Setting Up Account Analysis
The Account Analysis menu accessed via the Operations - General Operations menu bar and to the Services menu on the Administration - Products/Services menu bar lets you post non-system generated activity and set up Account Analysis officers and plans.
To ensure that your credit union has identified all potential fees that may be reflected in the Account Analysis process, you should review the Flexible Fees Rules Report 582 prior to activating Account Analysis. The 582 Report runs each month-end and displays the parameters for each flexible fee. Review each flexible fee carefully to determine which fees should be excluded in Account Analysis processing and which fees are no longer necessary. If the 582 Report is not scheduled for your credit union, please contact Credit Union Services. You can also refer to your credit union’s published fees brochure to define fee events or services that may be set up in an Account Analysis plan to be considered against an earnings credit allowance (ECA).
After reviewing the 582 Report, complete a Flexible Fees Change Request Form indicating which fees to delete or deactivate, and which fees to consider in Account Analysis. Fee changes must be received by the 20th of the month prior to the effective month. We recommend that Flexible Fee changes for Account Analysis be implemented on the first calendar day of the month.
You should also review your current fees defined on the Credit Union Profile tabs and the 450 Report Rules to identify credit union defaults that may be used in all Account Analysis plans.
All Flexible Fee changes must be completed before activating Account Analysis.
Account Analysis fees are valid for share draft accounts only.
Overview of Account Analysis Setup
Account Analysis setup is completed using the following series of tasks.
Task 1: Complete an Account Analysis Questionnaire to request setup of the following Account Analysis options in the Account Analysis section on the Credit Union Profile - Products & Services tab (Portico Host: 908 Transaction):
Field/Check Box | Description |
---|---|
Supported | If selected, the credit union uses Account Analysis. (Portico Host: 908 Transaction - ACCOUNT ANALYSIS SUPPORT field) |
Mailer | If selected, the member's analysis statement will be mailed directly to the member from the print center instead being sent to the credit union. (Portico Host: 908 Transaction - MAIL DIRECT field) |
Defer ACH and Share Draft Exception Fees | This check box cannot be selected. Portico will charge fees for share draft and ACH exceptions at event time regardless of the Account Analysis charge type for all Account Analysis plans. (Portico Host: 908 Transaction - DEFER FEES field) |
History Retention | The number of months to retain Account Analysis history. The valid values are 01-12. (Portico Host: 908 Transaction - HISTORY MOS field) |
Task 2: Identify teller numbers to be used for the officer file and complete the Account Analysis Officers window. The teller number will be designated as an officer in the officer file and has the authority to modify the member’s analysis results before the final statement is produced. Any teller will be allowed to post activity to a member that is flagged for Account Analysis, but only the officer assigned to the member’s portfolio or a supervisor teller will have the ability to make adjustments to the analysis tracking records that could result in the charge or waive of a fee.
Task 3: Complete the 980 Report Rules for the Account Analysis Statement Report 398 to set the number of days for the Account Analysis Rates window adjustment window. Set report rules to schedule the 898, 899, 021, 991 and 585 Reports.
Task 4: Complete the Account Analysis Rates window to set up the system defaults for new Account Analysis plans. If a new GL account is needed for Account Analysis fees, it must be set up before continuing with the Account Analysis Rates window.
Task 5: Enter fees on the Account Analysis Default Pricing Codes window to set up the system default fees for new Account Analysis plans. This transaction will automatically be populated with the system-generated pricing codes.
Task 6: Access the Account Analysis Pricing Plans window and add the first plan ID.
Task 7: On the Account Analysis Pricing Plan Information window, complete specific fee and quantity details for the plan.
Task 8: Repeat tasks 6 and 7 to enter or copy additional plans as needed.
Task 9: Access the Account Analysis Rates window again. In the Default Plan Information group box, enter the plan that will be used as the default for future plans.
