Setting Up Online Banking and Bill Pay
The Online Banking Maintenance dialog box lets you setup and maintain the member's Online Banking and Bill Pay options. When you add a member to online banking or modify member options on this dialog box, the updated information is automatically forwarded to Virtual Branch for updating InterACT Web.
To access the Online Banking Maintenance dialog box for an existing online banking user, under Member Services on the Portico Explorer Bar, click Account Information. The Overview tab appears on top. Locate the member using the search tool on the top menu bar. Click the down arrow to select the search method, then enter the search criteria. Click the green arrow or press ENTER to locate the member.
An Online Banking, Bill Pay or Both button will appear on the Overview tab if the member has online banking, bill pay or both. Click the Online Banking, Bill Pay or Both button to display the Online Banking Maintenance dialog box. Click the User ID down arrow to select the online banking user ID.
The Online Banking, Bill Pay or Both button also appears on the Transactions tab and Adjustments tab.
How do I?
Complete the following steps to add a new online banking user ID.
- Under Member Services on the Portico Explorer Bar, click Account Information. The Overview tab appears on top.
- Locate the member using the search tool on the top menu bar. Click the down arrow to select the search method, then enter the search criteria. Click the green arrow or press ENTER to locate the member.
- Click the New Services tab.
- In the Self Service group box, click the Online Banking or Bill Pay button. The following message will appear:

- Click OK. The Online Banking Maintenance dialog box will appear. The primary member automatically appears in the Account Access Permissions grid with inquiry, financial and external movement access to their accounts in online banking.

Complete the following steps to set up a member's online banking and bill pay options.
- Enter a new online banking user ID in the User ID field. The Virtual Branch Options section on the Credit Union Profile - Self Service tab defines the parameters allowed when creating a Virtual Branch user ID .
- The Online Banking check box will automatically be selected. You can select the Bill Pay check box to provide Virtual Branch Bill Pay service to the online banking user.
- If the Online Banking check box is selected, click the Online Banking Start Date down arrow to select the date the customer signed up for Online Banking from the pop-up calendar or enter a date in MM/DD/YYYY format. The date can be up to 45 days in the future. If left blank, the system date will appear in this field.
- If the Bill Pay check box is selected, click the Bill Pay Start Date down arrow to select the date the customer signed up for Bill Pay from the pop-up calendar or enter a date in MM/DD/YYYY format. The date can be up to 45 days in the future. If left blank, the system date will appear in this field.
This field is disabled if you use CheckFree with Virtual Branch.
- Click the Comment Codes down arrow to select the credit union-defined comment code.
- Select the Fee Exempt check box if the member is exempt from online banking fees.
- Select the Quicken Direct check box if the member has access to Online Banking through Quicken Direct. This check box only appears if the Quicken field is Y on the 945 Report Rules.
- The TIN drop-down list will automatically list the names and taxpayer IDs of the online banking user's existing account relationships. To link account relationships by taxpayer ID to the user's online banking profile, select the taxpayer ID number of our online banking user from the TIN drop-down list. Then, click Link. The accounts that the online banking user is associated with appear in the Account Access Permissions grid. Beneficial owner relationships will not appear. If you created a new user ID by copying an existing user ID, you can delete or unlink any relationships.
- Click Save to save your changes. When you add a member to online banking or modify the member options, the updated information is automatically forwarded to Virtual Branch in the Portico nightly back-office cycle.
When setting up a member for online banking, you can link the member to his/her relationships by account ownership or taxpayer ID number. Linking will give the online banking user access to related accounts, based on the account relationship.
- Inquiry access provides the ability to view account details on share, loan, credit card, and certificate accounts.
- Financial access can provide the ability to transfer to, transfer from, or transfer to and from share, loan and credit card accounts.
- External Movement access allows you to restrict activities related to “external money movement” services like ACH, A2A and wire transfers.
- Demographic Update access provides the ability to change the Address Line 1, Address Line 2, City, State, Zip, Country, Home Phone, Work Phone, Date of Birth, Email 1, Email 2, and Email 3 fields.
- Select the Suppress Alerts check box if Portico should suppress the electronic notice information in the alert file to Virtual Branch. The Virtual Branch user will not receive an alert when an electronic notice is produced. Members can also choose to turn off alerts via Virtual Branch.
Linking by account ownership or taxpayer ID number also streamlines maintenance to Virtual Branch when a member makes changes to their accounts and account relationships:
- When a member opens new accounts, the accounts are automatically added to the list of accounts that can be accessed.
- When a member closes an account, the closed account will be available for online viewing access until purged from Virtual Branch, but financial transactions will no longer be permitted.
- When an existing account relationship is removed, all account access based on that relationship is removed from Virtual Branch.
- When a member adds a relationship to an additional account, Portico will add the account relationship with the default permissions listed in the following table:

Member accounts with relationship indicators of Authorized Signer, Executor, Power of Attorney, Joint Owner, and Trustee are added to an online banking user when you link by taxpayer ID. Access to member accounts with relationship indicators that are not added by default can be manually added to an online banking user.
Financial access is granted only if the member has accounts that support financial access. If the member is a business and is not the primary owner of the account, then financial access is not granted. If the member is a business and is the primary owner of the account, and the accounts support financial activity through online banking, then financial access is granted.
If the taxpayer ID of the online banking user matches the taxpayer ID of another member, the matching member will be granted full access permissions to the online banking user's accounts.
You can modify the default access permissions that the online banking user has to the member's accounts on the Permissions dialog box. Click the Permission Details button for a member to display the Permissions dialog box.
Click Change ID to display the Change Existing Online Banking ID dialog box and change the ID.
Click Delete ID to delete the online banking user ID.
The Online Banking Maintenance dialog box is updated when the following occurs:
- A member is deleted using the Member Delete dialog box.
- A member number is changed using the Member Number Change dialog box.
- A member's branch is changed using the Member Branch Change dialog box.
Virtual Branch Open Transfers
With Virtual Branch Open Transfers, online banking users can transfer funds to any member within the credit union. The 'transfer to' member does not need to have an account relationship with the Virtual Branch user. Virtual Branch Open Transfers works in conjunction with the existing Virtual Branch Enhanced Transfer feature. With Virtual Branch Enhanced Transfer, online banking users must enter the member number and share type in the format 12345=75 and designate the correct account type. With Virtual Branch Open Transfers, the online banking user can enter the member number and designate checking or savings as the receiving account. When setting up the transfer in Virtual Branch, the online banking user will designate a 'transfer to' member number and select the preferred account type as checking or savings. Virtual Branch will display Checking, Credit Card, Credit Line, Savings, Loan, Money Market, Mortgage, and Share IRA as valid options for an open transfer; however, Portico will only accept open transfers to checking or savings accounts.
When sending the transactions to Portico, Virtual Branch will identify these transfer transactions as Open Transfer (OT) to prevent Portico from enforcing the transfer restrictions listed on the Online Banking Maintenance dialog box. Portico will attempt to choose an available share account that matches the preferred account type. If the account type (e.g. checking) is not available, Portico will attempt to select an available share account from the other preferred account type (e.g. savings). These changes will be reflected on the Self Service Activity Report 940.
- When Portico uses an available share account, the RP CD column will be 07 – Modified Transaction and the TO ACCOUNT column will display the share type that received the transfer.
- When Portico is unable to complete the transfer, the RP CD column will be 52 – Invalid Account and the TO ACCOUNT column will be blank.
This one-time transfer request will override any transfer restrictions listed on the Online Banking Maintenance dialog box. Before activating Open Transfer, your credit union must understand how existing accounts are linked and whether this feature will override any existing financial restrictions for the online banking user. The Open Transfer option must be activated within Virtual Branch to provide this option to your onlinebanking users.

To access a member's online banking/bill pay information, users must be assigned to one of the following pre-defined security groups or you can create your own security groups. You can add these permissions to a credit union-defined security group using the Security Group Permissions – Update window.
