Updating Certificate Information

The Certificates tab provides an overview of a member's certificate account. You can also add a new certificate, change the certificate type, add funds to a certificate, and surrender a certificate from the Certificates tab. To access the Certificates tab, under Member Services on the Portico Explorer Bar, click Account Information. The Overview tab appears on top. Click the Certificates tab. Locate the member using the search tool on the top menu bar. Select the down arrow to select the search method, then enter the search criteria. Select the green arrow or press ENTER to locate the member. Click the Select a Certificate down arrow to select a certificate number and description. Then, click the green arrow.

The Certificates - General tab displays the certificate type, purchase date, and maturity information for the certificate.

Complete the following fields as needed to maintain the certificate information.

Field Description

Certificate Balance

The certificate balance.

Length: 12 numeric including decimal

Purchase Amount

The original purchase amount plus any add-ons.

Length: 12 numeric including decimal

Balance Last Stmt

The balance of the certificate since the last statement.

Length: 12 numeric including decimal

Certificate Type

The type of certificate. A certificate type can be any combination of alpha and numeric characters, and be the same as an existing share type.

Previous Type

The previous type of certificate. A certificate type can be any combination of alpha and numeric characters, and be the same as an existing share type.

Certificate Series

The credit union-defined series in which the certificate belongs. The valid values are credit union-defined on the Customized Field - Update window.

Penalty Amt

The penalty collected when all or part of a certificate is surrendered prior to the maturity date.

Length: 8 numeric including decimal

Term (in days)

The Term (in days) field appears if the Days Closed Processing check box on the Certificate Profiles – Account Information tab is selected for the certificate type, indicating that the certificate type is set up for weekend or holiday maturity processing.

In the Term (in days) field, you can enter the number of days used to calculate the new maturity date for certificates that are set up to automatically renew, regardless if the certificate’s maturity date has been extended. If a default term is specified on the Certificate Profiles – Account Information tab for the certificate, the default term will appear in this field. You can overwrite the default term if desired.

If the certificate is set up not to auto renew at maturity, this field is informational only. The value will not be used during the certificate maturity process.

Account Nickname

The personal nickname specified by the member to identify the account.

Length: 38 alphanumeric

Status

The status of the certificate. This field is not maintainable. The valid options are:

A - Active - Certificate has not reached maturity

I - Inactive - Certificate has matured but not renewed or surrendered

C - Closed - Certificate has been surrendered

Last CAN

The computer assigned number (CAN) for the last financial transaction performed on this account.

Original Teller ID

The teller ID of the user logged into Portico when the certificate was purchased. If the certificate was purchased prior to the August 2015 release, the Teller ID field will be blank.

For new certificates purchased using the Transactions - Certificates tab, Portico will automatically capture the teller ID and branch associated with the user completing the transaction. This information populates the Teller ID and Branch fields on the Certificates - General tab.

Original Branch

The branch of the user logged into Portico when the certificate was purchased. If the certificate was purchased prior to the August 2015 release, the Branch field will be blank.

For new certificates purchased using the Transactions - Certificates tab, Portico will automatically capture the teller ID and branch associated with the user completing the transaction. This information will populate the Teller ID and Branch fields on the Certificates - General tab.

Original Purchase Date

The Purchase Date field indicates the date the certificate was originally purchased or renewed (Keyword: PD). The certificate will begin earning interest from this date.

Original Maturity Date

The last day originally stated that the certificate will earn interest. The certificate will mature during the back-office cycle. This date should be one day less than the date on the member's actual certificate to allow for back-office processing. Reports and the member's statement will reflect this date plus one day.

Purchase Date

The date the certificate was purchased or renewed.

Current Step

The certificate's current step in the step rate plan. Valid values are 001 through 009 based on the number of steps in the step rate plan.

Reporting Analytics: Current Step Number (Certificate Base subject in the Certificate folder and the ME Certificate Base subject in the Month-end Information\Certificate Month-end folder)

Next Step Date

The date the certificate will move to the next step in the step rate plan. The system calculates this date using the Days From Purchase Date column on the Step Rate Plan window.

Step Rate Plan

The step rate plan assigned to the certificate when the certificate was originally purchased. If the Current Step field is 001, you can select a different plan from the Step Rate Plan drop-down list. The new step rate plan must also be in step 1 according to the Days from Purchase Date column on the Step Rate Plan window.

To view the Certificate Step Rate Plan Schedule dialog box, click the Step Rates button.

Maturity Date

The Maturity Date field indicates the last day the certificate will earn interest (Keyword: MD). The certificate will mature during the back-office cycle. This date should be one day less than the date on the member's actual certificate to allow for back-office processing. Reports and the member's statement will reflect this date plus one day. The maturity date cannot be equal to or less than the purchase date or less than the date interest was last calculated.

Maturity Options

Click the Generate Check option to generate a check for the certificate balance upon maturity.

Click the Auto Renew option to automatically renew the certificate upon maturity.

Click the Non Renew option to not renew the certificate upon maturity.

Will Renew To Type

If the maturity option is Auto Renew, click the Type down arrow to select the renewal certificate type. Leave this field blank to use the default type on the Certificate Profiles – Account Information tab. If there is no default type and term specified on the Certificate Profiles – Account Information tab, the certificate will automatically renew to the same certificate type and existing term. The existing edits from the Certificate Type Change dialog box apply when automatically renewing to another certificate type at maturity. The IRA Processing field and OID Certificate check box on the Account Information tab and the Payment Method field on the Dividends tab must be the same for the old certificate type and new certificate type.

Will Renew To Term

If the maturity option is Auto Renew, in the Term field, enter the number of days to use in calculating the new maturity date for the renewal certificate. Leave this field blank to use the default term on the Certificate Profiles – Account Information tab. If there is no default type and term specified on the Certificate Profiles – Account Information tab, the certificate will automatically renew to the same certificate type and existing term.

Will Renew To Step Rate Plan

If the maturity option is Auto Renew and the renewal certificate type is a step rate certificate, select a step rate plan from the Step Rate Plan drop-down list. Leave this field blank to use the default step rate plan on the Certificate Profiles – Account Information tab. If there is no default type, term, or step rate plan specified on the Certificate Profiles – Account Information tab, the certificate will automatically renew to the same certificate type, term, and step rate plan.

Reporting Analytics: Renew Step Rate Plan (Located in Certificate/Certificate Base subject and Certificate Month-end/Month-end Information/ME Certificate Base subject)

Pay to the Order of 1

The name of the certificate owner(s). You can enter the names of the owners in both the Pay to the Order of 1 and the Pay to the Order of 2 fields. You must specify at least one owner in this field if the Print Form field in the Certificates section on the Credit Union Profile – Shares tab specifies A or B. This field is optional; however, you can enter information in this field even if the Print Form field in the Certificates section on the Credit Union Profile – Shares tab is N.

The information in this field will print on the certificate purchase document or the replacement certificate document if the Print Form field specifies A or B.

Maintenance to this field appears on the 038 Report.

Pay to the Order of 2

The name of the certificate owner(s). You can enter the names of the owners in both the Pay to the Order of 1 and the Pay to the Order of 2 fields. You must specify at least one owner in the Pay to the Order of 1 field if the Print Form field in the Certificates section on the Credit Union Profile – Shares tab specifies A or B.

The information in this field will print on the certificate purchase document or the replacement certificate document if the Print Form field specifies A or B. You can enter information in this field even if the Print Form field in the Certificates section on the Credit Union Profile – Shares tab is N.

  • If a name appears in the Pay to the Order of 2 field on the Certificates - General tab, Portico will display the name in the Pay to the Order of 2 field in the Joint Name field in the Account Listing grid.
  • If a name appears in the Pay to the Order of 2 field on the Certificates - General tab and the certificate has a joint owner on the Certificates - Relationships tab, Portico will display the name in the Pay to the Order of 2 field in the Joint Name field in the Account Listing grid.
  • If a name does not appear in the Pay to the Order of 2 field on the Certificates - General tab, but the certificate has a joint owner on the Certificates - Relationships tab, the certificate joint owner name will now appear in the Joint Name field in the Account Listing grid.
  • If a name does not appear in the Pay to the Order of 2 field on the Certificates - General tab and the certificate does not have a joint owner on the Certificates - Relationships tab, but the certificate has a beneficiary relationship, the multiple relationships indicator will appear in the Joint Name field in the Account Listing grid.

Maintenance to this field appears on the 038 Report.

Pay on Death

The recipient of the certificate funds upon the death of the owner(s) of the certificate. The information in this field will print on the certificate purchase document or the replacement certificate document if the Print Form field in the Certificates section on the Credit Union Profile – Shares tab specifies A. You can enter information in this field even if the Print Form field in the Certificates section on the Credit Union Profile – Shares tab is N.

Maintenance to this field appears on the 038 Report.

This is not a required field.

SSC CU Level Access

Select this check box to support Shared Service Center access to this account information for all credit union members.

SSC Mbr Level Access

Select this check box to support Shared Service Center access to the account information for this member only.

BSA Exempt Expiration Date

Click the down arrow to select the expiration date or enter the date in MM/DD/YYYY format. If the date in the field is equal to or greater than the current date, the certificate will be exempt from BSA reporting. If the date in the field is less than the current date, the certificate will not be exempt.

Reporting Analytics: Certificate BSA Expiry Date (Certificate Base subject in the Certificate folder and the ME Certificate Base subject in the Month-end Information\Certificate Month-end folder)

Replace Certificate

Select this check box to create a replacement certificate purchase form. The Print Form field in the Certificates section on the Credit Union Profile – Shares tab must specify one of the following values:

A - Prints a certificate purchase form (Style A). The Payment Option field on the Certificates - Interest tab must specify one of the following values: B, C, K, S, 01, 02, 75, 76, 77, or 81

B - Prints a certificate purchase form (Style B). All valid interest payment methods or interest payment accounts are allowed

Click the history icon button to open the Certificate History dialog box and review the certificate history.

Click New to open the Certificate Purchase dialog box and add a new certificate to the member's accounts.

Click Change Type to open the Certificate Type Change dialog box and change the certificate type.

Click Add On to open the Certificate Add On dialog box and add funds to the certificate.

Click Surrender to open the Certificate Surrender dialog box and surrender the certificate.

Click Save to save your changes.

You can deposit funds from a general ledger account into a certificate account using the Adjustments - Certificate Deposit from General Ledger tab.

You can withdraw funds from a certificate account and disburse the funds via cash, check or transfer to a general ledger account using the Adjustments - Certificate Withdrawal to General Ledger tab.
