The Referral - New window lets you refer the member to a member services representative for a callback about the product or service. To open the Referral - New window from the Opportunities pop-up window, select a cross sell plan from the Opportunities grid. Then, click the referral shopping bag icon to open the Referral - New window.

How do I? and Field Help

To open the Referral - New window from the tool bar, click the down arrow next to the shopping bag icon and click Referral. When the Referral - New window appears, the following fields are automatically completed, but can be modified as needed:

Field Description

Member Number

The account number associated with the member. If the window is accessed from the Cross Sell Opportunities window, this field will contain the account number of the member currently being processed in Portico.

Length: 12 numeric

Member Name

The name of the member. If the window is accessed from the Cross Sell Opportunities window, this field will contain the name of the member currently being processed in Portico.

Length: 23 alphanumeric

Product

Click the down arrow to select the product or service for referral. If the window is accessed from the Cross Sell Opportunities window, this field will contain the product or service associated with the cross sell plan selected on the Cross Sell Opportunities window.

For manual referrals, the Product drop-down list on the Referral - New window will list the product groups followed by specific products and services.

This field is disabled if the product or service referred is associated with an MCIF product group.

Incentive

The incentive offered for the referral. If the window is accessed from the Cross Sell Opportunities window, this field will contain the incentive defined for the cross sell plan. Administrative authority is required to modify this field.

Complete the remaining required fields indicated with an asterisk (*):

Field Description

Origin of Sale

Click the down arrow to select the department where the referral was made to the member. System default is the current user's origin of sale specified on the User Profile - Cross Sell tab.

Referred By

Click the down arrow to select the individual that should receive credit for referring the product or service to the member. System default is the user currently logged into Portico.

Referral Date

Click the down arrow to select the date of the original referral from the calendar or enter the date in MM/DD/YYYY format. System default is today's date.

Referral Time

The time of the original referral in HH:MM:SS format using a 24-hour clock. System default is the current time.

Complete the following optional fields if desired:

Estimated Amount

The estimated amount if the product or service referred to the member is sold.

Length: 12 numeric

Follow-up Date

Click the down arrow to select a date the member should be called back from the calendar or enter the date in MM/DD/YYYY format.

Follow-up Time

The time the member should be called back in HH:MM:SS format using a 24-hour clock.

Assign To

Click the down arrow to assign the referral to a specific department.

Heard about product from?

Click the down arrow to select the credit union-defined source of the referral, e.g. mailing campaign, member referral, or advertisement.

Comment

Additional comments about the referral. To assist you with protecting cardholder data, an algorithm is used to determine if card data has been entered in the Comment field. If card data is identified, a warning message will appear. You can click OK to continue saving the date or click Cancel to remove or mask the card data. In the Comment group box on the Referral - Update window, click Add to add comments about the existing referral. The Comment - New window will appear.

Click Save to save the referral information and close the window. Click Cancel to close the window without saving the referral information.

Click the Task Reminder icon to add the task to your Outlook calendar. The member name and follow-up date appear on the Outlook task. To access the Task Reminder icon, you must be a member of the Portico – Outlook Tasks security group or you can assign the Outlook Tasks – User Can Create Outlook Tasks permission to an existing credit union-defined security group using the Security Group Permissions – Update window.

On the Referral – Update window, an Opportunity Text box displays the text from the Opportunities dialog box to let you view the sales script specific to that referral. In addition, a Comments group box lets you review and add comments about the referral.

The Void check box will be checked if the referral was voided. Click Void to void the referral.

Click Trade Lines to view the qualified trade lines.
