The Part I tab lists all individuals that benefited from the funds being deposited into or withdrawn from the account. To access the Draft CTR dialog box, click CTR Processing within the BSA Reporting menu on the Portico Explorer Bar. On the CTR Processing menu, click Actions, then click CTR Queue. The CTR Queue window appears. Click the CTR Draft Form icon button to display the Draft CTR dialog box.

How do I? and Field Help

The Multiple Transactions check box will automatically be selected if multiple transactions are involved.

The Part 1 Section A grid displays the following information:

Column Heading Description
Unlabeled To delete an individual from the report, select the check box in the first column of the row and click Delete. To move an individual on the report, select the check box in the first column of the row and click Move. You cannot delete or move the individual who completed the transaction that triggered the CTR.
Report Sequence The sequence the names should appear on the report.
Name The name of the individual who processed the financial transaction.
TIN The taxpayer ID of the individual who processed the financial transaction. Portico masks taxpayer ID numbers using asterisks followed by the last 4 digits of the number.
Address The address of the individual who processed the financial transaction.
Occupation The individual's occupation.
DOB The individual's date of birth.
ID Verified Select the check box if the individual's ID has been verified.
Cash In The amount of cash deposited. Only the cash amount that contributed to reaching the CTR threshold will appear.
Cash Out The amount of cash withdrawn. Only the cash amount that contributed to reaching the CTR threshold will appear.
Txns Click the icon button to display the add/maintain version of the Currency Transaction Details dialog box.

To delete an individual from the report, select the check box in the first column of the row and click Delete.

To move an individual on the report, select the check box in the first column of the row and click Move. A new draft CTR will be created and displayed on the CTR Queue window.

To create a duplicate copy of a CTR, click Copy. The CTR copy will retain all the information and is assigned a new CTR number. You can maintain the information on the Draft CTR dialog box. The CTR Queue will list both the copy and the original CTR. Once you've created a copy of a CTR, don't forget to cancel or maintain the original CTR to prevent filing a duplicate CTR.

If a name in the grid appears in red, this indicates there is missing data. To add or maintain the demographic information, complete the following fields:

Field Description

First

Enter the first name of the individual selected as the individual who conducted the transaction being reported on the CTR report.

Length: 15 alphanumeric

Middle

Enter the middle name of the individual selected as the individual who conducted the transaction being reported on the CTR report.

Length: 35 alphanumeric

Last/Legal

Enter the last name of the individual selected as the individual who conducted the transaction being reported on the CTR report.

Length: 20 alphanumeric

You can also enter the business or entity name in the Last field instead of using the Alternate Name (AKA) or Doing Business As (DBA) field. Be sure to leave the First and Middle fields blank if you are entering a business name in the Last field.

Suffix

Enter the suffix to the name listed, e.g. Jr., Sr., PhD. This field can be customized on the Customized Field - Update window.

Gender

From the drop-down list, select the gender of the individual (F-Female or M-Male). If not an individual, leave the field blank or select B-Business, C-Corporation, D-Doing Business As, O-Organization, or U-Unknown.

Birth Date

The birth date of the individual selected as the individual who conducted the transaction being reported on the CTR report. Click the down arrow to select the birth date from the pop-up calendar or enter the date in MM/DD/YYYY format. The Birth Date field is only required if the Gender field is Male or Female. Portico masks birthdates. You can click inside the field to show the birthdate. When you tab out of the field, the birthdate is masked. The birthdate will remain unmasked as long as the field has focus. Portico logs each time a user clicks inside a field to view a birthdate in the View Sensitive Data Audit report.

TIN Type

The tax ID type: SSN, EIN or ITIN.

TIN

The taxpayer ID number of the individual who performed the financial transaction. This can be the Social Security Number (SSN), Employer Identification Number (EIN), or Individual Taxpayer Identification Number (ITIN). Portico partially masks taxpayer ID numbers. If you are assigned to the Portico – User Can View/Maintain TIN security group or a credit union-defined security group with the Portico – User Can View TIN permission or the Portico – User Can Maintain TIN permission, an eye indicator will appear within the field to indicate that you have permission to view the taxpayer ID number. You can click inside the field to show the taxpayer ID. When you tab out of the field, the taxpayer ID will be masked. The taxpayer ID will remain unmasked as long as the field has focus.

Length: 9 numeric

Alternate Name (AKA) or Doing Business As (DBA

The name of the company that the individual performing the transaction represents. You can also enter the business or entity name in the Last field instead of using the Alternate Name (AKA) or Doing Business As (DBA) field. Be sure to leave the First and Middle fields blank if you are entering a business name in the Last field.

Length: 120 alphanumeric

Foreign

Select this check box if the address is foreign.

Line 1

Enter line 1 of the primary address for the individual selected as the individual who conducted the transaction being reported on the CTR report. This field cannot contain all blanks.

Length: 50 alphanumeric

Line 2

Enter line 2 of the primary address for the individual selected as the individual who conducted the transaction being reported on the CTR report.

Length: 50 alphanumeric

City

Enter the city where the individual resides.

Length: 50 alphanumeric

Country

If the Foreign check box is checked, select the foreign country from the Country drop-down list.

State/Province

Click the down arrow to select the correct state abbreviation from the drop-down list. If Canada or Mexico is selected from the Country drop-down list, the State/Province drop-down list will include all province codes for Canada and Mexico.

ZIP

Enter the postal ZIP Code for the address listed. For domestic addresses, the ZIP code must be either 5 or 9 digits. For foreign addresses, the ZIP code can be up to 10 characters.

If the Foreign check box is not selected:

  • A valid ZIP Code must be entered without the dash.
  • Alpha characters are not allowed.

If the Foreign check box is selected:

  • The member ZIP Code field is optional.
  • Alpha characters are allowed.

Length: 9 numeric (10 alphanumeric if the Foreign check box is selected.)

Email

Enter the individual's email address.

Length: 50 characters

Phone

Enter the complete phone number including area code for the individual.

Length: 10 numeric

ID Type

Click the down arrow to select the ID type. The valid values are: Driver license or state ID, Passport, Alien registration, or Other.

ID Issued By

Enter the state or entity that issued the ID.

Length: 17 alphanumeric

ID Number

Enter the ID number of the individual.

Portico masks driver license numbers. You can click inside the field to show the driver license number. When you tab out of the field, the driver license number will be masked. The driver's license number will remain unmasked as long as the field has focus. Portico will log each time a user clicks inside a field to view a driver license number in the View Sensitive Data Audit report.

Length: 17 alphanumeric

ID Country

If the ID is foreign, select the foreign country from the Country drop-down list. The system default for the Country field is US – United States of America. If Canada or Mexico is selected from the Country drop-down list, the State/Province drop-down list will include all province codes for Canada and Mexico.

ID State/Province

Click the down arrow to select the correct state abbreviation for the ID from the drop-down list. If Canada or Mexico is selected from the Country drop-down list, the State/Province drop-down list will include all province codes for Canada and Mexico.

ID Description

Enter the description of the ID.

Length: 17 alphanumeric

NAICS Code

Enter the North American Industry Classification Source Code. Click the PDF link next to the NAICS Code field to view the list of acceptable NAICS codes.

If you used the Industry Classification field on the Ownership Information tab prior to the November 2012 release, the field value from the Industry Classification field will appear in the NAICS Code field. This information is included in the transmission to AML Compliance Manager.

Length: 6 numeric

Occupation

Enter the occupation of the individual selected as the individual who conducted the transaction being reported on the CTR report. This field can be customized using the Customized Fields window. The custom field value will be reported on the CTR sent to the BSA website.

Length: 25 alphanumeric

Four options appear in the bottom right corner of the Part I tab. You must select one of these options when completing the CTR.

  • The Conducting transaction on own behalf option indicates if the transaction was performed on the individual's own behalf. If the TIN of the individual collected on the Individual Conducting Transaction SSN dialog box matches the TIN of one of the individuals on the grid, then select this option.
  • The Conducting transaction for another option indicates if the individual listed in the Part I Section A grid performed the transaction on behalf of another individual.
  • The On whose behalf transaction was conducted option indicates if a different individual conducted the transaction on behalf of the individual listed in the Part I Section A grid.
  • Select the Common Carrier option if the transaction was performed using a courier/carrier service.

Click Save to save your changes to the draft CTR. Click Cancel to close the dialog box without saving your changes. Click New to create a new draft CTR.

Click the View Details icon button beneath the CTR number to display the read-only version of the Currency Transaction Details dialog box.

The E-Filing format requires that any person or individual being reported as part of the CTR have an amount associated to them, as well as an account number associated to them. The amount per person must be greater than zero. The Cash In field indicates the amount of cash deposited, and the Cash Out field indicates the amount of cash withdrawn.
