Making Deposits, Withdrawals, Payments & Transfers

The Deposits, Withdrawals, Payments, Transfers tab lets you process deposits, withdrawals, payments, transfers, and loan advances for a member. The Deposits, Withdrawals, Payments, Transfers tab is a credit union-defined screen and can actually display different product code options for each teller based on the transaction category.
For Teller Administration Basic, the Deposits, Withdrawals, Payments, Transfers tab can only be used in conjunction with the On Us Check Information dialog box. Only master codes GDA (cleared checks) and CKDP (checks for deposit) are allowed on the From side.
To access the Deposits, Withdrawals, Payments, Transfers tab, under Financial Activity on the Portico Explorer Bar, click Financial Transactions. The Transactions tab appears on top. Locate the member using the search tool on the top menu bar. Select the down arrow to select the search method, then enter the search criteria. Select the green arrow or press ENTER to locate the member.
On the Transactions tab, click the down arrow next to the first drop-down box and select D-Deposits, Withdrawals, Payments, Transfers.
How do I? and Field Help
To verify a member using the Documents Presented as ID dialog box, click the Documents Presented as ID icon.
The Effective Date field will default to today's date. You can change the effective date by clicking the Effective Date down arrow to select a date from the pop-up calendar or entering a date in MM/DD/YYYY format (Keyword: ED). Dividend and interest calculations are based on this effective date. While future effective dating is not allowed on most transactions, you can specify a future effective date on some transactions.
The Deposits, Withdrawals, Payments and Transfers Transaction Area lets you process deposits, withdrawals, payments, transfers, and loan advances for a member.

In the From Product column, select the payment method (checks received, cash received, cross account transfer, share account, share draft account, or loan advance). |

Enter the amount of the deposit, withdrawal, payment, transfer, or loan advance. If you selected cross account transfer, the From Member column will appear. Enter the member number or click the member lookup button to open the Member Search window and locate a member. If you selected cash, the Cash Received dialog box will pop up automatically when the cursor is in the From Amount column. You can also access the Cash Received dialog box by clicking the CR button in the transaction area grid. You can activate the Cash Received dialog box on the User Profile – Popups tab. If you selected check, the Check Log dialog box will pop up automatically when the cursor is in the From Amount column. You can also access the Check Log dialog box by clicking the CL button in the transaction area grid. You can activate the Check Log dialog box on the User Profile – Popups tab. Type d or D in the From Amount column to populate the field with the default amount defined for the product on the Product Code Information window. This shortcut will work for any product code that has a default amount greater than 0.00 regardless of the master code. |

Enter the general ledger account number or click the down arrow to select the loan note number or a valid IRA withdrawal code. If you selected a share account that supports Reg D activity, you can type Y in the Functions column to increment the Period-to-Date Reg D Txns counter on the Shares - Activity tab. |

Depending on the From Product selected, the ... button can change to CR, CL, ML, or RD. If you selected Cash as the From Product, you can click the CR button to open the Cash Received dialog box. If you selected Check, you can click the CL button to open the Check Log dialog box. If you selected a share account that supports Reg D activity, you can click the RD button to display the Reg D Indicator dialog box. You can clear check box to prevent the transaction from incrementing the Period-to-Date Reg D Txns counter on the Shares - Activity tab.
If you selected loan advance, you can click the ML button to display the Member Loans dialog box to select the appropriate loan and enter a loan advance fee.

Enter the amount of each product type. Length: 10 numeric. Type d or D in the To Amount column to populate the field with the default amount defined for the product on the Product Code Information window. This shortcut will work for any product code that has a default amount greater than 0.00 regardless of the master code. The From/To Difference field provides a running total of the remaining funds left to deposit. When completing a loan payment with excess funds, you can type a ? in the To Amount column next to a share type to deposit any excess funds to the share type. If the selected To Product on the Deposits, Withdrawals, Payments, Transfers tab requires a resolution message, the Resolution Message dialog box appears after you enter the To Amount. A resolution message explains the source of funds received or disbursed in an unusual way. For example, actual cash found in the lobby and turned in by a member. You would deposit the funds to a miscellaneous account using a special product code. The Product Code Resolution window allows the credit union accounting department to reconcile activity associated with a resolution message. The accounting department will use the Product Code Resolution window to transfer the funds from the miscellaneous product code to the appropriate general ledger account. If the Message Line Indicator check box is selected on the Product Code Information window for the miscellaneous product code, the Resolution Message dialog box will appear automatically, and you will enter a resolution message to explain the deposit. You can enter a message up to 24 alphanumeric characters long.

Enter the general ledger account number or click the down arrow to select a note number for a loan payment or an IRS deposit code for an IRA, ESA, or HSA deposit. If the To Product column is a loan, click the ellipsis button to display the Member Loans dialog box.
If a loan payment is a principal-only payment, a partial payment, a partial and principal-only payment, and/or includes deferred late charges, the system will insert a character indicator in front of the note number in the Functions column of the Transaction Area grid.
If the To Product is a money order or traveler's check, you can assess a fee for the money order or traveler's checks by typing Y in the Function column. Click the ... button to open the Transaction Fee dialog box. The Transaction Fee dialog box will display additional fee benefit information for those members included in a Relationship Pricing plan. For the Number of Items Free fee benefit, the information includes the total number of free items allowed by the member’s Relationship Pricing plan and the remaining number of free items available for the current transaction. The Fee Total field will reflect the correct fee amount based on the number of free items remaining and the number of items being purchased. Select the Apply Transaction Fee check box. In the Number of Items field, enter the number of traveler's checks or money orders to assess the fee on. Then, click OK.

A From/To Difference amount will appear in the grid heading until the From Side Total and To Side Total amounts are equal. When the amounts are equal, click Submit to complete the transaction.
Click New to clear the Transaction Area and complete a new deposit, withdrawal, payment or transfer.
The member account listing appears on the Overview tab, Transactions tab, and Adjustments tab.
The batch number, batch sequence, transaction amount, cash received and cash disbursed for the transaction prints on the last three lines of member's receipt. You must use the Product Code Information window to change the description or default values of a product code. You must perform the Transaction Definition window to add, change, or delete product codes for the Deposits, Withdrawals, Payments, Transfers tab.
Portico will check the Dormant check box on the Contact Information tab before allowing any member financial transaction on the Transactions - Deposits, Withdrawals, Payments, Transfers tab, including check cashing. If the member is dormant, the transaction will be stopped. The system edit cannot be bypassed with an approval or override.
A Payroll button appears if the member is setup on at least one payroll. A Transfer File button appears if the member has at least one automated transfer setup. Self-service buttons indicate which self-service products the member has: Online Banking, Bill Pay, Audio Response, ATM, and/or Debit Card.
Check Holds
If you selected check as the From Product, you can enter the check and specify the check hold in the Check Log dialog box. If the Automated Check Holds field on the Credit Union Profile - Teller tab is D - Hold is placed where the deposit is being made, you can use the fields in the Check Information group box to indicate the number of days and the amount of check funds to be held.

Then, you can designate the share account in which to hold the check funds using the Check Hold Options dialog box. The Check Hold Options dialog box will appear when you click the ... button next to the share account on the To Information side.

Process ID AN - Allow new share or auto hold must be specified next to the share type on the Transaction Definition window for the ALD - Deposits, Withdrawals, Payments, Transfers transaction.
If you use process ID AF - Allow new share or funds hold next to the share type on the Transaction Definition window for the ALD - Deposits, Withdrawals, Payments, Transfers transaction, the Check Hold dialog box will allow you to designate the check hold type, the number of days and the check hold amount.

Credit Card Integration Payments and Advances
Credit Card Integration Payments and Advances allows you to view balances on Portico and apply payments and credit card cash advances online that are transmitted back to the credit card vendor. Credit Card Integration is available for FIS, Credit Processing Solutions (CPS), and Fiserv Card Services Credit (CSC).
For credit card balances and information, credit card processors transmit balances to Portico via File Exchange (XROADS). You can receive balance files daily, weekly, or monthly, depending on the agreement with your credit card processor. In general, the balance file only contains members with credit card activity. A complete balance file containing all members with credit cards is transmitted to Portico once a month.
Credit unions using FIS can transmit name and address updates for existing cardholder. Portico collects name and address updates for existing cardholders and sends them in a batch file to FIS during the Portico back-office cycle. Only the TBS platform, 2100 format, and record type 8 are supported. The 2000 Base platform and Pass-Thru platform with FIS are not supported.
Credit unions using CPS and CSC can:
- view credit card balances and information
- review credit card history
- access individual account or joint account information
- update owner information, including address maintenance and seasonal address changes
- activate a card or order a new or replacement card
- process near-real time credit card payments and advances
- accept credit card payments using audio response, online banking, Transfer File, and the Transactions tab
- review credit card activity via CSC reports available in Nautilus Essentials and My Reports
Credit unions using CSC can use Credit Choice. Credit Choice is a fully integrated credit card program that allows financial institutions to provide a branded credit card to consumers through an issuing partner without taking on all of the risks and resources normally required to support a credit card program. With Credit Choice, a credit union can restrict non-financial updates for all accounts, consumer accounts only, or business accounts only.
You can accept credit card payments using Audio Response, Online Banking, Transfer File, the Transactions - Vendor Credit Card, Mortgage and Education Payment tab, Transactions - Deposits, Withdrawals, Payments and Transfers tab, and Mail Work tab. CPS and CSC users can process advances using the Deposits, Withdrawals, Payments, Transfers tab and Vendor Credit Card, Mortgage & Education Payments tab. Any of the transactions will update the Available Credit field on the Transactions – Vendor Credit Card, Mortgage and Education Payments tab and Loans – General tab.
Portico will process CPS and CSC credit card payments and cash advances in near real-time. CPS and CSC payments and advances will be sent to CPS and CSC intermittently throughout the day (approximately every 15 minutes). This includes online banking payments, online teller payments, offline teller payments, and online cash advances. Teller reversal transactions will function in a similar manner. Transfer File payments are sent first thing in the morning. If the transmission containing the Transfer File payment was not successful, the Transfer File payment will continue to be sent throughout the day until successful.
When the transaction is completed, you will receive the standard Financial Transaction Complete message in the status bar. The CPS/CSC Online Inquiry indicator message will change to CPS/CSC Pending Activity which means a payment or advance has been made in Portico and has not been sent to CPS/CSC. The CPS/CSC Pending Activity message will continue to appear until the transaction is sent to CPS/CSC. Once the transaction has been sent, the indicator message will change back to CPS/CSC Online Inquiry.
The general ledger effects of the Deposits, Withdrawals, Payments, Transfers tab depend on the combination of From and To product codes and the master type associated with the product code.

The teller balancing effects are as follows:
- Increases the Teller Batch Total field on the Balancing and Close tab by the amount of the transaction.
- Increases the Amount field on the Balancing and Close tab by the amount of the transaction for any product code with Display and Balance in the Balancing Report field on the Product Code Information window.
- Increases the Amount field on the Balancing and Close tab by the amount of the transaction for any product code with Display Only in the Balancing Report field on the Product Code Information window.
On Teller Administration Expanded, the Deposits, Withdrawals, Payments, Transfers tab updates the Balancing and Close tab based on the master type associated with the product code:

For same-day correction, perform the Reversals - Same-Day Reversals tab.
If you added a new share draft account when performing the Deposits, Withdrawals, Payments, Transfers tab and then wish to reverse the transaction, you must perform the following steps in the order shown:
- Use the Reversals - Same-Day Reversals tab to reverse transaction code 244.
- Use the Reversals - Same-Day Reversals tab to reverse transaction code ALD.
If you do not perform the reversals in this order, the message SUBSEQUENT ACTIVITY FOR THIS ACCOUNT MUST BE REVERSED appears.
For a prior-day correction, based on the product codes, perform a combination of the following transactions:
- Adjustments – Share Deposit from General Ledger tab
- Adjustments – Share Withdrawal to General Ledger tab
- Adjustments – Loan Payment from General Ledger tab
- Adjustments – Loan Advance tab
- Basic Journal Voucher window
