Processing Share Draft Returns
The Share Draft Exception Items window lets you transmit share draft return items to the pay through bank and generates fees and/or notices for returned and paid drafts. An exception draft appears on the Share Draft Exception Items window the morning following the back-office cycle in which the system attempted to post the draft.
The Returns checkbox must be selected on the Credit Union Profile – Shares tab.
To access the Share Draft Exception Items window, select Share Draft in the Operations menu on the Portico Explorer Bar. On the Share Draft top menu bar, select Exception Processing, then select Exception Items.
How do I? and Field Help
Select the File Date down arrow to select the date the share draft return items were processed by the system from the pop-up calendar or enter a date in MM/DD/YYYY format, then select the green arrow to view the exception items (Keyword: RD). Select the left and right arrows next to the green arrow to scroll to the previous or next rejected draft file.
To view the exception items beginning with a specific account number, enter the member account number in the Starting Member field (Length: 13 numeric). Then, select the green arrow.
Select the Display Remaining Items checkbox to display all the exception items that have not been processed.
Select the Display Represented Items checkbox to display only represented exception items that have not been processed.
The Share Draft Exception Items grid displays share draft exceptions. Select the left and right arrows next to the green arrow to scroll to the previous or next rejected draft file. Select the left and right arrows in the grid to scroll to the previous page and next page of the draft file being reviewed. You can retrieve and display up to 50 items at a time. A More button will appear if additional records exist for the file date.
Rejected drafts will remain on the Share Draft Exception Items window for ten days if you do not process the file. You can return rejected drafts that should have been returned during the ten-day holding period but were not using the New Return Item window. The message Items Remaining for Other Days indicates that there are items from a previous day that have not been processed on the Share Draft Exception Items window.
The Share Draft Exception Items window initially appears with blank Action, Return Code, Notice, and Fee fields. You can define default return codes on the Customized Share Draft Exception Processing window. The Repost/Return Code field on the Credit Union Profile – Shares tab lets you specify a default non-return code for items that posted in the AM back-office cycle. Non-return code items are indicated with an exception code of A3 on the Share Draft Exception Items window.
The system will not process an item if the Return Code field is blank. The system will charge fees and produce notices according to the default values specified on the 450 Report Rules. Fee amounts are specified in the Share Draft and ACH Exception Fees section on the Credit Union Profile - Shares tab. The system will not charge a fee or produce a notice on an item if the Return Code field is left blank after the item has been processed.
Select the Use Default Return Codes checkbox to use the default return code defined on the Customized Share Draft Exception Processing window.

This action code will automatically create a Post Share Draft Exception window that will post the draft to the member’s account. To assess a fee or generate a notice, select the Return Code down arrow and select a non-return code. The default fee and notice options from the 450 Report Rules will appear for the return code entered. Select or clear the Notice and Fee checkboxes to override the default values for the non-return code. A non-return code is only required with this action code if you wish to assess a fee or produce a notice. Return - Return the share draft. Select the Return Code down arrow and select a return code. The default fee and notice options from the 450 Report Rules will appear for the return code entered. Select or clear the Notice and Fee checkboxes to override the default values for the return code. If the draft was previously paid in the back-office cycle or previously paid using the Share Draft Exception Items window the same day, this action will automatically create a Reverse Posted Share Draft window that will reverse the draft from the member’s account. Reverse - Complete the Reversals – Same Day Reversals tab to reverse a Reverse Posted Share Draft window or Post Share Draft Exception window. This action code can only be used to reverse an item the same day the item was processed. To reverse items with an exception code of A2, A3, or A5, select the Action down arrow and select Change, clear the Return Code field and select Save. Change - Change the values in the Return Code field, and Notice and Fee checkboxes. To change an item for the current run date after the file has been processed, but before cut-off time, select the Action down arrow and select Change. Modify the Return Code field, and Notice and Fee checkboxes as needed for each draft that you want to return to the share draft processor. Select Save. After cut-off time, only the Notice and Fee checkboxes can be changed on a processed file. |

Select the Print Receipt for Posted Transactions checkbox to print a receipt of the items processed (Keyword: CF). The Receipts field on the Credit Union Profile - Print tab must specify B, E, C, D, or P.

Select the report retrieval icon to display the Report Retrieval dialog box and display the 450/450S Report in Nautilus Essentials.

The Share Draft Exception Items window lets you process the entire file at one time or process individual items in the file. On the Share Draft Exception Items window, process your exception items first using the Processing a Specific Item procedure:
Processing a Specific Item:
To process a specific item, select the Action down arrow next to the item you wish to process and select:

Modify the Return Code field, and Notice and Fee checkboxes as needed for each draft that you want to return to the share draft processor. Select Save. After cut-off time, only the Notice and Fee checkboxes can be changed on a processed file.
Select Submit to process the exception items. The Transaction Complete message appears and the status of the item appears in the Status field.
When you have processed the individual exception items in the file, complete the Processing the Entire File procedure.
Processing the Entire File:
To process an entire file or the remaining items using the default return codes, default notice and fee options specified on the 450 Report Rules and the fee table, select the Effective Date down arrow in the Remaining Items group box to select a default effective date from the popup calendar or enter the date in MM/DD/YYYY format. Then, select Process to process the entire file or the remaining items using the default return codes specified on the Credit Union Profile – Shares tab, the default notice and fee options specified on the 450 Report Rules, and the fee table in the Share Draft and ACH Exception Fees section on the Credit Union Profile - Shares tab. The message Transaction Complete – All Items Processed appears. Only drafts with a valid return/non-return code will be processed.
Processing the entire file using the Process button is not necessary if each item has already been processed individually. To process the entire file using the Process button, a default value must be specified in the Return Code field on the Credit Union Profile – Shares tab.
If the Allow Negative Balance Posting checkbox is selected on the Credit Union Profile – Shares tab, you can only process the entire file using the Process button if the default non-return code is 80, 81, 82 or 83 81 and the exception code is A4. Any items that do not have an exception code of A4 must be processed individually before processing the entire file.
If the system cannot process an item using the Process button, the process will stop, and the Share Draft Exception Items window will display all remaining unprocessed items. The item that stopped the process must be manually processed. If there are additional items to be worked, you can process the entire file by selecting Process again or process the remaining items individually.
When processing the entire file, Portico will use the return/non-return code defined in the Return Code field on the Credit Union Profile – Shares tab as the default return code with the following exceptions:
- Stop Pay Exception Codes 98 and 99 will default to stop pay return code 54.
- Exception code is A1 will default to the return code from New Return Item window.
- Uncollected Funds Exception Codes A2 and A5 will default to uncollected funds non-return code 81.
- Courtesy Pay Exception Codes CP, CO, CU, and CA will default to courtesy pay non-return code 83.
- AM Cycle Exception Code A3 will default to the code defined in the Repost/Return Code field on the Credit Union Profile – Shares tab.
Rejected drafts that are to be paid will post online to the member’s account and post to the appropriate suspense general ledger in branch 000 for the share draft processor when processed using the Share Draft Exception Items window. Portico will automatically complete a Post Share Draft Exception window for each paid item.
Edits within the Share Draft Exception Items window prevent you from posting the same share draft twice when processing drafts using the Share Draft Exception Items window.
Not all share draft processors accept automatic returns. Contact your share draft processor to verify that they accept automatic returns. Each share draft processor has a specified cut-off time after which returns are not permitted on the Share Draft Exception Items window.
If the Allow Negative Balance Posting checkbox is selected on the Credit Union Profile - Shares tab, the back-office cycle will pay all drafts by bringing the member's balance negative. Such drafts also appear on the Share Draft Exception Items window with an exception code of A4. Specifying the return code 80 or 81 generates notices or fees or both, but the system will not return the draft. The system generates a financial CAN number if a draft item is paid or an item is returned that was paid in the nightly back-office cycle. If the Allow Negative Balance Posting checkbox is selected and the system posts the draft, you can return the draft using the Share Draft Exception Items window. The system automatically creates a Reverse Posted Share Draft window to credit the member's balance and debit the associated share draft suspense general ledger account based on the route and transit ID.
The Allow Negative Balance Posting checkbox cannot be selected, if the Supported checkbox is selected in the Uncollected Funds section of the Credit Union Profile - Shares tab, or if the Processing Option field is Y or X in the Courtesy Pay section of the Credit Union Profile - Shares tab.
Charging Fees and Produce Notices
The system will charge fees and produce notices according to the default values on the 450 Report Rules and Credit Union Profile – Shares tab. You can generate fees or notices for returned and non-returned drafts directly from the Share Draft Exception Items window. A return or non-return code is required to charge a fee or produce a notice on an item. If your notices are produced through back-office processing, fees and notices will be generated in the same back-office cycle.
If Allow Represented Fee field on the 450 Report Rules is set to N, the Share Draft Exception Items window will not allow you to assess a fee on a represented item, even if the return code fee default value is set to Y on the 450 Report Rules.
Charging Fees:
You can use non-return codes to assess fees on drafts you cleared instead of returning. Portico will assess the fee and create an online notice if:
- the Fee fields in the fee table in Share Draft and ACH Exception Fees section on the Credit Union Profile - Shares tab are greater than zero,
- the Online NTC field on the 450 Report Rules is Y, L, 1, or 2,
- and the Return NTC field and Non-Ret NTC field on the 450 Report Rules are N.
When the Return NTC field and/or Non-Ret NTC field is Y, the notices will be produced in the back-office cycle.
The valid non-return codes are:
- 80 - The statement message is FEE NEGATIVE DRAFT and the online history code is RN.
- 81 - The statement message is FEE UNCOLLECTED FUNDS, followed by the share draft serial number. The online history code is UF.
- 82 - The statement message is FEE MISC NON-RETURN, followed by the share draft serial number. The online history code is MI.
- 83 - The statement message is FEE COURTSY PAY, followed by the share draft serial number. The online history code is NC.
To waive a fee for the current run date, select the Action down arrow and select Change next to the item, clear the Fee checkbox and select Save. If a member was charged a fee in error for a previous back-office cycle, use the Adjustments – Share Deposit from General Ledger tab to reverse the fee. To charge a fee for the current run date, select the Action down arrow and select Change next to the item, select the Return Code down arrow and select a valid return code, and select the Fee checkbox. Select Save.
You can print online notices for all members in the file or an individual member, and re-print notices for up to 10 business days prior to the run date using the Notice checkbox and the Print Notice button. If your credit union offers electronic notices, when you click the Print Notice button, a popup message will appear indicating the number of notices sent to the printer and the number of notices sent electronically. If the Secure Member Number on Notices check box is selected on the Credit Union Profile - Credit Union tab, Portico will mask the member number printed on the notice by printing Xs or asterisks (*) followed by the last four digits of the member number. If you print notices from the Share Draft Exception Items window, you cannot print the notices during the back-office cycle. Use Form #050-22RP for the notices.
If multiple run dates are processed on the same day, online notices should be printed after all the items for each day are processed and for the most current run date. This will produce online return and non-return notices for all prior run dates including the current run date. Do NOT print notices from each run date, as this will result in duplicate notices being produced. The system will print online notices only if the Online NTC field on the 450 Report Rules specifies Y, 1, or 2. If the Online NTC field has a value of Y, 1, or 2, then the Return NTC field and/or the Non-Ret NTC field on the 450 Report Rules must have a value of N.
Print Notices for All Members: To print notices for all the members appearing on the Share Draft Exception Items window, select the print icon button. The Printer IDs dialog box appears. Select the Printers down arrow to select the correct printer. Confirm that the printer contains the forms and that you are ready for the system to print the notices and select OK. Keyword: PN
Print Notices for a Specific Member: To print notices for a specific member appearing on the Share Draft Exception Items window, select the item row to select the desired member. Then, select Print Notice. The Printer IDs dialog box appears with the member number. Select the Printers down arrow to select the correct printer.
Printing a Report: To print a report that includes all information on the Share Draft Exception Items window, select the print icon button. The Printer IDs dialog box appears. Select the Report option. Then, select the Printers down arrow to select the correct printer. Select OK to print the report. The last page of the report will include totals by count and dollar amount for each routing and transit number. The information from the Share Draft Exception Items window also appears on the Reject Process Report 454.
Grace Amount Processing
Portico exceptions will recognize deposits made after the exception file has been created based upon the time the item is paid. For instance, if a member makes a deposit early in the morning before the exception items have been worked, when the exception clerk pays the item and selects the Fee checkbox to charge a fee, Portico will look at the adjusted available balance. If the adjusted available balance is within the grace amount, the fee will not be charged. Share draft and ACH exceptions that are posted to another member number/account via the Share Draft Exception Items window will consider the grace amount for the alternate member’s share type before assessing a fee. Grace Amount Processing only applies to posted transactions. There is no member-level override. Overdrawn accounts will still appear on the Overdrawn Shares Report 040, but will be in the Posted Category section.
For example, a member has a grace amount of $10.00 on their share draft account. On the Share Draft Exception Items window, the member has two items, $50.00 and $150.00, and the member has an available balance of $48.72. The Action column is set to Post for the first and second item for the member and the Notice and Fee checkboxes are selected. After posting the first item for $50.00, the ending available balance is -1.28, which is within the grace amount. As a result, Portico clears the Fee checkbox for this item. The second item for $150.00 posted causes the available balance to exceed the grace amount, so the Fee checkbox remains selected. The Share Draft Online Fees dialog box indicates that the member was only assessed a fee for the second item.
For credit unions that currently post all items negative regardless of the account’s available and actual balance, the items will continue to reject with an A4 exception code and fees may be assessed on the Share Draft Exception Items window on the following business day.
The Member Information group box indicates the name of the member associated with the exception item and lists the member's Relationship Pricing plan and any special member messages. The OFAC alert message appears when the member’s OFAC Match checkbox is selected on the Ownership Information tab.
You can to specify a corrected account number. Missing drafts will appear with the 13-digit member number of 9000000000000. If the member number in the grid is 9000000000000, you can enter an alternate member number in this field. Select the member lookup button to display the Member Search dialog box. Length: 21 numeric
You can access additional information about the member using the icon buttons.
- Select the ACH/Share Draft Stop Pays icon button to display the Member Stop Pays dialog box to view, add or delete ACH and share draft stop pay records. This icon button will feature an exclamation point if the member has existing ACH or share draft stop pays.
- Select the Financial Transaction icon button to display the Transaction tab.
- Select the Share Draft Information icon button to display the Share Maintenance and Inquiry dialog box for the member's share draft account.
- Select the Share Draft Exception/Return History icon button to display the ACH and share draft exception/return history for the member.
- Select the ACH Exception icon button to display the ACH exception/return items associated with the member.
- Select the ACH pending icon button to display the pending ACH items for the member.
- Select the Member Account Listing icon button to view the member's accounts on the Member Account Listing dialog box.
- Select the Member Alerts icon button to display the Member Information dialog box.
In the Posting Information group box, you can indicate the share account to post the draft item and a different share account to assess the fee. Select the Post to Share down arrow to select the share account in which the share draft item will be posted. Select the Share for Fee down arrow to select the share account that will be assessed the fee associated with the item. You can only specify a fee share type if the item was not paid in the back office cycle.
The item’s posted available balance will appear in the Posted Available Balance field. For items processed in the back-office cycle and paid with courtesy pay funds, uncollected funds or a combination, this field will be populated when you access the Share Draft Exception Items window. If the item is reversed, the Posted Available Balance field is changed to .00. If the item is then paid, the Posted Available Balance field will be recalculated to consider any possible deposits or other activity. For items posted online, this field will not be populated until the item is processed and paid online. As a benefit to your members, any deposits or debits made prior to working the exception items online are taken into consideration in the calculation of the posted available balance.

A "Represented Item" indicator appears in red text if the item has been identified as represented. When Portico processes share drafts, the system cross-references the check number and amount against the stored share draft information for a match. If a match is found, the system determines if an NSF fee, or overdraft fee is charged based on the 450 Share Draft Summary Report representment setting. Portico will not charge an NSF or an overdraft fee if the Allow Represented Fee field in the Additional Options section is set to N. If the Allow Represented Fee field in the Additional Options section is set to Y, you can decide whether to charge a fee.
G\L Adjust field on the 450 Report Rules determines if the system automatically makes general ledger adjustments for the drafts returned by the Share Draft Exception Items window. If the G\L Adjust field is Y, the system credits the share draft suspense general ledger account and debits the share draft liability general ledger account for the total of the items returned each day. The system determines the appropriate suspense and liability general ledger accounts based on the route and transit number defined on the Credit Union Profile – Shares tab. If the share draft processor automatically adjusts for returned items, the G\L Adjust field should specify N or the general ledger adjustments will be made twice.

Action dropdown list and delete the return code in the Return Code field. The system will not return the draft.
