationship Pricing and Account Analysis and the member’s Account Analysis is set up with a soft dollar or flat fee charge type, the Transaction Fee dialog box will not appear and the member will not be charged any Relationship Pricing discounted fees or free items. Whether standard fee or Relationship Pricing, the standard fees will be tracked to provide an Account Analysis benefit. If a member’s Account Analysis is set up with a hard dollar charge type, the Transaction Fee dialog box will appear and Portico will charge the standard fee or Relationship Pricing discounted fee and free items, and sales tax, if applicable.

AK - Used on the To side to assess a fee when the withdrawal from the member's share type exceeds the number of withdrawals allowed per period and the balance of the share account is not greater than or equal to the minimum amount to waive the fee. Valid only when the product code using this process ID has been linked to the share product code that should be considered for the excess withdrawal fee. When the share product code has been selected that has a secondary product code set up with this process ID, the Transaction Fee dialog box will appear to allow the user to specify whether or not the fee will be assessed. If there is a default fee associated with this product code, a check box will appear on the Transaction Fee dialog box to let the user indicate that the default amount should be used. If the check box has been selected, the default fee amount should appear in a preview row underneath the associated primary product code. The user cannot change the fee amount and can only determine that they want to assess the fee. The Transaction Fee dialog box will not appear if a member's Account Analysis is set up with a soft dollar or flat fee charge type. The member will not be charged any standard automated fees at the time the activity occurred for any included share draft accounts listed on the Account Analysis dialog box. If a member is setup for both Relationship Pricing and Account Analysis and the member’s Account Analysis is set up with a soft dollar or flat fee charge type, the Transaction Fee dialog box will not appear and the member will not be charged any Relationship Pricing discounted fees or free items. Whether standard fee or Relationship Pricing, the standard fees will be tracked to provide an Account Analysis benefit. If a member’s Account Analysis is set up with a hard dollar charge type, the Transaction Fee dialog box will appear and Portico will charge the standard fee or Relationship Pricing discounted fee and free items, and sales tax, if applicable.

Products with associated fees and/or per-item calculations:

AH - Used on the From and To side to assess or reverse a per-item fee. Valid only for primary product codes that are linked to a secondary product code, such as money orders, traveler’s checks, cashier’s checks, etc. The secondary fee product code must have a process ID of AA or AG. The credit union administrator should not specify any defaults for the Functions column as the Transaction Fee dialog box associated with the fee process ID will automatically appear. The Transaction Fee dialog box will not appear if the member is on Account Analysis. If a product code is selected with this process ID on the Transactions tab, the Functions field is used to specify a number which will be used to base the per-item fee on. The per-item fee will be calculated based on the number entered from the user and the first Amounts Default field on the Product Code Information window for the associated/linked fee product code. The user will not select the secondary product code. It will automatically appear below the row for the selected product code. For monetary instrument counters, add the monetary instrument product codes to the To Information side with a process ID of AH so the per-item calculations are accurate.

Specialty Product Codes:

AI - Not currently available. On Portico Host, this was used on the From and To side for bond interest corrections. If the product code is on the From side of the financial transaction, the system will add the amount to the savings bond amount. The amount specified will update the Savings Bond Interest field on the Dividends, Interest, Late Charges, and Fees Maintenance dialog box.

AL - Used on the To side for TISA-related fees that do not have a secondary link to a master code on the From side. Valid only for product codes with a master code GI (G/L income) or GO (G/L other). If a fee product code defined with this process ID is selected on the Transactions tab, the Member Shares Fee dialog box appears to let the user select the share account the fee is associated with.

AM - Used on the From and To side for Shared Service Center product codes to provide access to the list of guest member share accounts and loans.

Guest Member Loans

AZ - Used on the To side to allow a loan fee to be associated with a loan note number and reported as such on statements for open-end loans and all loans with loan billing statements. This allows a product code on the Transactions – Deposits, Withdrawals, Payments, Transfers tab to be considered a loan fee. When a fee amount is entered, a loan note number will be required. The To product code description will be used as the fee description in the FEES section of the statement. The fee amount entered will be added to the statement-to-date fee totals for the note number entered. For loan advance fees, add the loan fee product code (e.g. FA) to the To side of the ALD – Deposits, Withdrawals Payments, Transfers transaction and use AZ as the process ID.

How do I? and Field Help

Before completing the Transaction Definition window, Portico recommends printing a blank Transaction Definition window and making copies for each transaction. Complete a paper Transaction Definition window for each transaction so that your information will be organized. Portico will automatically filter the list of product codes based on what is relevant to the member, so exact placement of products other than cash/check, shares or loans is unimportant. Then, complete the Transaction Definition window for each transaction.

To view the existing compound transaction for a Portico Host Teller Administration transaction, click the Transaction down arrow to select the Portico Host Teller Administration transaction. Then, click the green arrow.

To create a new compound transaction by copying an existing compound transaction, click Copy.

To create a new compound transaction, click New to display the Transaction Definition – New window. Then, complete the following steps:

  • Click the Transaction down arrow to select the Portico Host Teller Administration transaction. The valid options are:
    • ALA - Loan\Credit Card Advance
    • ALB - Bond Redemption
    • ALD - Cash\Check Disbursal
    • ALL - Member Financial-Inquiry
    • ALM - Money Order Purchase
    • ALR - Member Credits
    • ALS - Teller Sales
    • ALT - Traveler's Check Purchase
    • SSC - Shared Service Center
    • SBC - Shared Branching Center - this is an old SSC transaction that is no longer used.
  • In the Category field, enter the 2 character credit union-defined category used to identify credit union employees or transactions that are grouped together based on job functions. You can design Teller Administration transactions based on transaction categories. The category specified in the Transaction Category field on the Credit Union Profile - Teller tab is the default category for that branch. If a transaction category does not appear in this field on the teller's Teller Information window, the system will allow the teller access to any transaction assigned to the default category. This option is valid for both Basic and Expanded.
  • Click the Teller Admin Level down arrow and select Basic or Expanded.
    • Basic - Uses Teller Administration-Basic. The credit union can sell money orders and traveler's checks, redeem U.S. Savings Bonds, use product codes instead of general ledger account numbers, clear on-us checks, and customize some Teller Administration transactions.
    • Expanded - Uses Teller Administration-Expanded. The credit union can perform all the Teller Administration-Basic transactions plus balance batches of transactions and customize additional screens.

Complete the following fields in the Compound Transaction Detail grid to customize the compound transaction. Click the left and right arrow to scroll through the grid.

Select this check box to delete the product code from the compound transaction.

From Product Code

Click the Product Code down arrow to select the product code(s) that should appear on the From side of the Teller Administration transaction. The system will debit the general ledger account associated with the specified product code. Any recently added product codes may not appear in the list. If this is the case, please refresh your data cache to force these new product codes to appear in the list

From Ext

Portico automatically builds the information in the Ext column using the product code and process ID. You can leave the Ext column blank or enter a default value according to the associated process ID. The system will automatically tab to this field on the Teller Administration financial transaction if additional information is required. For example, a note number, an IRA withdrawal code, or a fee indicator.

From ID

Click the ID down arrow to select the process ID that specifies the special edits and requirements for a product code. Based on the process ID, the system will require the teller performing the transaction to enter the required additional information such as a note number. The valid values are:

AA - Used on the From side to reverse a fee. Used on the To side to assess a fee. Valid only for secondary product codes that are linked to a primary product code to assess a fee, such as money orders, traveler’s checks, and cashier’s checks. When a product code has been selected that has a link relationship with a product code set up with this process ID, the Transaction Fee dialog box will appear to allow the user to specify whether or not the fee will be assessed. If there is a default fee associated with this product code, a check box will appear on the Transaction Fee dialog box to let the user indicate that the default amount should be used. If the check box has been selected, the default fee amount should appear in a preview row underneath the associated primary product code. The user cannot change the fee amount and can only determine that they want to assess the fee. The Transaction Fee dialog box will not appear if a member's Account Analysis is set up with a soft dollar or flat fee charge type. The member will not be charged any standard automated fees at the time the activity occurred for any included share draft accounts listed on the Account Analysis dialog box. If a member is setup for both Relationship Pricing and Account Analysis and the member’s Account Analysis is set up with a soft dollar or flat fee charge type, the Transaction Fee dialog box will not appear and the member will not be charged any Relationship Pricing discounted fees or free items. Whether standard fee or Relationship Pricing, the standard fees will be tracked to provide an Account Analysis benefit. If a member’s Account Analysis is set up with a hard dollar charge type, the Transaction Fee dialog box will appear and Portico will charge the standard fee or Relationship Pricing discounted fee and free items, and sales tax, if applicable.

AC - Used on the From side to require a note number on the financial transaction. All loan product codes (product codes associated with master code ML or MLLN) must be associated to this process ID. When defining the product code for the transaction, the credit union administrator may place a common note number in the Ext column that will display in the Functions column on the Transactions tab. When the user selects the loan product code to make an advance on a loan, the Member Loans dialog box appears to let the user pick from the member’s list of loans. This list does not include loan types K (vendor credit card), M (vendor mortgage loans), or E (vendor student loans). If the Functions column already displays a note number and the member has that note number, the Member Loans dialog box will not appear. The user must click the ellipsis button to display the Member Loans dialog box. The default fee amount for the loan advance fee product code (master code GII) must be greater than 0.00 in order for the Member Loans dialog box to automatically appear when the member only has one loan.

AD - Used on the From side to require an IRA withdrawal code. Required for all IRA share types (master code MI). You must enter an IRA withdrawal code if the product code is on the From side of the transaction. When defining the product code for the transaction, the credit union administrator user may place a common IRA distribution code in the Ext column that will display in the Functions column on the Transactions tab. When the user selects a product code associated with this process ID, the IRA Withdrawal Codes dialog box appears to let the user select an IRA distribution code. The user can click the ellipsis button to display the IRA Withdrawal Codes dialog box.

AG - Used on the From side to reverse a fee. Used on the To side to assess a fee. Valid only for secondary product codes that are linked to a primary product code to assess a fee, such as money orders, traveler’s checks, and cashier’s checks. When a product code has been selected that has a link relationship with a product code set up with this process ID, the Transaction Fee dialog box will appear to allow the user to specify whether or not the fee will be assessed. If there is a default fee associated with this product code, a check box will appear on the Transaction Fee dialog box to let the user indicate that the default amount should be used. If the check box has been selected, the default fee amount should appear in a preview row underneath the associated primary product code. This option is the same as AA, but AG gives the user 3 options: 1) Assess the fee, 2) Do not assess the fee, and 3) override the fee and assess a new fee amount. The Transaction Fee dialog box will not appear if a member's Account Analysis is set up with a soft dollar or flat fee charge type. The member will not be charged any standard automated fees at the time the activity occurred for any included share draft accounts listed on the Account Analysis dialog box. If a member is setup for both Relationship Pricing and Account Analysis and the member’s Account Analysis is set up with a soft dollar or flat fee charge type, the Transaction Fee dialog box will not appear and the member will not be charged any Relationship Pricing discounted fees or free items. Whether standard fee or Relationship Pricing, the standard fees will be tracked to provide an Account Analysis benefit. If a member’s Account Analysis is set up with a hard dollar charge type, the Transaction Fee dialog box will appear and Portico will charge the standard fee or Relationship Pricing discounted fee and free items, and sales tax, if applicable.

AH - Used on the From and To side to assess or reverse a per-item fee. Valid only for primary product codes that are linked to a secondary product code, such as money orders, traveler’s checks, cashier’s checks, etc. The secondary fee product code must have a process ID of AA or AG. The credit union administrator should not specify any defaults for the Functions column as the Transaction Fee dialog box associated with the fee process ID will automatically appear. The Transaction Fee dialog box will not appear if the member is on Account Analysis. If a product code is selected with this process ID on the Transactions tab, the Functions field is used to specify a number which will be used to base the per-item fee on. The per-item fee will be calculated based on the number entered from the user and the first Amounts Default field on the Product Code Information window for the associated/linked fee product code. The user will not select the secondary product code. It will automatically appear below the row for the selected product code. For monetary instrument counters, add the monetary instrument product codes to the To Information side with a process ID of AH so the per-item calculations are accurate.

AI - Not currently available. On Portico Host, this was used on the From and To side for bond interest corrections. If the product code is on the From side of the financial transaction, the system will add the amount to the savings bond amount. The amount specified will update the Savings Bond Interest field on the Dividends, Interest, Late Charges, and Fees Maintenance dialog box.

AM - Used on the From and To side for Shared Service Center product codes to provide access to the list of guest member share accounts and loans.

AR - Used on the From side to allow a withdrawal or transfer from this share type to be flagged as a Reg D transaction and increment the Reg D activity counter. The AR process ID is valid only on share products with the share master code MS. The AR process ID must be added to the From Information side for share type product codes that are designated as Reg D accounts on the Share Profile - Account Information tab. Although IRA share products can be designated as Reg D accounts, they are set up with share master code MI. The MI master code requires the AD process ID for entry of the IRA withdrawal code. Since the AD process ID is already in use, the new AR process ID cannot be added.

Blank - Can be used for almost any product code. Even though there is no process ID defined, the product code may work in conjunction with other product codes that do have a process ID. The Functions column on the Transactions tab has no purpose. The user cannot access or put any value in this field. It should always be blank.

From Txn

The transaction(s) the system will perform for a product code on the From side. The valid options are:

271 - Share Withdrawal. Can be used with master code MI.

279 - Share Withdrawal From G/L. Can be used with master code MS.

671 - Loan Advance. Can be used with master code ML.

703 - GL Journal Voucher Entries. Can be used with master code CB or with a master code beginning with the letter G.

Blank - Use for all cash master codes, those that begin with the letter C or for all general ledger master codes, those that begin with the letter G.

To Del

Select this check box to delete the product code from the compound transaction.

To Product Code

Click the Product Code down arrow to select the product code(s) that should appear on the To side of the Teller Administration transaction. The system will credit the general ledger account associated with the specified product code.

AB - Used on the To side to set up a new share account. The product code must be associated with master code MS (member shares). When a share type with this process ID has been selected by the user on the Transactions tab, and the member does not have this share type, the New Account Confirmation message appears. The user can click Yes to add this share type to the member’s list of accounts and deposit the funds into the new account. If the user clicks No, the deposit for the share type will change to $0.00. On the Transactions tab, the user can also type Y or N in the Functions column to specify whether or not the share with the deposit should be opened as a new share account.

AC - Used on the To side to require a note number on the financial transaction. All loan product codes (product codes associated with master code ML or MLLN) must be associated to this process ID. When defining the product code for the transaction, the credit union administrator may place a common note number in the Ext column that will display in the Functions column on the Transactions tab. When the user selects the loan product code to make a payment, the Member Loans dialog box appears to let the user select the member’s note number to apply the payment and indicate if the payment is a principal only payment. This list does not include loan types K (vendor credit card), M (vendor mortgage loans), or E (vendor student loans). If the Functions column already displays a note number and the member has that note number, the Member Loans dialog box will not appear. The user must click the ellipsis button to display the Member Loans dialog box. You can set up a principal-only loan payment product code by including an asterisk in the first position of the Ext field on the To side of the Transaction Definition window. The principal-only indicator can be added to the loan payment product code on both the Transactions - Deposits, Withdrawals, Payments, Transfers tab (ALD) and the Transactions – Bond Redemption Detail tab (ALB).

AE - Used on the To side to require an IRA deposit code. Required for all IRA share types (master code MI). An IRA deposit code is required if the product code is on the To side of the transaction. There is no need for the credit union administrator to place a common deposit code in the Ext column as deposit code C (current year) is the system default. After the user selects a product code associated with this process ID on the Transactions tab, he/she can click the ellipsis button to display the IRA Deposit Codes dialog box and select an IRA deposit code. If no code is selected, Portico will use the system default C (current year).

AF - Used on the To side to place a hold on the funds being deposited, or set up a new share account for the member. Valid only for master code MS (member shares). After the user selects a product code associated with this process ID on the Transactions tab, he/she can click the ellipsis button to display the Check Hold dialog box. The user can specify what type of check hold, the number of check hold days, and the amount of the check hold.

For example, a user selects one of the member's current share accounts. On the Check Hold dialog box, a 7 day exception hold is placed on the member's deposit of $1259.00 (the amount is represented in whole dollars only). When the user clicks OK on the Check Hold dialog box, 7N1259 will appear in the Functions column.

If the member does not currently have the share account selected, Portico will create a new share account for the member and Y will appear in the first position in the Functions column.

AG - Used on the From side to reverse a fee. Used on the To side to assess a fee. Valid only for secondary product codes that are linked to a primary product code to assess a fee, such as money orders, traveler’s checks, and cashier’s checks. AJ - Used on the To side with those product codes which update or process vendor mortgage loan payments for a member. Only valid for product codes defined with master code FICS. If the member only has one vendor mortgage loan (most common), the note number automatically appears in the Functions column and the dialog box does not automatically appear.

AK - Used on the To side to assess a fee when the withdrawal from the member's share type exceeds the number of withdrawals allowed per period and the balance of the share account is not greater than or equal to the minimum amount to waive the fee. Valid only when the product code using this process ID has been linked to the share product code that should be considered for the excess withdrawal fee. When the share product code has been selected that has a secondary product code set up with this process ID, the Transaction Fee dialog box will appear to allow the user to specify whether or not the fee will be assessed. If there is a default fee associated with this product code, a check box will appear on the Transaction Fee dialog box to let the user indicate that the default amount should be used. If the check box has been selected, the default fee amount should appear in a preview row underneath the associated primary product code. The user cannot change the fee amount and can only determine that they want to assess the fee. The Transaction Fee dialog box will not appear if a member's Account Analysis is set up with a soft dollar or flat fee charge type. AL - Used on the To side for TISA-related fees that do not have a secondary link to a master code on the From side. Valid only for product codes with a master code GI (G/L income) or GO (G/L other). If a fee product code defined with this process ID is selected on the Transactions tab, the Member Shares Fee dialog box appears to let the user select the share account the fee is associated with.

AM - Used on the From and To side for Shared Service Center product codes to provide access to the list of guest member share accounts and loans.

AN - Used on the To side to override automatic hold processing when depositing checks received to a share account for the member. Valid only for master code MS (member shares). This process ID is used when the Automatic Check Holds field is D-Hold is placed where the deposit is being made on the Credit Union Profile - Teller tab. The Functions column on the Transactions tab is used to override the automatic check holds. The AN process ID works in conjunction with the Check Log and/or Check Information group box in the top right corner of the Transactions tab. After the user selects a share product code associated with this process ID on the Transactions tab, he/she can click the ellipsis button to display the Check Hold Options dialog box. The user may specify that the entire Local check hold amount in the Check Information group box should be held against the share, that the entire Exception check hold amount be held against the share account, or that both the entire Local and entire Exception check hold amounts should be held against the specified share. If the user selects L – Hold all local checks on this account from the Check Hold Options drop-down list, the Functions column will display L. If the user selects LN – Hold all check funds on this account, the Functions column will display LN.

If the member does not currently have the share account selected, Portico will create a new share account for the member and Y will appear in the first position in the Functions column.

AO - Used on the To side for credit card payments (K). When user selects a product code associated with this process ID, the Member Loans dialog box appears allowing the user to select the credit card to apply the payment to. If the member only has one credit card, the credit card automatically appears in the Functions column and the dialog box does not automatically appear.

AP - Used for third-party educational loan payments (E). When user selects a product code associated with this process ID, the Member Loans dialog box appears allowing the user to select the loan note number to apply the payment to. If the member only has one loan note number (most common), the note number automatically appears in the Functions column and the dialog box does not automatically appear.

AP - Used on the To side for third-party educational loan payments (E). When user selects a product code associated with this process ID, the Member Loans dialog box appears allowing the user to select the loan note number to apply the payment to. If the member only has one loan note number, the note number automatically appears in the Functions column and the dialog box does not automatically appear.

AZ - Used on the To side to allow a loan fee to be associated with a loan note number and reported as such on statements for open-end loans and all loans with loan billing statements. This allows a product code on the Transactions – Deposits, Withdrawals, Payments, Transfers tab to be considered a loan fee. When a fee amount is entered, a loan note number will be required. The To product code description will be used as the fee description in the FEES section of the statement. The fee amount entered will be added to the statement-to-date fee totals for the note number entered. For loan advance fees, add the loan fee product code (e.g. FA) to the To side of the ALD – Deposits, Withdrawals Payments, Transfers transaction and use AZ as the process ID.

To Txn

The transaction(s) the system will perform for a product code on the To side. The valid options are:

269 - Share Deposit from GL. Can be used with master code MS.

661 - Loan Payment. Can be used with master code ML.

668 - Vendor Loan Payment. Can be used with master code FICS.

66C - Credit Card Payment. Can be used with master code MDCC.

66E - Educational Loan Payment. Can be used with master code MLEL.

703 - GL Journal Voucher Entries. Can be used with master code CB or with a master code beginning with the letter G.

Blank - Use for all cash master codes, those that begin with the letter C or for all general ledger master codes, those that begin with the letter G

Click Save to save the compound transaction. The Last Changed field indicates the last time the compound transaction was updated.

The Entries Remaining field displays the number of product codes that you may add. If zero (0) appears in this field, you may not add any more product codes for the transaction. You must delete one of the product codes before you can add another one. You may add a maximum of 43 product codes per transaction.

The Lines Per Page field tells you how many lines of product codes per page are available for the transaction. The lines per page vary by transaction. The system counts each product code, label, and total line. For example, the Transactions – Money Orders tab (ALM) has 6 lines per page, and the Transactions - Deposits, Withdrawals, Payments, Transfers tab (ALD) has 14. If you have more product codes than available lines, click the grid right arrow and continue adding on the next page. The maximum number of lines allowed on the screen for product codes are:

14 - ALA, ALD, ALR, and ALS Transactions

The Page Displayed field indicates the page number. Click the right arrow to scroll to subsequent pages.

The Suspended Transaction check box will be selected if an error occurred with the compound transaction or a change was made to a product code used on the compound transaction. If an error occurred, the error message will indicate how to correct the problem. If the error message does not state how to correct the problem, a change was made to a product code used on the compound transaction. In this situation, click the Save button fix the compound transaction.

Select Delete Txn to delete the compound transaction. The Delete Txn button was originally created to support credit unions that create a custom transaction (ALD) for each teller. When a teller leaves the credit union, you can delete the custom transaction for that teller. Creating a custom transaction (ALD) for each teller is no longer a common practice. Most credit unions prefer to create a single custom transaction (ALD) for all their tellers.

Depending on how you customize the transaction, the system can require that you include specific master codes on the transaction. If a required master code is not included or is incorrect, the Transaction Definition window responds with an error message indicating which master code is required and suspends the transaction, making it unusable. You must add the required master code in order to use the transaction. Suspended transactions appear on the Suspended Transactions window.
