The Review tab lets you view the CTR form, change the status of the form, assign the form to a user or department at the credit union and assign a follow-up date for the form. To access the Draft CTR dialog box, click CTR Processing within the BSA Reporting menu on the Portico Explorer Bar. On the CTR Processing menu, click Actions, then click CTR Queue. The CTR Queue window appears. Click the CTR Draft Form icon button to display the Draft CTR dialog box.

To finalize a CTR for electronic filing, select Approved from the Status drop-down list on the Draft CTR - Review tab. The following fields will be updated:

Approved By

The user who approved the CTR form.

Approved Date

The date CTR form was approved. When you change the Status field to Approved, Portico automatically enters the current date in the Approved Date field. You can maintain the date as needed, but it cannot be a future date. Click the down arrow to select a date from the pop-up calendar or enter a new date in MM/DD/YYYY format.

Approver's Title

The title of the user who approved the CTR form. The user's title is defined on the User - Update window.

When you click Save, the CTR will appear in the CTR Queue grid with an Approved status. To create a batch, select one or more approved CTRs from the CTR Queue grid and click the Create Batch for eFile button. The CTR – Create Batch window appears to let you create the electronic batch file.

If the total cash in or cash out does not exceed the threshold required by the Bank Secrecy Act for a CTR, you cannot change the Status field to Approved.

If you are manually filing the CTR using the BSA website, select Filed from the Status drop-down list. Then, select the filing method from the Filing Method drop-down list. The valid options are:

  • BSA E-Filing Batch - CTRs are created in Portico, batched together in groups of one or more CTRs, then submitted electronically on the BSA E-Filing System.
  • BSA E-Filing Discrete - Information is gathered from Portico and the CTRs are created on the BSA E-Filing System by manually entering the information for each CTR individually.

Enter the BSA CTR Number in the BSA CTR Number field. When you change the Status field to Filed and click Save, the CTR – Filed Date dialog box appears. Portico automatically enters the current date in the Filed Date field. This should be the date that you filed the CTR using the BSA website. You can maintain the date as needed, but it cannot be a future date. Click the down arrow to select a date from the pop-up calendar or enter a new date in MM/DD/YYYY format.

Click Save to save the filed date. The Filed By field on the Review tab will be updated automatically with the user who filed the CTR form. Click Save on the Draft CTR dialog box. You can now manually file the CTR on the BSA website.

If you click Cancel on the CTR – Filed Date dialog box, the message Filed status has been cancelled will appear. Click OK to change the Status field on the Review tab back to Approved and clear the Filed Date field on the Draft CTR dialog box.

The Status field can be changed depending on the current status of the CTR.

If you change the Status field to Canceled, the Canceled By field will be updated automatically with the user who canceled the CTR form. Portico automatically enters the current date in the Canceled Date field. You can maintain the date as needed, but it cannot be a future date. Click the down arrow to select a date from the pop-up calendar or enter a new date in MM/DD/YYYY format.

Filed and Canceled CTR reports can be found on the CTR History window until they are purged from the system and reported on the Currency Transaction Reports Purge Report PNG961.

In the Queue group box on the Draft CTR - Review tab, you can assign the CTR to a user or department and define a follow-up date and priority.

  • Select the user or department assigned to the report from the Assigned To drop-down list.
  • Click the Follow-up Date down arrow to select the follow-up date from the pop-up calendar or enter the date in MM/DD/YYYY format.
  • Click the Department down arrow to select the department that the CTR will be assigned to.
  • Click the Priority down arrow to select the priority of the CTR.

Click the View CTR Form icon button to view the Currency Transaction Report. Some field information is masked on the report to protect the individual's personal identification information.

Click Save to save your changes to the draft CTR. Click Cancel to close the dialog box without saving your changes.
