Services Detail: Adding a New Share Draft Account
The Share Draft – New Share tab lets you add a new share draft account for the member. The Share Draft - Services tab lets you set up the draft ID and overdraft protection options.

Complete the following fields to add a new share or share draft account on the New Share tab. Click New to clear the fields and add a new share account.

Effective Date |
The Effective Date field will default to today's date. You can change the effective date by clicking the Effective Date down arrow to select a date from the pop-up calendar or entering a date in MM/DD/YYYY format (Keyword: ED). Dividend and interest calculations are based on this effective date. While future effective dating is not allowed on most transactions, you can specify a future effective date on some transactions. The system will allow you to specify an effective date in the past when opening an account. The effective date cannot be less than the last post date of dividends. |

Select a Share Type |
Click the down arrow to select the share type of the new share account. Then, click the green arrow. |

Total Deposit Amount |
The total amount to be deposited to the new share account. |

IRA Deposit Code |
If the share account is an IRA, click the IRA Deposit Code down arrow to select the appropriate deposit code. |

If the share account is an HSA, click the HSA Deposit Code down arrow to select the appropriate deposit code. |

The personal nickname specified by the member to identify the account. Length: 38 alphanumeric |

HSA Coverage |
For an HSA, select the HSA coverage type from the HSA Coverage drop-down list. The valid values are: S – Self-only F – Family Blank – Not specified (Family). You can use the Blank – Not specified (Family) option if the member did not specify Self or Family for the coverage type. If you do not select an option from the HSA Coverage drop-down list, an error message will appear when you click Submit. You cannot complete the transaction until an HSA coverage type is selected and you cannot bypass the error message with an override. |

Account Open Teller ID |
The teller ID of the user logged into Portico when the account is opened. You can maintain the teller ID and branch on the Shares - General tab. |

Opt in for ATM/Debit Card Processing and Fees |
Select the Opt in for ATM/Debit Card Processing and Fees check box if the member chooses to opt-in for overdraft processing of ATM and one-time debit card transactions. System default is not checked. If selected, when an ATM transaction exceeds the current balance of the account, Portico will check to see if the account has overdraft protection from another account or multiple account(s) and exhaust the funds in those accounts and charge an overdraft fee. If the overdraft account does not have sufficient funds, Portico will check to see if the account has available uncollected funds or Courtesy Pay funds and assess fee. If the item is paid into negative, Portico will assess an NSF fee. If not selected, the member chooses to opt-out of overdraft processing of ATM and one-time debit card transactions. If an ATM transaction exceeds the current balance of the account, Portico will check to see if the account has overdraft protection from another account or multiple account(s) and exhaust the funds in those accounts and charge an overdraft fee. If the overdraft account does not have sufficient funds, Portico will deny the transaction as insufficient funds. Portico will NOT check to see if the account has available uncollected funds, Courtesy Pay funds, or pay the item into negative. The Courtesy Pay options on the Shares - Draft Info tab, in conjunction with the Opt In for ATM/Debit Card Processing and Fees field, control online ATM/Debit Courtesy Pay processing. The Opt In for ATM/Debit Card Processing and Fees field only controls if Courtesy Pay processing should be invoked for ATM and debit card transaction processing. If the Opt in for ATM/Debit Card Processing and Fees check box is selected, the Courtesy Pay process will follow and abide by all the credit union and member parameters setup for the account. Note: The Opt In for ATM/Debit Card Processing and Fees field only applies to ATM and debit card transactions. The Opt In for ATM/Debit Card Processing and Fees field does not impact Courtesy Pay or Uncollected Funds processing for other items such as share drafts, ACH, and Bill Pay transactions.

Postponed Reason |
The reason for the postponed contribution. For IRA owners who were affected by a federally declared disaster area, the postponed code is FD. For qualifying Armed Forces members, use the appropriate code for the owners’ area of operations. The valid options are: EO12744 - Arabian Peninsula EO13119 – Federal Republic of Yugoslavia EO13239 - Afghanistan FD - Federal Designated Disaster Extension Contribution Be sure to select deposit code E from the IRA Deposit Code drop-down list to report postponed contributions. |

Postponed Year |
The original year of the postponed contribution must be entered for each of the postponed contribution types. This cannot be the current year and can only be up to two years in the past. For example, if the current year is 2018, you can enter 2017 or 2016. |

New Member Fee |
To charge a new member fee, enter the fee amount in the New Member Fee field. |

Cash Amount |
If you select Cash/Check Received as the From Product, enter the amount in the Cash Amount field. Depending on your User Profile settings, the Cash Received dialog box will appear when you click in the Cash Amount field or when you click the CR button.

Check Amount |
If you select Cash/Check Received as the From Product, enter the amount in the Check Amount field. Depending on your User Profile settings, the Check Log dialog box will appear when you click in the Check Amount field or when you click the CL button. In the Check Information group box, enter the hold amounts and number of hold days, as needed. Select the Print Hold Days on Receipt check box to print the hold information on the deposit receipt. |

Check Holds Local Amount |
The amount of local check funds to be held for the specified local hold days. The local check amount is determined using the following calculation: CHECK AMT - NON-LOCAL AMT - NO HOLD AMT = LOCAL CHECK HOLD AMT. Length: 12 numeric including decimal |

Check Holds Local Days |
The number of days to hold the amount of the check deposit considered as local funds. If blank, this field will default to the number of days specified in the Local field in the Holds section on the Credit Union Profile - Teller tab. Length: 2 numeric |

The amount of the refund due for this transaction. The refund amount may be calculated by the system as the difference between the total of the cash and check amounts, and the total of the transaction and fee amounts. Excess Earnings |
If the share account is an IRA, enter the amount of the IRA withdrawal that is excess earnings. Excess earnings is the dividend amount earned on excess contributions during a given tax year. This amount is taxable. The number of transactions is stored in the Period-to-Date Reg D Txns field on the Shares - Activity tab. If the share account's Period-to-Date Reg D Txns field on the Shares - Activity tab is greater than the limit defined in the Reg D Transactions field on the Share Profiles - Account Information tab, you must enter a teller override to complete the transaction. |

EFT Ind. |
Select the EFT Indicator check box if this is an EFT transaction (Keyword: ET). The system will automatically select the Force at Month End Because of EFT/Misc Activity check box on the Stmts/Reporting/Notices tab. If the EFT Indicator check box is selected, you must type a statement message in the Statement Messages 1 field. |

Update Withdrawal Counter |
Select the Update Withdrawal Counter check box to increment the share account's withdrawal counter (Keyword: WD). The number of withdrawals is stored in the Period-to-Date Withdrawals field on the Shares - Activity tab. |

When adding a new share account, if the Social Security number is found in the closed account file, the message Previous account closed by credit union will appear. When adding a new draft ID, if the draft ID is found in the closed account file, the message Previous draft ID closed by credit union will appear. In New Members and Services, you can open the Closed Account File dialog box from the top menu bar by clicking View, then clicking Closed Account File. From the New Member Share dialog box, you can click the Closed Account icon button. Then, you can use the Action Type drop-down list to temporarily suspend the cross reference check by changing the Action Type field to Suspend so you can add the new member number or share without deleting and re-adding the closed account record. Portico will reset the Action Type field back to Stop during the nightly cycle.
The Transaction Area lets you deposit funds into a new share account. Click Add to add the deposit information to the Transaction Area. Select a row in the Transaction Area grid and click Update to make changes to the new share deposit. Select a row in the Transaction Area grid and click Delete to delete the new share deposit.

Click Submit to complete the transaction and continue adding the new share account. Click Cancel to close the dialog box without adding a new share account.

Complete the following information to set up the new share or share draft account on the Services tab:

ACH ID |
The unique identifier used to post ACH transactions directly to the member share or share draft type. The ACH ID can be up to 17 alphanumeric characters and contain spaces and special characters. The Post by ACH ID check box must be selected in the ACH section on the tab to use the ACH ID to post ACH items. Depending on your ACH table, the ACH ID must match the ID located within the individual ID or bank account number position on an incoming ACH file in order to post to the correct share type. System edits will prevent an ACH ID from matching an existing ACH ID, member number, or draft ID. However, an ACH ID can match the member number associated with share or share draft account containing the ACH ID. Length: 17 alphanumeric characters Keyword: SI |

Draft ID 1 and 2 |
The draft ID for the share account. The draft ID identifies the member share draft account incoming drafts should post against. The share draft identification is MICR coded on all drafts. Each share draft account must have a unique draft ID. Share draft IDs must also be unique within a credit union. Fiserv recommends making loan draft IDs and share draft IDs unique. If the loan draft ID and share draft ID are the same, drafts will process by the serial number range and transaction code: If the serial number is 0-8999 or 10000-99999 and the draft transaction code is 40, process as a share draft. If the serial number is 9000-9999 and the draft transaction code is 88, process as a loan draft. Enter 0 to automatically assign a draft ID using the criteria defined on the Credit Union Profile - Shares tab. To set up the Courtesy Pay options complete the following information:

Click the down arrow to select the Courtesy Pay option. The valid options are:
If the Courtesy Pay Option field is Waive New Acct Period, the account can use Courtesy Pay funds during the new account period, regardless of whether the Account Went Negative check box is selected or the account does not meet the minimum deposit requirement in the Courtesy Pay New Acct Period group box. Courtesy Pay Limit |
The negative balance limit for an individual member. The negative balance limit can be any dollar amount including zeroes. If the Courtesy Pay Option field is: N - 0.00 will appear in the Courtesy Pay Limit field. D - The default limit from the Share Profiles - Courtesy Pay tab will appear in the Limit field. You can override the default limit and specify a limit for the individual member by entering O in the Courtesy Pay Option field and entering a limit in the Courtesy Pay Limit field. Override Minimum Deposits Required |
If the Total All Deposits check box is selected on the Share Profiles - Courtesy Pay tab and the member's total deposits to the share draft type during the new account period meet the minimum deposit amount specified in the Deposits Minimum field on the Share Profiles - Courtesy Pay tab, the member is eligible for Courtesy Pay processing. If the minimum deposit amount is not met, the Courtesy Pay Option field on the Shares - Draft Info tab will be changed to R - Revoked at the end of the new account period. To override the minimum amount of deposits required for Courtesy Pay eligibility at the member account level, select the Override Minimum Deposits Required check box and enter a value in whole dollars 0 to 9999999. Deposited to Date |
Calculated by the system, this is the total amount of funds deposited to the member's share draft account to date. Dividends, deposits defined as reversals of withdrawals, and deposits that have been reversed by a reversal transaction are excluded from the total. A deposit made to manually reverse a withdrawal will be counted as a deposit and will update the Deposited to Date field. In this scenario, you must manually adjust the total. In the Restriction Overrides group box, you can override the standard restrictions defined for the share type on the Share Profiles - Courtesy Pay tab.

If the Delinquency check box is selected, Portico will add Courtesy Pay to the share draft account, regardless if the member has a delinquent loan. If the credit union is set up to exclude member's from Courtesy Pay because of loan delinquency, this check box will allow the member to access their Courtesy Pay funds even though the member may have a delinquent loan. Days Negative |
If a value exists in the Suspend if Negative Days > field on the Share Profiles - Courtesy Pay tab and the account is negative greater than the number of days specified, Courtesy Pay processing is suspended for the member. You can override this restriction at the member account level by selecting the Days Negative check box in the Restriction Overrides group box. Direct Deposit |
If the Direct Deposit Required check box is selected on the Share Profiles - Courtesy Pay tab, the Direct Deposit check box on the ACH tab must be selected for the member to be eligible for Courtesy Pay processing. You can override this restriction at the member account level by selecting the Direct Deposit check box in the Restriction Overrides group box. The Overdraft Information grid lets you select multiple overdraft accounts. To add an overdraft account, enter the member number in the Member Number column. Click the member lookup button to open the Member Search window and locate a member. Then, click the Member Account down arrow to select the share type or loan note number.
You cannot add an overdraft account for an HSA. To delete an account from the grid, select the Delete check box and click Save.
You can view a member’s overdraft protection options on the Overdraft Protection dialog box by clicking the OD CP button next to the account on the Account Listing grid.

Click the Co-Owner Account icon button to open the Co-Owner Account List dialog box and add co-owners to the new account.
Click the Check Order icon button to open the Confirm Check Order dialog box and order checks for the new share draft account.
Click the Create Documents icon button to display the Document Preparation dialog box and prepare documents for the member.
Click the Welcome Kit icon button to open the Forms Maintenance dialog box and issue a welcome packet for a new member.
Click Submit to complete the process of adding the new share account.
Click Next to continue with the next the step of the application or click Save/Release to save the application for completion at a later date. Click Back to move back to the previous tab.
