FICS Troubleshooting

Accounting
Question: What do I do when the FICS clearing account GL did not reset to zero after the activity downloaded from FICS?
Answer: Complete the following steps:
- Verify that payments that processed today are not included. Cross-reference the FICS clearing account to ensure that only credit entries for those payments appear.
- Check the GL Balances Uploaded report for the date Portico payments were processed. Are there any exceptions for this date and were those exceptions corrected?
- Compare the Mortgage Servicer financial activity reports. Were any payments posted directly to the FICS system? If so, was a journal voucher entry performed between the cash/checks received GL and the FICS clearing account GL. If the clearing account GL is set up in the FICS Mortgage Accountant Distribution Master, a journal voucher entry must be performed between these two accounts when the bank deposit is prepared at the end of the day. Perform the journal voucher entry only if the payment was posted directly to FICS Mortgage Servicer.
- Compare the Mortgage Accountant reports with those that came from the Mortgage Servicer daily report run. Did the general ledger activity uploaded to Portico match the activity listed on the FICS Mortgage Servicer reports for that date?
- If you have recently set up the FICS Mortgage Accountant Distribution Master or a new Investor Grouping, verify that it was set up properly. Ensure that transaction codes 12 and 13 were not set up to process against the FICS clearing account GL.
Question: Why were the debits and credits reversed when the general ledger activity was uploaded to Portico (e.g., interest hit as a debit when it should have been a credit)?
Answer: When the amounts are correct, but the sign is switched, it usually means that the Distribution Master has not been set up correctly. The +/- field on that master indicates that the general ledger account should be debited or credited (e.g., A plus (+) means a debit entry, and a minus (-) means a credit entry).
Payment Type
Question: If I have a problem with FICS processing for payment types, what do I need to know to resolve the problem?
Answer: Locate the payment type below. The payment type translates into a lockbox transaction that allows the FICS mortgage loan to process.

System Error Messages
The following error messages refer to Portico FICS Integration only.
Question: What do I do when I receive this error message?
Answer:
- AMOUNTS NOT EQUAL - The transaction amount must be greater than the scheduled payment amount.
- CREDIT UNION NOT AUTHORIZED - Verify that Y is specified in the Interface field in the Vendor Mortgage section on the Credit Union Profile - Loans tab.
- CURRENT LATE CHARGES DUE WITH PAYMENT - If a regular payment is made and the late charge is greater than zero, the transaction amount must be the current late charge plus the scheduled payment. Note: A 90 series teller or an authority of LO or AL can override the message. Then, only scheduled payment is taken.
- DOWNLOAD FAILED - Verify that the setup options are correct.
- EFF DATE IS PRIOR TO THE LAST TXN DATE - A 90 series teller or an authority of LO or AL can override the message.
- HOLD CODE ON LOAN - A 90 series teller or an authority of LO or AL can override the message.
- LOAN UPDATES FAILED - Verify that the setup options are correct.
- PLEASE ENTER VALID TELLER ID. PLEASE CORRECT OR CLEAR TO CANCEL - Verify that your teller ID has been set up.
- TELLER ID CLOSED. PLEASE CORRECT OR CLEAR TO CANCEL - Verify that your teller ID is open.
- TRANSACTION AMOUNT MUST EQUAL REGULAR PAYMENT AMOUNT - The payment type must be the regular payment. LO or AL authority can override this message.
