Add a New Teller and Portico User ID
To add a teller to Portico, complete the following steps:
- Access the Tellers window to find an available teller number.
- On the Teller Information window, locate an existing teller and branch to copy and select Copy. On the Teller Information - New window, enter the new teller ID and select the branch the teller will be assigned. Enter the teller name and re-enter the teller ID in the Override Code field. Select Save.
- If using Teller Administration and Cash Control, complete the Location Information window to set up a drawer for the teller. Locate an existing teller drawer to copy and select Copy. On the Location Information - New window, enter the teller ID in the ID field and enter the teller's name in the Description field. From the Purpose drop-down list, select Cash or Non-Cash drawer. Select Save.
- For the following steps, you must log into the branch the user will be working in.
If using Teller Administration and Cash Control, use the Teller Drawer Assignments window to assign the drawer to the teller ID. In the New Teller column next to the teller ID in the Current/Next Open column, enter the new teller ID. Select the Update Assignments check box and select Save.
To un-assign a teller from a drawer, in the New Teller column next to the teller ID in the Current/Next Open column, enter **. Select the Update Assignments check box and select Save.
- To set up a general ledger account for over and short entries, review general ledger accounts on the GL Accounts - List window and, if necessary, add a new general ledger account using the GL Accounts - New window. If using Teller Administration and Cash Control, use the Product Code Information window to set up a product code for over and short entries. If desired, you can use the Location Information window to create a teller over and short location.
- If using Teller Administration and Cash Control, use the Deposit Locations window to define the cash for deposit, checks for deposit and cash over short entries locations.
- To add forms to the teller's drawer, access the Forms Management – Movements – Send Forms tab. On the Send Forms tab, select Supplier as the sending location and 000 as the sending location ID. For the receiving location, select Drawer and the teller's drawer as the receiving location ID. Select the form number, revision number, and beginning and ending serial numbers for the form you wish to add to the drawer and select Add. Repeat this step to add additional forms to the teller drawer or to other teller drawers. Then, select Submit.
To add a new Portico User ID, complete the following steps:
- On the Users - List window, select an existing user to copy and select Copy. This will copy the User Profile, Print Profile, Override Groups, Approval Limits and Security Groups of the selected user to the new user.
- On the User - Copy window, enter the user’s first name, middle initial, and last name. Use X for an unknown middle initial. Then, enter the email address of the new user. In the User ID Extension field, enter the user's first, middle and last initial. Select Save.
- On the Users - List window, select the new user row, then select the Branch/Teller ID Assignment icon button. On the Branch/Teller ID Assignments window, enter the new teller ID and select Search. This will display all branches where that teller ID exists. Select the desired branches that the user can access and select the down arrow to move the branches to the Assigned Branch/Teller IDs grid. Then, select the Enforce Branch/Teller ID Combination check box to limit the branches that the user with this teller ID can access. Select Save.
- On the Users - List window, to define restricted accounts for a user, select the user, then select the Employee Restrictions – Associated Accounts icon button. On the Accounts Associated With window, add the member number of employee or employee family member account and select the relationship. Then, select Save.
- On the Users - List window, to associate multiple reports to a single user ID, select the user, then click the My Reports icon button. On the My Reports window, assign the appropriate reports to the user.
- To generate an initial temporary password for the new user, select the user row on Users - List window and click Reset Password. The temporary password generated by Portico will only be valid for 15 minutes. If the user attempts to enter the temporary password after 15 minutes, it will not work, and your credit union administrator will need to generate a new temporary password.
