Recording a Sale

If you add a new product or service using the tabs within Financial Transactions, the sale will be recorded in Cross Sell and Tracking. When the credit union employee successfully adds the new service or product, the sale will be recorded in Cross Sell and Tracking with the employee receiving credit for the sale. The origin of sale will default to the employee’s origin of sale and the sale date will be the effective date of the transaction.

To add a new sale from the Opportunities pop-up window, select a cross sell plan from the Opportunities grid, then click the sale shopping bag icon. The appropriate Portico window or dialog box will appear to let you complete the sale. The sale will automatically be recorded in Cross Sell. You can view the sale information from the Sale History window.

You can also record a sale on the Sale - New window. To open the Sale - New window and record a sale, complete the following steps:

  1. Locate the member using the search tool on the top menu bar. Select the down arrow to select the search method, then enter the search criteria. Select the green arrow or press ENTER to locate the member.
  2. On the tool bar, click the down arrow next to the shopping bag icon and click Sale.

How do I? and Field Help

When the Sale - New window appears, the following fields are automatically completed, but can be modified as needed:

Field Description

Member Number

The account number associated with the member. If the window is accessed from the Cross Sell Opportunities window, this field will contain the account number of the member currently being processed in Portico.

Length: 12 numeric

Member Name

The name of the member. If the window is accessed from the Cross Sell Opportunities window, this field will contain the name of the member currently being processed in Portico.

Length: 23 alphanumeric

Product

Click the down arrow to select the product or service sold. If the window is accessed from the Cross Sell Opportunities window, this field will contain the product or service associated with the cross sell plan selected on the Cross Sell Opportunities window.

Sold By Incentive

The incentive offered for the sale. If the window is accessed from the Cross Sell Opportunities window, this field will contain the incentive defined for the cross sell plan. If the product sold is a loan and tiered incentives are defined for the associated cross sell plan, this amount is the loan officer's incentive amount. Administrative authority is required to modify this field.

Loan Processor Incentive

The incentive offered to the loan processor for the sale. If the window is accessed from the Cross Sell Opportunities window, this field will contain the loan processor incentive defined for the cross sell plan. If the product sold is a loan and tiered incentives are defined for the associated cross sell plan, this amount is the loan processor's incentive amount. Administrative authority is required to modify this field.

Complete the following required fields indicated with an asterisk (*):

Field Description

Origin of Sale

Click the down arrow to select the department where the sale was made. System default is the current user's origin of sale specified on the User Profile - Cross Sell tab.

Sold by

Click the down arrow to select the individual that should receive credit for the sale. System default is the user currently logged into Portico.

Sale Date

Click the down arrow to select the date the product was sold from the calendar or enter the date in MM/DD/YYYY format. System default is today's date.

Sale Time

The time the product was sold in HH:MM:SS format using a 24-hour clock. System default is the current time.

Complete the following optional fields if desired:

Field Description

New Member

Select this check box if the member is a new member of the credit union.

Sale Amount

The amount of the sale.

Heard about product from?

Click the down arrow to select the credit union-defined source of the sale, e.g. mailing campaign, member referral, or advertisement.

Source of Funds

Click the down arrow to select the source of funds for a new sale.

Loan Processor

Click the down arrow to select the loan processor that should receive credit for the sale if a lending product was sold.

Comment

Additional comments about the sale. To assist you with protecting cardholder data, an algorithm is used to determine if card data has been entered in the Comment field. If card data is identified, a warning message will appear. You can click OK to continue saving the date or click Cancel to remove or mask the card data. In the Comment group box on the Sale - Update window, click Add to add comments about the existing sale. The Comment - New window will appear.

Click Save to save the sale information and close the window. Click Cancel to close the window without saving the sale information.

The Associated Referral grid displays the member referrals that may be associated with the sale. Each referral record displays the plan code, MCIF product group, product, employee who made the referral, referred status, referral date and time, and origin of the referral. Click Disassociate Referral to disassociate a referral that is already associated to a sale.

The Available Referrals grid displays the member referrals that can be associated with the sale. Select a referral from the Available Referrals grid and click Associate Referral to associate an existing referral to a sale. Each referral record displays the plan code, MCIF product group, product, employee who made the referral, referred status, referral date and time, and origin of the referral.

Sale - Update

The Void check box will be checked if the sale was voided. Click Void to void the sale.

Click Trade Lines to view the qualified trade lines.
