Setting Up Share Draft Courtesy Pay
You can automatically post share draft items when there are insufficient funds to cover the draft amount using Courtesy Pay funds. Share draft account balances will be allowed to have a negative balance up to a credit union-defined negative available balance limit.
The following fields and checkboxes in the Courtesy Pay section on the Credit Union Profiles - Shares tab support Share Draft Courtesy Pay.

New Account Open |
Indicates if you want to base the new account eligibility period for Courtesy Pay on the Date Joined field on the Contact Information tab or the Opened field in the Dates group box on the Shares - General tab. The valid values are: J - Date Joined. The system compares the value of the New Account Period field with the Date Joined field on the Contact Information tab to determine whether a member is considered new. New Account Period |
The number of calendar days up to 999 that the system will consider as the new account period for Courtesy Pay. The period can be calculated from either the Date Joined field on the Contact Information tab or the Opened field in the Dates group box on the Shares - General tab. You can use the nonreturn fee tables in the Share Draft and ACH Exception Fees section on the Shares tab to define a flat fee amount or set up tiered fees based on the available balance after posting. You can define a beginning balance for each tier and specify different fee amounts for each category.
The following fields on the Credit Union Profile - Member tab support the direct deposit requirement that can be used with Courtesy Pay:

If this option was selected before November 2009, the Courtesy Pay limit is included in the share draft available balance displayed on the Account Listing grid, Shares – General tab, and Shares - Draft Info tab. The Courtesy Pay available balance will not be included in the calculated available balance that is displayed at ATMs, debit card transactions, Online Banking or Audio Response. Be sure to set up the following reports:
- The Courtesy Pay Negative Shares Report 242 identifies all the share draft accounts that have a negative balance as a result of Courtesy Pay processing. The 242 Report includes the share balance, Courtesy Pay limit and the number of days that an account has had a negative balance as a result of Courtesy Pay processing.
- The Courtesy Pay Loan, Charge Offs, and New Accounts Revoked Report 244 contains three sections:
- The New Loans and Advances section displays new Courtesy Pay loans created and advances on existing Courtesy Pay loans, including the member number, share type, share balance, note number, payment due date, loan balance, and payment amount.
- The Charged Off Share Accounts section displays the accounts charged off, including the member number, share type, charge off code and charge off amount.
- The New Accounts Revoked section lists new accounts where the Courtesy Pay Option field on the Shares - Draft Info tab will be changed to R - Revoked at the end of the new account period.
- The Courtesy Pay Status Report 245 lists all Courtesy Pay status changes and conditions that cause the account to be active, not active, suspended, or not suspended.
Changes may need to be made to your ASP message on the Notice Messages window to be consistent with your Courtesy Pay option. You can choose to produce one nonreturn notice for all nonreturn share draft items by using only the ASD message detail. To produce a notice for individual nonreturn share draft items, delete the ASD message detail and set up the ASF, ASN, ASO and/or the ASP message detail accordingly.
Any members with zeroes in the Date Joined or Birth Date fields on the Contact Information tab, or the Opened field in the Dates group box on the Shares – General tab will not qualify for Courtesy Pay. Be sure to identify those members and make any necessary field adjustments before activating Courtesy Pay.
Setting Up Share Charge Off
Portico can automatically charge off a negative share draft balance caused by Courtesy Pay after a credit union-defined number of days. The negative balance is brought to zero during the back-office cycle by debiting a credit union-defined general ledger and crediting the share draft account. When the share draft account is charged off, the back-office cycle will disable Courtesy Pay on the specific share draft account affected and the account will be flagged as closed.

Share Charge-off Days |
The number of calendar days between 01 and 60 before a negative share draft account balance caused by Courtesy Pay processing is automatically charged off. The date of the automatic charge-off is determined using the value in the Share Charge-off Days field and the date in the Went Negative field on the member’s Shares - Draft Info tab. For example, if the Share Charge-off Days field is 45 and the Went Negative field is 8/11/11, the negative balance as of 9/24/11 will be charged off at the end of the PM back-office cycle on 9/24/11. Portico will automatically charge off the entire negative share draft balance if a Courtesy Pay item created any portion of that negative share draft balance. Valid values are 00 - 60. A value of 00 indicates that the option is not used. System default. If the Courtesy Pay share type is also set up to fall into Collections, the account will fall into collections, when the Courtesy Pay negative amount is within the credit union-defined collection amount and is negative more than the credit union-defined number of grace days. Be sure to set up the Courtesy Pay Loan, Charge Offs, and New Accounts Revoked Report 244. The 244 Report displays the accounts charged off, including the member number, share type, and charge-off amount.
The descriptions that will appear on the member statements for share and share draft charge offs are SHARE CHARGE OFF or SHARE DRAFT CHARGE OFF.
Setting Up Extended Courtesy Pay
Extended Courtesy Pay lets you use Courtesy Pay funds to post teller-line withdrawal transactions, and clear on-us checks. Plus, you can exclude a member from Courtesy Pay if the member is less than a specified age or if the member has a delinquent loan.

Grace Days |
The number of grace days allowed for a loan that goes delinquent, which excludes an account from being eligible for accessing Courtesy Pay funds. If a member on Courtesy Pay has a loan that becomes delinquent, that member will not be able to access those funds when the number of days past the next payment due date exceeds this number. The Grace field is valid for loans with Delinquency Method D calculations if the loan due date is in the past. For online Courtesy Pay, the Share Withdrawals field in the Delinquency Options section on the Credit Union Profile - Loans tab indicates the system requires an override teller ID on share withdrawals for members with delinquent loans. The Delinquent checkbox must be selected to use the Grace field. However, you can leave the Grace field blank to disqualify a member from using their Courtesy Pay funds because they have a delinquent loan even though it has only been delinquent 1 day. If selected, Portico will identify your credit card processor and determine if the credit card is delinquent before authorizing the use of Courtesy Pay funds. Delinquent Mortgage Loan |
If selected, Portico will determine if the FICS or MLS mortgage loan is delinquent before authorizing the use of Courtesy Pay funds. Consider Invalid Address |
If selected, Portico will identify the active address, and then review the Address is Invalid checkbox on the Contact Information tab to determine if the member has an invalid address. . The Invalid Address indicator will appear in the Courtesy Pay group box on the Shares – Draft Info tab to notify you that the member’s address is invalid and Portico will not use Courtesy Pay funds to post ACH, share draft, ATM, debit card or Online Banking withdrawals, or to authorize debit card withdrawals. The following messages details support online Courtesy Pay and uncollected funds:
- OCO - O/L COURTESY PAY NOTICE When a teller performs a transaction using Courtesy Pay, the notice will produce in that night’s cycle.
- OUN - O/L UNCOLLECTED NOTICE When a teller performs a transaction using uncollected funds, the notice will produce in that night’s cycle.
- OUE - EFT UNCOLLECTED NOTICE When a member performs an EFT transaction using uncollected funds, the notice will produce in that night’s cycle.
Setting Up Courtesy Pay Loans
You can flag a negative Courtesy Pay share draft account to automatically create a loan in the next back office cycle using credit union-defined default values. The loan brings the share draft account balance to zero and Portico disables Courtesy Pay on the account. Any additional share draft overdraft protection options, such as overdraft protection or uncollected funds, will remain the same. You can view and maintain the Courtesy Pay loan using the Loans tab.
The Courtesy Pay loan will remain on the system after the loan balance is zero. If the share draft account becomes negative again and the Courtesy Pay loan has a zero balance, you can select the Create a Loan checkbox in the Courtesy Pay group box on the Shares - Draft Info tab to perform a loan advance on the existing Courtesy Pay loan.
Portico will use the Courtesy Pay Loan information from the Share Profiles - Courtesy Pay tab and the system defaults on the New Loan - Setup tab to create an open-end Courtesy Pay loan in the back-office cycle. Courtesy Pay Loan Balances and Terms: Maximum Balance and Maximum Term |
The maximum balance amount to which the Courtesy Pay loan term applies. On plateau terms, the balances must be in ascending order. If the Maximum Balance field is zero, then the subsequent Maximum Term and Maximum Balance fields must also be zero. If the Maximum Term field is greater than zero and the Maximum Balance field associated with the Maximum Term field is zero, then any amounts exceeding the amount in the last Maximum Balance field apply to the last term. Be sure that the Indicator field on the Loan Profiles - Account Information tab for the Courtesy Pay loan type specifies L – Line of Credit.
Be sure to set up the following associated reports:
- Courtesy Pay Loan, Charge Offs, and New Accounts Revoked Report 244 - Displays the new Courtesy Pay Loans created and any new advances on an existing Courtesy Pay loan, including the member number, share type, note number, payment due date and payment amount.
- Courtesy Pay Loan Notice Report 695 - Produces notices for new Courtesy Pay loans and new advances on existing Courtesy Pay loans.
- New Loans Report 080 - Displays any new Courtesy Pay loans.
- Non-Financial Transaction Register Report 030 - Records all nonfinancial information.
The descriptions that will appear on the member statements for Courtesy Pay Loans are COURTESY PAY NEW LOAN and COURTESY PAY LOAN ADV.
Setting Up Courtesy Pay for ACH Debit Items
You can use the Courtesy Pay limit to post ACH debit items. The Courtesy Pay field in the ACH section on the Credit Union Profiles - ACH/Payroll tab (Portico Host: 907 Transaction - ACH CP field) indicates if Portico will draw a share draft account negative up to a credit union-defined negative available balance limit when posting ACH debit items to a share draft account. You must have Share Draft Courtesy Pay to post ACH debit items using Courtesy Pay. The valid values are:
- Y - Use Courtesy Pay to post ACH debit items. Post ACH debit items by drawing the share draft account negative up to the credit union-defined negative available balance limit on the Share Profiles window and the Shares - Draft Info tab.
- X - Use Courtesy Pay to post ACH debit items for all member accounts except new member accounts. Courtesy Pay will automatically be set up for new share draft accounts, but will not be available until the new account period has expired. The exception period for the new account is specified in the New Account Open and New Account Period fields on the Credit Union Profile – Shares tab. The Processing Option field must be X in the Courtesy Pay section on the Credit Union Profile – Shares tab.
The following fields in the ACH Fees section on the Credit Union Profiles - ACH/Payroll tab lets you set up the default fee and notice options for items posted using Courtesy Pay funds.

In the Posting Options group box on the ACH Processing Options window, select the Use Courtesy Pay checkbox to post ACH debit items against a share draft account up to the credit union-defined negative available balance limit specified on the Share Profiles - Courtesy Pay tab and Shares – Draft Info tab. The Courtesy Pay field on the Credit Union Profile – ACH/Payroll tab must be Y or X to select the Use Courtesy Pay checkbox on the ACH Processing Options window.
If the Share Balance field is Post to negative (N) or Post to zero (Z), Courtesy Pay posting of ACH debit items is not allowed and the items will process based on the share option selected. If the Share Balance field is Post to minimum (M), and the Use Courtesy Pay checkbox is selected, ACH items will post using the Courtesy Pay negative available balance limit.
Be sure to set up the following associated reports:
- ACH Courtesy Pay Notices Report 167 - Generates notices for ACH items posted using Courtesy Pay funds.
- ACH System Posting/Exception Report 170 - Displays ACH items posted using Courtesy Pay funds.
- ACH Origination Posting/Exception Activity Report 173 - Displays ACH items posted using Courtesy Pay funds.
- ACH Fees Report 169 - Displays fees assessed for ACH items posted using Courtesy Pay, including fee codes and summary totals.
The Print Notices field must be O or B to use ACH NSF Fees and Notices.
ACH items posted using Courtesy Pay will appear on the History – ACH NSF/Return History tab. The fee messages that will appear on a member's statement for ACH items paid using Courtesy Pay are PA ACH COURTESY PAY FEE and PM ACH COURTESY PAY MAXIMUM FEE.
Setting Up Courtesy Pay for Bill Pay, ATM, and Debit Card
You can use the Courtesy Pay limit to post share draft transactions using Bill Pay, ATM, and Debit Card. You must have Share Draft Courtesy Pay to use Courtesy Pay to post Bill Pay, ATM, and Debit Card share draft transactions.
The following fields and checkboxes in the Courtesy Pay section on the Credit Union Profile - Shares tab, activate Courtesy Pay for ATM, Debit Card, and Bill Pay.

Images of notices will be stored in Nautilus Essentials Documents in the Notices repository. Notices will also be recorded in Notice History. Select the Date Produced button to display the notice in Nautilus Essentials Documents.

Be sure to set up the following associated reports:
- EFT Courtesy Pay Notices Report 273 - Produces a notice to inform members that a fee was assessed for posting an ATM, Debit Card, or Virtual Branch Bill Pay share draft item using the Courtesy Pay credit union-defined share draft negative available balance limit. The 273 Report consists of hard copy notices only. One credit union-defined message detail is available for this notice. Use the Notice Messages window to edit the OCP message detail for EFT Courtesy Pay activity. If no message detail is entered, the notice will still be produced.
- Network Cardholder Activity Report 904/914 - Displays ATM, Debit Card, and Bill Pay share draft transactions posted using Courtesy Pay funds. The following indicators identify transactions posted using Courtesy Pay funds:
- A - Used Courtesy Pay with Uncollected funds to process
- C - Used Courtesy Pay to process
- Online Network ATM/POS Fees Report 908 - Displays fees assessed as a result of Courtesy Pay processing. The TRANSACTION DESCRIPTION column displays ATM CP FEE or ATM CP FEE REV if the fees were assessed as a result of Courtesy Pay processing.
The Notices field in the Overdraft Protection section on the tab must specify E, F, G, H, or, P to produce the EFT Courtesy Pay notices. Notices will only be produced if a fee is assessed.
The fee messages that will appear on a member's statement for using Courtesy Pay funds to post ATM, Debit Card and Bill Pay share draft transactions are F3 COURTESY PAY FEE and F4 COURTESY PAY FEE REVERSAL.
