The Provisional Memo window lets you document any type of adjustment made to a member or foreign cardholder card number. To access the Provisional Memo window, click Network Balancing within the Operations menu on the Portico Explorer Bar. On the Network Balancing top menu bar, click Miscellaneous, then click Provisional Memo.

To view an existing provisional memo, enter the 19-digit card number in the Card Number field, then click the green arrow. Click the left and right arrows to scroll through the provisional memos for the card number.

This window may be used at any time outside of the Network Balancing process. For example, if a member complains that they did not receive the funds requested at a foreign terminal, the credit union may give the member “provisional credit” and then offset the money disbursed to a suspense account. The Provisional Memo window allows the credit union to record and track this transaction.

Complete the following steps to document an adjustment to a member or foreign cardholder card number.

  1. In the Card Number field, enter the 19-digit cardholder number associated with the transaction. If you are accessing an existing provisional memo, click the green arrow. This number consists of the ISO number, a filler (if the ISO number is only 16 digits), and the number specified in the Account ID field on the ATM Card Maintenance dialog box. All digits of the cardholder number will be masked, except for the first 6 digits and last 4 digits of the number. You can click inside the field with the show/hide icon to show the cardholder number. When you tab out of the field, the cardholder number will be masked. The cardholder number will remain unmasked as long as the field has focus. Portico will log each time a user clicks inside a field to a cardholder number in the View Sensitive Data Audit report. To view a member’s cardholder number, users must be assigned to the Portico – User Can View PAN security group. You can also add the Portico – User Can View PAN permission to a credit union-defined security group using the Security Group Permissions – Update window.
  2. In the Member Name field, enter the primary owner's full name (Length: 25 alphanumeric / Keyword: N1). The name will appear on the statement exactly as entered. If blank, the short name will print on the statement.
  3. Enter the amount to be applied or that was applied to the associated product code in the Transaction Amount field (Length: 10 numeric including decimal).
  4. In the Process Code field, enter the transaction code associated with the network transaction. The system will use this code to determine which Host system transaction to use when posting the transaction through the Network ATM Maintenance window. The letter R following the ATM transaction code indicates that the transaction is a reversal transaction. The following table shows the ATM code and the description for that transaction:

  1. In the REG E Data field, enter the EFT type description for Reg E (Length: 44 alphanumeric).
  2. In the GL Information group box, enter the debit or credit general ledger account number affected by this transaction (Length: 6 numeric).
  3. Select the Adjustment check box to indicate that an adjustment was submitted on behalf of the cardholder. These are listed on the Fiserv Card Services IC10, IE56, and IE57 reports.
  4. In the CU Defined Descriptions group box, enter the credit union-defined description of the provisional memo (Length: 60 alphanumeric / Keyword: MG).
  5. Click Add to add the provisional memo. The Process Date field displays the date the provisional memo was processed.

Click Change to update an existing memo.

Click Delete to delete an existing memo.

Click Reset to clear the fields on the Provisional Memo window.
